As part of the Office 365 suite and License through the Glow Tenancy all staff and students have the OneNote available to them. (Currently waiting Council Authorisation). This application or online tool is all about collaboration and student engagement.

The Online app can be found on the apps bar within the Office 365, just look for the icon on the left hand side with the 9 squares in it.

This will give you the following:

You may have already noticed that the OneNote Class app has already been placed in the view shown above. If it is not there you click on the My apps and you get the

following(more apps may appear as they are added all the time by RM/Microsoft).

Click on the three dots, you may need to review(App details) it first before being able to pin it to the Office 365 apps bar.

The app for OneNote Class Creator has now been added.

(2)

How to set up the Class using the Creator APP.

This app is basically a wizard, in other words takes you through the process of setting up your class.

The first thing that should be done is planning what you want on the OneNote Notebook. The OneNote has basic areas already set up, but you can add pages and areas to meet the requirements for your subject or areas you want to cover. The OneNote already has the following areas set when launched.

Collaboration Space (Staff and Students can edit content)

Content Library (Staff can edit, whilst Students can only view

or copy it, they can edit a copy)

Student Notebooks Teacher can edit Content, Student can edit their

own content but can’t view other student’s notebook.

The students spaces should be decided on before starting the process, they can be added to later and are not fixed. The basic ones set are, Handouts, Class Notes, Homework and Quizzes. These can be added to or removed if required. Example could be a project the class is going to do example Investigating Mobile Devices or Egypt or Prime Numbers what ever is required.

This can be previewed and then if required going back to an early stage before the process is completed.

It is important to know that almost all electronic forms of data can be placed into OneNote such as, Word docs, PDF, excel, powerpoint, mp3(audio), images and movies. Links can also be added in to other webpages.

So with all that in mind you can set up the basic Notebook and add to it as required. This adding of items does not require the class creator. You can use the class creator to add or remove members and other teachers. Later on in this introduction it will be shown how you invite or tell the students how to find their NoteBook by sending them a link.

The last thing to note is that the screen layouts can vary depending on how you get access to the Notebooks. There are three ways in which you can access this, the OneNote application on PC or Mac, Apps on iOS or Android and the online version

through the Office 365 platform. Screen shots will be given in this introduction and as you may be aware the platform is evolving. This means that improvements are made from time to time and Microsoft will add more functionality including improving the look and feel of the OneNote.

As an added bonus the OneNote is a free app on all mobile devices, you just need an active Glow account and can be added to sites through the share point apps.

Setting up the OneNote Notebook (example)

Okay in this scenario we are creating a Computing N4 Class (okay not all work areas will be added)

(1) Gather all the students Glow usernames in your Class

(2) Decide which areas you are wanting, Software Design and Development (SDD) Information Systems Design and Development (ISDD) and added value areas. (3) The Notes to be placed into the Class Notes or in the or the Contents Library. The

student can copy items from the Contents Library to their own Notebook, this could be homework, notes and any digital resource.

Okay lets get the OneNote for the Computing Class Nat4 A

Open the Class Creator App within the Office 365

(1)

Click on the Create a class notebook. This will ask you for the Classname.

(4)

(2) The Overview will be given (standard for the OneNote)

This has been explained earlier, just click Next to proceed.

(3) Adding another teacher (optional), this could be a shared class or a PT who can

see the workbooks, this can help in cross marking.

The staff member is added using their Glow/RM username or e-mail EAfirstname.secondname @glowmail.org.uk or @glow.sch.uk

This is optional and you can have more than just two staff if you wish. Click Next to proceed.

(4)

Add the students for your class, if the username is okay they will be changed into their name followed by an ‘x’ (tip have them ready to enter before starting)

(5)

(5) Design Students Space

The next stage is to decide what areas you want the students to see or have to store work, notes anything you feel would enhance their learning.

As you can see above there are four basic areas, you can add more or remove them.

Lets add the three required for this National 4 Computing Class, you would click on the Add more and enter the appropriate names.

Software Design and Development (SDD)

Information Systems Design and Development (ISDD) Added value Units.

In this case it has been decided to remove the Quizzes and this is done by ticking on the blue tick box to de-select it.

(6)

(6) Preview Workbooks Staff View

Student View

You can always go back and make changes at this point (the back arrow).

If the layouts look the way you want then click Create.

This will then create a link for the Notebook which you can then e-mail to the students.

Students in the class.

Student’s Sections

(7)

(7) The Link to the Notebook.

E-mail the link to the staff and Students involved.

Okay this NoteBook will be stored within the OneDrive for the member and can be found there once they have joined.

Clearly before the Notebook has been sent out to the students the materials notes and homework should be added for the initial use. This can be updated as time goes on and Homework being an example placed into the _Content Library. Remember this can only be copied by students and is a simple process of copy and paste into the appropriate Homework section. Pupils can copy any of these into the area of choice in their Notebook.

The Notebook has been set up and ready to use. Pupils and staff can be added removed as well as materials. The Notebook creator can be used to also get the links for the site if they are lost. (The fourth option found when application Launched)

A possible view on the On-line View of OneNote.

You can add text files images, pdfs, movies or mp3 files

(8)

A possible view on the Application View of OneNote.

The word possible is chosen as this application is being evolved, Microsoft is trying to make the experiences between platforms (different systems) to be familiar and easy to follow.

The Following shows the tools that can be used to mark homework or annotate notes or give feedback to students. It can be text simply typed into the sheet or with touch screens written (annotated) right on to the work. Available on PC, iPad and Android devices, Mac OS is to follow.

This is in real time and should update when the marking is being carried out. However a syncing of the work book can be forced. This is just a flavour of what could be achieved.

Other benefits

(1) Colour of the sheets can be changed to suit the reader.

(2) The System does allow the user to dictate or add files easily if dictation

is required.

(3) As with most modern systems the text could be read back by the

computer.

(4) Homework and pupil’s work backed up automatically on the cloud.

(5) Sharing the work with other Staff members, cross making.

You can add text files images, pdfs, movies or mp3 files
