DSM High School Musical Theatre Awards recognize and encourage student achievement to spotlight the importance of musical theatre in arts education.

Patterned after Broadway’s Tony ©Awards, this annual event celebrates the power of dynamic live student performances and a suspense-filled awards ceremony. Show business veterans and community celebrities help

celebrate this award-winning evening as the Dallas metropolitan area’s finest high school performers take center stage at the Music Hall at Fair Park.

With award categories that include Best Ensemble, Best Costume Design, Best Scenic Design, Best Lighting Design, Best All-Student Orchestra, Best Actor and Actress in a Supporting Role, Best Crew/Technical Execution, Best Choreography, Best Direction, Best Actor and Actress and of course, Best Musical, this event is a tribute to the enthusiasm, dedication and accomplishments of our area’s high school musical theatre programs!

Dallas Summer Musicals invites your school to participate in the 4th Annual DSM High School Musical Theatre Awards. The DSM Awards have grown to become the largest program of its kind in the state of Texas. The DSM High School Musical Theatre Awards ceremony will be held Wednesday, April 29, 2015 at 7:00pm at the Music Hall at Fair Park. Enclosed with this letter you will find a sample Intent to Participate form. The Intent to Participate Form needs to be filled out completely on-line and electronically submitted to us no later than October 1, 2014. There will be a

MANDATORY teachers meeting for all participating schools on Saturday, August 30th, 2014 at the Music Hall at Fair Park, at 10:00 a.m.

DSMwill offer CollegeScholarshipsof at least $1,000 to outstanding students. Within the Scholarship section of the Teacher’s Information Kit and on the DSM High School Musical Theatre Awards website, you will find instructions on How to Nominate. Please consider nominating your outstanding students for consideration. Your outstanding students deserve to be nominated. In 2014, thanks to the generosity of the incredible DSM donors, students were awarded $35,000 in cash scholarships.

 The school contact person must return completed forms by the due date listed on each sheet. Your package should include the following forms: Performance Details, Production Budget, School Parking, Best Musical Nominee Information, Finale Participants, DVD/Video, Program Photo, Nominee Acceptance, and the Best Actor and Actress forms.

 If you are missing any forms please visit the DSM website at www.dsmhsmta.org

 Use Teacher’s Checklist to verify that all forms have been submitted by due dates. Evaluations

All schools will receive an on-site production evaluation by a three member judges’ panel. After the on-site visits, these designated judges will complete comprehensive written critiques and scores of the productions. The written evaluations will be mailed to the school contact person within four weeks of the close of the show. Judging Process

 The judging period is from Sept. 1, 2014-March 15, 2015.

 Three judges will see each show. If a show is double-cast, it will be seen once. The school chooses the cast that will be judged.

 All scores are calculated and results kept sealed by Grant Thornton, Certified Public Accountants; winners will be announced at the awards ceremony.

Orchestra/Music

 All schools must utilize the talents and resources of their own school. The school must retain the orchestra scores & parts until the nominations are announced on March 30, 2015, so that the DSM Orchestra can perform the music from the nominated shows in all categories.

 Arrangements will be made by the Dallas Summer Musicals with the various licensing houses for the schools to retain their music through the awards evening without charge.

Nominations

The nominations will be announced on Monday, March 30, 2015.

Each nominated school in the category of Best Musical must submit one 5-MINUTE production number to be performed during the awards ceremony. The orchestra score must be given to DSM Awards Executive Director by

the chosen number. DSM Awards Executive Director will consult with teachers regarding which number the nominated school will perform. DSM reserves the right of final approval of the chosen number given program content, length and stage logistics.

 The week nominations are announced, the Executive Director will make arrangements to come to each Best Musical nominated school at a mutually convenient time/date to meet with the teacher, music/orchestra director (mandatory) and any other production staff you may wish to include. At that meeting, we will view your prospective numbers. You will need to arrange a piano rehearsal so cast members can run the number(s) you wish to perform at the Awards Show WITH ALL MUSICAL CUTS. We must do this within a week of nominations being announced.

 We will approve all cuts at this time and verify that number conforms to time limits for Awards Show and discuss options if you have more than one number that may be appropriate for the Awards Show.

 We will also collect your orchestra scores at this time, saving you the trip to the Music Hall to deliver them. o To prevent confusion or loss of individual orchestra parts, please include an inventory of all

included orchestra parts & scores. DSM will initial upon receipt and upon handing the scores back to you to verify that all items have been received.

o DSM will communicate with your publishers to ask permission for your school to be allowed to keep orchestra scores through Awards Show date at no additional charge.

DVD / Video

• The school is required to submit a video DVD of the following performance components (see below) along with the Video Form provided by the Dallas Summer Musicals.

• IT IS IN YOUR BEST INTEREST TO SUBMIT THE HIGHEST QUALITY DVD / VIDEO TAPE POSSIBLE, (in mp4 format ONLY). THIS WILL GIVE EVERY JUDGE AN ACCURATE REPRESENTATION OF YOUR STUDENT’S EFFORTS. Excerpts will also be used in a video montage during the Awards show.

 The video must be postmarked within one weekof your final performance date.

Orchestrapan (1 minute maximum - for eligible schools)

 Student orchestra, including brief shots of each section (strings, woodwinds, brass, percussion)

 One full orchestra shot photographed from the conductor’s perspective

 The judges’ panel will make the final decision in distinguishing between leading and supporting roles.

 All segments must be filmed during the actual performance, not staged scenes at a different time.

Along with the video, DSM must receive the detailed Video Form indexing the selected scenes and songs and exact duration (please follow all time rules strictly).

 The video recording will not be returned. Pictures

DSM has numerous requests from various print and broadcast media throughout the year for photos from the productions of our participating schools. In addition, a number of the best quality photos submitted to us are enlarged to poster size for display in the Music Hall lobby on Awards night and for our Gala. DSM typically gives these oversize production photos to the school after the Gala. DSM works very hard to draw attention to the work being done in our schools and encourages and solicits your help. If you don’t send us pictures, we can’t show you off!

 Each school should send a digital color photograph of their cast for inclusion in the playbill:

 The photograph should be e-mailed in a .jpg format, highest resolution possible. (AT LEAST 1MB AND 300 DPI OR MORE)

Program Ad

DSM will provide artwork (via email) which MUST be placed in your school’s musical program. The ad serves to promote your high school as a participant in the DSM High School Musical Theatre Awards ceremony. The failure of any school to participate to include DSM ad may affect eligibility for future participation in the program.

Poster/School Program

 Each school should send their show poster to Dallas Summer Musicals. These posters will be displayed at the Music Hall at Fair Park on the night of the Awards Ceremony. Posters will not be returned. Please email a jpeg format of your school show poster which will be used to promote your show on the DSM HSMTA Facebook webpage.

 Each school should also send a program from their show no later than one week after the performance. Programs are used to verify titles, spelling, numbers, etc.

A. THE AWARD

The Award is a specially designed trophy, engraved with the official logo, category of the award and the year, and will be suitable for permanent display at your school. Individual trophies will also be given as appropriate to the students who are honored as well.

B. SCHOLARSHIPS

DSM will award scholarships, for no less than $1,000.00, to outstanding participating students of the DSM High School Musical Theatre Awards. Teachers of participating schools may nominate TWO (2) students: either one each for a Performance (includes all theatre arts majors) and Ambassador Non-Performance Scholarship or two for one category. All participating schools will be provided with the scholarship guidelines and applications for your students to submit. Students must be nominated by their teacher or principal. The scholarship committee made up of DSM administrative staff, board members, educators and community leaders will thoroughly review all the applications and select the recipients. The

scholarship recipients will be announced the evening of the awards ceremony. Candidates for a scholarship must attend

the Awards Ceremony to be eligible to receive a cash scholarship. C. AWARDS CEREMONY

An annual Awards Ceremony will be held at The Music Hall at Fair Park. Distinguished artists and producers will present the awards. Excerpts from the honored high school productions will be rehearsed and presented before an audience of 3,400.

D. SPONSORSHIP

DSM reserves the right to seek a sponsor for the evening awards ceremony. The Sponsor’s name will be mentioned prominently in all aspects of the Awards’ promotion and presentation.

PROGRAM RULES AND REGULATIONS

D. PROGRAM PARTICIPATION

1. DSM HSMTA is the exclusive north Texas Regional affiliate program for the National High School Musical Theatre Awards.

2. Due to practical limitations, DSM can administer only a limited number of schools in the competition. Therefore, participation is on a first come, first served basis. The first forty-five (45) of the contacted schools to return their

Intent to Participate Form will be guaranteed entrance in the competition. No forms will be accepted after the deadline. Forms must be filled out and submitted on-line through the DSM HSMTA website.

3. The school’s production must take place within the program’s judging period between September 1, 2014-March 15, 2015.

4. The annual awards ceremony is Wednesday, April 29, 2015, at the Music Hall at Fair Park.

E. CONTACT PERSON / COMMUNICATION

3. The school contact person is the individual to whom all DSM correspondence will be addressed. It is vital that this

person have access to mail, e-mail, phone calls, and faxes between now and the awards ceremony.

4. The contact person must return all forms by the deadline indicated on each form. 5. The contact person must be a faculty member on campus.

F. DIRECTORS’ MEETING

Each participating school’s theatre or choir director(s)(whoever is producing the school’s musical) -this most

probably is the contact person- will be required to attend a MANDATORY meeting prior to the beginning of

the judging period. The purpose of this meeting is to discuss in detail program procedures, rule revisions and to answer any of your questions. Please see calendar for meeting date. You may bring additional staff if you wish.

G. CATEGORY RULES

DSM encourages participating schools to use the faculty, student and resources within your schools. The use of someone other than a faculty member and/or student will disqualify your school from being eligible for “Best of” in particular categories indicated below. Scores for that category, unless otherwise stipulated, will count toward your production’s overall score.

a. Direction – Schools that use a professional director or volunteer (someone other than a full- time faculty member and/or student from your school) are ineligible to receive the Best Direction award.

b. Choreography/Musical Staging - Schools that use a professional choreographer or volunteer (someone other than a full-time faculty member and/or student from your school) are ineligible to receive the Best Choreography award.

e. Musical Direction - Schools that use a professional musical director or volunteer (someone other than a full-time faculty member and/or student from your school) are ineligible to receive the Best Musical Direction award.

f. Scenic Design - Schools that use a professional designer or volunteer (someone other than a full-time faculty member and/orstudent from your school) are ineligible to receive the Best Scenic Design award. Schools that rent, purchase as final product, or borrow more than 30% of their scenery or props are ineligible to receive the Best Scenic Design award. Any outside design concepts included in the show must also be included in the 30%. Students MUST be involved in at least 50% of the labor for the rest of the process to be considered eligible in this category.

g. Lighting Design - Schools that use a professional designer or volunteer (someone other than a full-time faculty

member and/or student from your school) are ineligible to receive the Best Lighting Design award.

f. Orchestra – Schools that use more than ONE professional musician or volunteer (someone other than a student

from your school) are ineligible to receive the Best Orchestra award. The ONE ALLOWED NON-STUDENT does not

include the conductor IF conductor is not playing. If conductor IS PLAYING AN INSTRUMENT, then he or she counts as the one allowed non-student player. For schools supplementing their orchestras with outside/professional/volunteer players, scores in this category will be applied to the production’s overall score proportional to the number of student vs. professional players. (For example: if orchestra make up is six students and four professionals, 60% of their orchestra score will be applied to the overall production score when

tabulated. For an all professional orchestra, the production would receive no numeric score in this category.)

Schools using accompaniment tracks: The school is not eligible for “Best” in this category and receives no numeric score for the category.

g. Costume Design –Schools that use a professional designer or volunteer (someone other than a faculty member and/or student from your school) are ineligible to receive the Best Costume Design award. Schools that rent or purchase commercial ready-made costumes more than 30% of their costumes are ineligible to receive the Best Costume Design award. Any outside design concepts must also be included in the 30%. Students MUST be involved in at least half of the labor for the rest of the process to be considered eligible in this category. As part of the production information, each school is required to submit: a costume plot must be provided with a list and receipts showing what were rented and what was “pulled” or constructed.

h. Actors/Actresses – Schools that use a professional/volunteer actor/actress (someone other than a student from your school) are ineligible to receive the Best Acting awards. In the acting categories, faculty members are not

eligible. Scores for any ineligible actor/actress, supporting actor/actress or featured performer will not be

counted toward the production’s overall score. H. OPENING NUMBER

Nominees for Best Actor/Actress, Best Supporting Actor/Actress & Best Featured Performer will be recognized and featured in an Opening Number at the beginning of the Awards Show. These nominees must attend MANDATORY rehearsals for this number. This is an opportunity for your students to work with Broadway professionals and

perform on the Music Hall stage with a full pit professional orchestra.

I. FINALE PARTICIPATION

It is MANDATORY that each participating school participate in the awards ceremony Finale number accompanied

represent your school in the finale. The failure of any school to participate in the Finale number may affect eligibility for future participation in the program.

J. FEES / TICKETS

1. There is no participation or application fee to enter the DSM High School Musical Theatre Awards (for any schools

performing more than one musical in a school year, both may be entered; however, there is a $300 fee to enter a second production).

2. Each participating school will be provided two complimentary tickets to the Awards Ceremony.

3. DSM Awards participating students, who want to have a seat in the theater for the awards ceremony, must

purchase a ticket.

4. Prior to tickets going on sale to the public, each participating school will have the opportunity to purchase discount

tickets as a group for participating students and directors. This does not include family and friends.

5. Ticket information for the general public is issued by DSM a month in advance of the show.

JUDGING & EVALUATION PROCEDURES

C. JUDGING CRITERIA & PROCESS

1. An approved panel of highly qualified entertainment industry, theatre professionals and veteran educators is

assembled by DSM to serve as the DSM Awards judges.

2. Judges are selected with extensive work in professional theatre in the capacity of directing, choreographing, acting,

musical directing, theatre design & technical production, talent management, theatre administration or theatre education. High school educators must be out of teaching five years before being eligible to judge.

3. Judges are required to attend two mandatory meetings. These meetings provide an extensive orientation of the

program and the evaluation process.

4. Judges will not be assigned to a school with which there may be a conflict of interest.

5. Judges are required to judge no less than four schools.

6. Three judges, one of which will be considered the administrative judge, will evaluate each school only once. If a show

is double cast, the school will specify the cast they want to be judged.

7. Each school will be notified as to the date the judges will be evaluating their show. The school’s director/teacher may

make DSM HSMTA aware of a preferred day or cast to be judged.

8. Six complimentary reserved tickets will need to be held at the school’s box office under “DSM Judges.” Please make

sure that these seats are in a good location.

9. Schools are asked to provide a greeter for DSM judges to direct them to their meeting room and assist with any

questions or needs they may have during the performance.

10. The team of judges is required to meet before, during intermission and directly after the show to discuss the

production. The school must provide a room in which the judges may meet privately.

11. The teacher will meet with the judges prior to curtain time to verify production information supplied on Production

Information Sheets and notify judges’ panel of any changes or revisions in any category including makeup of pit orchestra.

12. Each individual judge will complete a provided evaluation form on the production, which includes detailed comments

and scores for the fifteen categories.

13. The administrative judge collects evaluation forms and transmits them to DSM’s Certified Public Accounting firm.

14. DSM HSMTA will send a detailed feedback letter to each school within 30 days after judges evaluate the production.

D. SCORING

1. Each show will be evaluated by three and only three judges. One of these judges will be considered the administrative judge.

2. Judges must provide feedback in all categories even if a production is not eligible for a particular category. The rating point system is from 1-100.

3. In each category, the three ratings will be totaled and the result will equal the score.

4. if there is a difference of 20 or more points between any one score and the next higher or lower score in any category,

the outlier score will be thrown out by the accounting firm and the remaining two scores will be averaged to create a third score. That average figure will be substituted for the rating that is 20 or more points at variance with the others. Those three figures will then be totaled for the score.

5. In the event that only two judges report on a show, the mean average of their ratings will be calculated and used as the

E. TABULATING

1. When all shows have been evaluated results will be tabulated.

2. The results will be reviewed by DSM’s Certified Public Accounting firm who will certify them as accurate.

3. The highest score will determine the winner in each category. In the event two or more entrants in any category

have the same score, a review committee will resolve the issue in the following manner:

i. A winner may be selected by taking the three ratings, dropping the lowest rating, and adding the

remaining two for a final score.

II. If after this procedure the two scores are still equal, then a tie will be declared with two

winners or the review committee will select the winner through further evaluation.

4. The evaluation forms remain the property of the Dallas Summer Musicals.

A. Nominations / Winners

a. Only the Nominees and Winners, and not their scores, will be announced in each category.

b. The number of Nominees in each category will be determined at the sole discretion of DSM based on the

number of possible candidates and their scores.

c. All decisions will be final in all respects.

B. Judging Process for Best Actor/Actress Nominees

 After the top nine nominees are announced, they will perform for our assembled DSM judges the day prior to the

Awards Show. DSM HSMTA will follow the same format used by the National High School Musical Theater Awards (The Jimmy Awards©) in New York City.

 Their performance will consist of a medley of all the nominees performing their solo from their nominated role and

a solo performance of a contrasting song from any lead male character from a show on the NHSMTA list of approved lead roles.

 The DSM judges will make their selection for Best Actor & Best Actress based on this performance.

 Winners will be announced the following evening at the DSM HSMTA Awards Ceremony.

2015 SCHOLARSHIP GUIDELINES

Dallas Summer Musicals will be awarding scholarships of at least $1,000 to outstanding participating

students of the DSM High School Musical Theatre Awards. All participating schools will be provided

with the scholarship guidelines and applications for their students to submit.

The scholarship committee made up of DSM administrative and education staff, board members, and

Dallas Summer Musicals recognizes that theater requires the dedication of all participants both on stage and behind the scenes. Therefore, they are pleased to award a scholarship to an individual participating in any capacity of their school’s DSM High School Musical Theatre Award musical.

Eligibility

 A current participating DSM High School Musical Theatre Award school may nominate one student who is participating in any aspect of its 2014-15 musical (performer, designer, stage crew, etc.).
