Glossary
Abstract
This article describes how to configure email notification in the Administrator tool and how to turn on or off the notification in the Analyst tool. Configure email notifications so that Business Glossary users can receive emails about events that occur in Business Glossary. The events include changes made by content managers to the Business Glossary assets.

Overview of Email Notification in Business Glossary
The Analyst tool sends email notifications to the data stewards, owners, and stakeholders for changes that occur in business glossary assets. The Analyst tool generates the email notification in addition to the notification that it displays in the header. Business Glossary users can enable or disable notifications in the Analyst tool.
The following image shows the tasks that you must perform using the Administrator tool and the Analyst tool to enable and use email notifications:
• Data stewards, stakeholders, and owners receive email notifications when you publish or reject the asset. Followers receive email notifications only when you publish the asset.
• Data stewards, stakeholders, and owners receive email notifications when you or other stakeholders add comments to an asset. The Analyst tool does not send a notification to the data stewards of an asset when approvers add a comment to the asset in the advanced approval workflow.
• Data stewards of governed business terms receive email notifications when you propose, publish, or reject the governing policies.
• Data stewards of business terms that are related to a term receive an email notification when you propose, publish, or reject the term.
• Data stewards of business terms that are related to a term, stakeholders, and asset owners receive an email notification at the reminder time of the voting process.
• Data stewards receive an email notification at the start of the escalation interval and after the completion of the approval workflow.
• Data stewards, owners, and stakeholders of assets that are part of a business initiative receive email notifications when you propose, publish, or reject the initiative.
• Data stewards, stakeholders, and owners of assets that are part of a business initiative receive an email notification when the asset phase changes to pending publish.
Email Service Properties
As an administrator, you can configure general properties, Model Repository Service options, and email server properties for email notification.
General Properties
The following table describes the general properties for the service:
Property Description
Name Name of the service. You cannot change the name of the Email Service. Description Description of the service. The description cannot exceed 765 characters. Node Node on which the service runs.
Backup Nodes Nodes on which the service can run if the primary node is unavailable.
Model Repository Service Options
Configure a Model repository to store metadata for the email notification that users configure. The Model Repository Service must be available for the Email Service to send email notification.
If the Model repository is integrated with a version control system, then you must synchronize the repository before you associate it with the Email Service.
The following table describes the Model Repository options for the service:

Username User name of an administrator user in the Informatica domain. Not available for a domain with Kerberos authentication.
Password Password of the administrator user in the Informatica domain. Not available for a domain with Kerberos authentication.
Email Server Properties
Configure the email server properties so that the Business Glossary users can configure email notifications. The Email Service uses the email server configuration to send Business Glossary notifications.
The following table describes the email server properties for the service:
Property Description
SMTP Server Host Name
The SMTP outbound mail server host name. For example, enter the Microsoft Exchange Server for Microsoft Outlook.
Default is localhost.
SMTP Server Port Port number used by the outbound SMTP mail server. Valid values are from 1 to 65535. Default is 25.
SMTP Server User Name
User name for authentication upon sending, if required by the outbound SMTP mail server.
SMTP Server Password Password for authentication upon sending, if required by the outbound SMTP mail server. SMTP Authentication
Enabled
Indicates that the SMTP server is enabled for authentication. If true, the outbound mail server requires a user name and password.
Default is false.
Use TLS Security Indicates that the SMTP server uses the TLS protocol. If true, enter the TLS port number for the SMTP server port property.
Default is false.
Use SSL Security Indicates that the SMTP server uses the SLL protocol. If true, enter the SSL port number for the SMTP server port property.
Default is false.
Sender Email Address Email address that the Email Service uses in the From field when sending notification emails from a workflow. Default is admin@example.com.
• If Informatica Administrator is installed on a Linux machine, ensure that the host name of the machine is fully qualified. If it is not, the email that the Analyst tool sends will contain "localhost" as the host name in all the hyperlinks to the Analyst tool.
Configuring Email Notification for Business Glossary in the
Administrator Tool
Configure the Email Service properties in the Administrator tool to enable email notification. 1. Select the service in the Domain Navigator and click Edit in the Properties view. 2. In the General Properties, enter Description of the service.
The description cannot exceed 765 characters. 3. Select the Node on which the service runs.
4. In the Model Repository Service options, select the Model Repository Service associated with the Email Service.
The Model Repository must not be integrated with a version control system. You must recycle the Email Service if you associate a different Model Repository Service with the Email Service.
5. Enter the Username of an administrator user in the Informatica domain. 6. Enter the Password of the administrator user in the Informatica domain. 7. In the Email Server Properties, enter the SMTP Server Host Name.
Default is localhost.
8. Enter the SMTP Server Port number. Default is 25.
9. Enter the SMTP Server User Name. 10. Enter the SMTP Server Password. 11. Select the SMTP Authentication Enabled. 12. Enter Sender Email Address.
Default is admin@example.com
Note: Retain the default values for the Use TLS Security and Use SSL Security parameters.
Enabling or Disabling Email Notification in the Analyst Tool
You can enable or disable email notification in the Analyst tool. By default, email notification is disabled. To enable email notification, perform the following steps:
1. Log in to the Analyst tool.
2. Click Glossary Settings under Manage in the Analyst tool header. The Glossary Settings workspace appears.
3. In the Manage Glossary Settings page, select Notification over email. 4. Click Save.
