Outlook Web Access

Exchange mailbox users can access their email from anywhere using the Outlook Web Access

(OWA) facility. This may be accessed using any web browser from the following url:

owa.messageexchange.com or https://cas.messageexchange.com/owa

Outlook Anywhere Configuration Guide

Introduction

Outlook Anywhere (OA) will allow you to create a direct link to the Hosted Exchange Server without the need to use a VPN tunnel.

Supported operating systems and Outlook versions. Unfortunately, Outlook 2003 is not compatible with Exchange 2010.

Hosted Exchange 2010 supports the use of Outlook 2007 SP1, Outlook 2010, Office for Mac 2011 (preferred), Entourage 2008 - Office 2008 for Mac (limited compatibility and is not supported by our helpdesk).

The following screenshots are based upon XP, Vista, Windows 7 and Mac 2011.

Before setting up OA, ensure that Windows and the Outlook installation is fully updated to the latest releases Windows/MAC.

For mailboxes that have been selected to include an Outlook licence, you can download the software from the control panel when logged in as the specific user. All downloads and installations of Outlook are strictly controlled by Microsoft and must adhere to the Microsoft Outlook terms included within the Hosted Exchange Agreement.

Setting up Outlook Anywhere for PC

This article is focused on IT staff with an advanced knowledge of Operating Systems and the Messaging Application Program Interface (MAPI). Screenshots are from Vista and Windows 7 and applies to Windows XP SP3 aswell.

1. Go into the control panel and start the Mail applet. Vista requires that you open the following Icon (A) first, then (B):

3. Click on Manually configure settings. Then Next.

4. Fill in the relevant fields, in the User name enter the full email address, and do NOT at this stage Check Names.

Click on More Settings.

5. We will now Configure the connector to the server. Choose Exchange Server and Next.

You may get the following. Click OK

6. The following screen will appear, click on the Connection tab.

Tick Outlook Anywhere and press the Exchange Proxy Settings

7. On the Proxy Settings page, fill in the fields as below. Ensure that the Proxy authentication is set to “Basic” and there is a tick in all boxes.

If operating system is XP, please un-tick

this box.

Click Check Name if you have configured the Connection Settings correctly, you will be prompted for a user name and password.

Put in your full Email address and the agreed password. Click on the OK button.

10. A line should appear under the Exchange Server and the user name (as below).

Configuring your domain to work with Exchange (MX/CNAME/SPF):

The MX records tells DNS servers on the internet where your IP address, or ,in an exchange environment, where our servers, are located, so DNS servers know where to send incoming messages to. Without proper MX records, mail will be delivered to a previously known mail server prior to migration, or will either simply remain ignored without being delivered, or be returned with a failure notification as the current valid mail address/server cannot be found.

Please contact the web developer or owner of this domain and inform them to log into the control panel their domain hosting company provided and set up the following MX records:

• inboundcluster1.messageexchange.com pref/priority 10 • inboundcluster2.messageexchange.com pref/priority 10 • inboundcluster3.messageexchange.com pref/priority 20 • inboundcluster4.messageexchange.com pref/priority 20

VERY IMPORTANT - Please ensure that these are the ONLY MX records applied to the domain name.

The CNAME Autodiscover entry is needed in order for Exchange 2007/2010 and Outlook 2007/2010 to function properly. This would especially relate to:

• Free/Busy information in your calendar • Out of office messages setup in Outlook.

• IMPORTANT - Proper syncing of Offline Address Book – which is what your exchange environment uses instead of the Global Address Book (GAL)

• For externally connected clients (roaming users) the SSL certificate must include the CNAME

Autodiscover record.

• IMPORTANT - Outlook Anywhere • IMPORTANT - Exchange ActiveSync • Unified Messaging

The SPF record is necessary due to the fact that a significant majority of spam comes from forged addresses. A

Sender Policy Framework (SPF) standard is being implemented by a number of ISPs and mail hosts, including several major providers (Hotmail, Yahoo, AOL and cloud-based hosting providers etc). Those providers require

SPF to be used in order to allow mail through their networks. Mail systems need SPF records for their

domains if they want their mail to be accepted by those providers. If no SPF record is in place your domain emails will be flagged and scored as high probability spam items and will not get delivered to the intended recipients.

Please contact the web developer or owner of this domain and inform them to log into the control panel

their domain hosting company provided and set up the following SPF record: include:spf.messageexchange.com

The SPF record should resolve to: v=spf1 include:spf.messageexchange.com –all

Important:

If an existing SPF record exists, then you need to add include:spf.messageexchange.com into the current record.
