Recruitment

ACTION PLAN FOR RECRUITMENT

The Volunteer Management Committee will work with their liaison VC to provide information and guidance on recruitment of volunteers to fill needs. In addition, the committee will hold a Volunteer Management – Committee Chair information night. This event will allow us to explain the role of the committee, how we are structured and the methods we would like the Chair’s to use to identify their needs and recruit volunteers.

A series of methods will be used to recruit volunteers for our needs: 1. Weekly ads in the NYC weekly update email

2. Monthly ads and volunteer needs/activities update in the monthly newsletter

3. Regular postings in the Volunteer Section of the bulletin boards

4. Direct email to members as per their self-identified interest and skills in the club database

5. Volunteer table presence at Launch and Haul Out with list of specific volunteer activities that members can sign up for

6. New member orientation

7. Volunteer section on the NYC website 8. Work Parties

9. Direct telephone contact

1. WEEKLY ADS IN THE NYC EMAIL UPDATE

• Committee Chairs will use a template to submit their volunteer needs for an Ad in the weekly email update

• The template will require the following information: i. Committee or Project\Task Name

ii. Super short description

iii. Time commitment (very important!!!)

iv. Contact person (chair\ project manager) title (if any) email & phone

v. Posting date

vi. Submissions no later then Tuesday at 9 am - to Sam or Anna via email

2. MONTHLY ADS AND VOLUNTEER UPDATES IN THE NEWSLETTER • Committee Chairs will use a template to submit their volunteer

needs for an Ad in the Monthly newsletter

• Committee Chairs can also supply an article describing a successful event or recognition of a volunteer

• Submissions can be made by Committee Chairs to Samantha or Anna at any time

• The template will require the following information: i. Committee or Project\Task Name

ii. Super short description

iii. Time commitment (very important!!!)

iv. Contact person (chair\ project manager) title (if any) email & phone

v. Posting date 4. DIRECT EMAIL TO MEMBERS

• A standard letter template will be provided to the Committee Chairs for their completion for specific volunteer requests

• The Chairs will forward the email to volunteers@thenyc.com with a specific reference to the types of skills and interests they would like us to secure from the database

• The Volunteer Chair will then work with Samantha to have a query run on the database and the email letter will be sent direct to those members who have indicated a skill or interest in the relevant area • Responses will be forwarded by the Volunteer direct to the Chair for

follow up with the individual member

5. VOLUNTEER TABLE AT LAUNCH AND HAUL OUT

• Member(s) of the Volunteer Management Committee will man a table at Launch and Haul Out in an effort to educate members on events coming up and specific volunteer needs

• A seasonal calendar of events and associated volunteer needs will be provided to assist in members identifying areas of interest to sign up for in the coming year

6. NEW MEMBER ORIENTATION

• The Volunteer section of the New Member Orientation will be updated to reflect the new protocols and opportunities for volunteering at NYC

7. VOLUNTEER SECTION ON THE NYC WEBSITE

• The Volunteer section of the NYC website will feature a fill-able Interest and Skills Inventory that members can complete online and submit to the club. Samantha will enter the details on the club database

• A link will also be provided direct to the Volunteer Chair in order for people to identify any specific interests they have or address any questions

8. WORK PARTIES

• The Committee would like to introduce Work Parties to NYC • The concept is mirrored on ABYC and AYC where weekly on

Saturday mornings from 9 to noon members can attend the club and sign up for jobs that need doing. Examples would include gardening, painting, dock maintenance, etc.

• Coffee and muffins will be served and one person must be onside each weekend to greet volunteers and assign duties

In order to maintain a record of progress, we will ask Samantha to keep a running record of requests and ask that the Chairs provide feedback following recruitment efforts so that we can track how many volunteers we acquired per ad and method. This report will be updated and provided to the board monthly. Then Chairs must advise Sam once posting is over of number of volunteers secured and method they were secured by.

RECOGNITION

Recognition of volunteers is an essential component of the success of

volunteering at NYC. Chairs are asked to ensure they personally Thank their volunteers and consider also sending an email or note to recognize their efforts. In addition, an article following an event or a particular volunteer effort where individuals might be recognized will go a long way to showing appreciations and encouraging others to become involved.
