DOAA Collection System

• Entities submit reports through web-based

collection system.

• Website is:

• To access system, must first create an account.

Salary and Travel Report

• State Law requires DOAA to report salary and

travel payments to employees.

• Information must be on Open Georgia website by

January 1

st

, following the end of the fiscal year.

• Joint involvement with SAO.

• FY 2014 deadline was August 15

th

.

• We do not audit the data. We are relying on the

agency to provide accurate and complete

Payments and Obligations Report

• This is a similar process to the salary and

travel report – Joint involvement with SAO and

Audits.

• This year’s deadline is October 15

th

.

• This is also information that is posted on the

Open Georgia website.

Expenditure of Federal Awards (SEFA)

• This is required in order to comply with the provisions of the Single Audit Act.

• State entities must submit their Schedule of Federal Expenditures by August 15th.

• All entities are required to report, even if they have no Federal expenditures.

• SAO provides instructions for compiling the

necessary data and for uploading/entering data into our collection system.

Findings Collection System

• Purpose

– To collect agency responses/corrective action plans for current year findings, and

– To collect status updates on prior year findings.

Findings Collection System

• Current Year Findings

– Agency contact will receive an e-mail notification that a finding has been written.

– Agency official inputs their response and corrective action plan in the system.

– No official deadline, but we request timely response as we must include in our audit report.

Findings Collection System

• Prior Year Findings

– Annually, agencies are required to update

SAO/DOAA on the status of findings from prior year(s).

– Deadline for FY 2013 findings was August 29th.

– Information is used as a ‘starting point’ to assess the status of prior year findings.

Immigration Compliance Report

• Deadline – December 31st of each year

• Agencies submit Contractor Report and Public Benefits Report

• Colleges/Tech Schools – Only Submit Contractor Report

• Reporting Period: 12/1/2013 – 11/30/2014 • System will open 11/1/2014

Contract Payments to Nonprofit Organizations

• Agencies/Colleges/Tech Colleges are required

to submit a report documenting all contract

payments to nonprofit organizations during a

fiscal year.

• Must report – even if no contracts awarded

• Deadline for submission – August 15, 2014

• For FY 2014, 75% of required entities have

Architectural and Engineering Report

• State law prohibits any architectural or engineering firm from receiving more than 10% of the total

contract awards during any 36-month period.

• State Auditor is required to maintain the statistics documenting the total contract awards to such vendors.

• Recently developed a collection system to facilitate your submission of data and our tracking of award amounts.

• All entities are required to report monthly.
