HEDCO Total Management Solution is not just a tool for managing and controlling projects. It is a firm infrastructure that supports executing all the projects in the company. HTMS 2.0 is developed using Microsoft SharePoint 2013 and Microsoft Project Serv-er 2013. This software product is composed of various entServ-erprise software modules which can be used to control and manage different kinds of projects.

Accessibility is one of the main features in HTMS 2.0. It is web-based which means it can be access using the Internet from anywhere in the world. Project Planning & Control Module

Project Planning & Control Module is developed based on Microsoft Enterprise Pro-ject Management Solution 2013. This system manages the entire investment and project life cycle—from strategic portfolio decisions to work management.

PORTFOLIO MANAGEMENT

We can prioritize business strategy and competing investments and align selected portfolios with our business strategy. This module helps HEDCO successfully deliver the selected investments and realize the business value.

Being compatible with Microsoft Office, we can manage our projects’ schedule with Microsoft Project Professional. ISSUE AND RISK MANAGEMENT

Issues and risks are part of every project. Our software system has facilities to effec-tively manage risks and issues. Risks and issues can be assigned and tracked until they are addressed completely.

TEAM COLLABORATION

Project collaboration is done through SharePoint project sites called Project Portals. Nearly all project activities are done and archived in the project portal. Project por-tals are so important that no information is considered to be valid unless it is up-loaded on the project portal.

Project portals are accessible on the Internet. Access to the portals are possible by an Internet connection and a Web browser. All users are provided with their own unique username and password. Access permissions are assigned automatically by the system and according to role definitions determined by project management.

BUSINESS INTELLIGENCE

Using the best monitoring and reporting tools, the system shows us the current ac-tual status of the project. Dashboards can be customized to meet the key stakehold-er needs.

Document Management Module

Document Management Module of HTMS 2.0 is one of the most sophisticated and complete documents management systems used in Oil and Gas industry of Iran. This system is being used in more than 26 projects in HEDCO.

ASSIGN DOCUMENTS TO PEOPLE

Document Management is connected to the Project Control Module. Document related activities such as preparation, checking, reviewing, approval and issuance can be assigned to people and can be monitored and expedited accordingly. The time spent in any activity can be registered in the Timesheet system.

PROCESS AWARENESS

Document Management Module is designed based on the processes and best prac-tices for document control in HEDCO. It complies with ISO standards and supports the full scope of activities needed to create, check, control and archive internal and external documents for a project.

CONVENIENCE

Dashboards allow you to see and access only the information and features you need. Weather you want to upload a document, comment on a part of a PDF docu-ment, see progress reports of a document review procedure, you just need to access your personal dashboard. When a task is assigned to you, an Email alert will notify you about it and the system will let you know about important dead lines and pro-ject milestones.

With predefined Project Templates this system can be utilized in different types of projects. Moreover the project management team can decide on critical systems settings without any interference needed by IT department. Configurations such as Coordination Procedure, Numbering Procedure, Distribution tables can be set by project management in the system. The project portal is isolated from other project sites and is managed completely independent of other projects.

DATA SECURITY GUARANTEED

Data security is ensured through a complicated role-based security system. All ac-cess rights are assigned according to the role of a person in the project. Users will not be aware of the underlying complexity and are just provided with the infor-mation they supposed to have access to.

History of work is logged into Version History of documents and workflows. This work histories are completely auditable and available. Periodic data backups ensures our data’s health and integrity.

Procurement Management Module

The Procurement Management Module offers a truly comprehensive procurement solution. With this software, HEDCO can automate and streamline the purchasing process.

SUPPLIERS BANK

A centralized database of many vendors and suppliers is maintained in this system. Not only the list of suppliers are updated regularly, but any information acquired in the procurement process can be embedded into the history of suppliers.

REQUISITION MANAGEMENT

Requisitions can be supplied from the Document Management Module as an inter-nal document or from other exterinter-nal sources. Requisitions can be assigned to pro-curement department personnel and can be controlled by the propro-curement manag-er and project managmanag-er. Prequalification of a list of suggested vendors is supported in this system.

INQUIRY MANAGEMENT

An infinite number of inquiries can be created for each requisition. Vendors’ contact information are supplied from the Suppliers Bank. All the correspondences with suppliers can be saved in the system. The system can be configured so that it expe-dites the steps needed from prequalification to vendor selection.

ORDER MANAGEMENT

After selecting the vendor, important contract information is entered to the system so it can be monitored and controlled.

MATERIAL CONTROL

MATERIAL CONTROL SYSTEM GUARANTEES THE PRODUCTION AND

DELIVERY OF EQUIPMENT WITHIN THE QUALITY AND TIME

EXPECTA-TIONS OF THE PROJECT.

Material Control System is designed to manage, track and control the items and material ordered to a vendor.

With the Material Bank sub-module you can make a centralized database of all the bulk material used in all the projects. Each item in the bank has a unique number that allows the system to track the bulk material to the most detailed extent. Material Control System can get the detail P.O. information from various sources. This system is integrated to the whole HTMS 2.0 and can get the input from Docu-ment ManageDocu-ment Module. It is also possible to import the equipDocu-ment list from other external sources such as Microsoft Excel and Microsoft Access.

Each item in the equipment list can be broken down to a hierarchical breakdown structure with infinite number of possible levels. This makes it possible for the pro-ject manager to track all parts of the ordered equipment.

QC Plan of the project can be applied to the requisitions for the inspection schedule to be generated. The system automatically notifies about the date of the upcoming inspections.

Inspection reports can be attached to specific items or a group of items. It is possible to update the status of fabrication, packing and shipment of the ordered items in the system.

A simple and easy to use client software has been developed for inspectors the can be used to update detailed information about manufacturing of items, packing lists and delivery information.

Project Warehouse Module

Project Warehouse Module is a management information system for the items and equipment which was ordered by project procurement. This software systems con-trols the entry an exit of the goods to and from the project inventory.

BEFORE DELIVERY

Before materials are delivered to the site, the system needs some information about the detail of items and equipment that are being shipped to the warehouse. This information may include but are not limited to: P.O details, Master Packing List, De-tail Packing List, Shipment information, Custom Clearance, Bill of Ladings, etc. This information is used when the material is being entered to the warehouse.

AFTER DELIVERY

At the time of delivery the system supports recording MRS for the delivered material in a very easy and convenient way. The suggested MRS is first generated according the P.O. and there is no need for the warehouse user to enter all the data by him-self. Damage and Discrepancy of the material can also be entered for each delivery. The system can notify predefined people about these delivery reports.

Information about the location and placement of the material are stored in the sys-tem so that all equipment and material can be tracked and found easily.

SITE CONSTRUCTION

Recording and management of the material which is issued to the site executive teams and returned to the warehouse (MIV and MRV) is supported. Returning of the material and equipment to vendors is also supported.

The system is web-based and is

availa-ble on the Internet and can be access

via a very ordinary Internet

connec-tion. It is also possible to download

data as a offline storage. Any changes

to the offline data is synced as soon as

am Internet connection is available.

SITE PLANNING

Delivery dates for all materials are set during procurement to meet the construction program. Site Planning continuously tracks delivery of materials, which means that site planners can easily monitor the availability of required materials from inventory or by their forecast delivery date. This clear visibility of planned deliveries allows construction managers to check schedules, to identify problems early, and expedite the material and reschedule work packs as necessary. Using these tools, managers are in full control of their work, using their skills and expertise to optimize the con-struction process on a day-by-day basis. At this stage, the majority of the cost bene-fits are realized. In particular, customers using VPRM will have reduced surplus ma-terial and minimize the issues of subcontractor claims.

A detailed schedule of the of the construction can be fed to the system. Site Plan-ning can monitor and control construction progress and can find new work fronts for the construction management if the schedule specifies predecessor-successor rela-tionships of site activities. The system supports multiple construction contractors.
