How to Use this Guide
This guide is designed to assist MetaFrame XP administrators with all
administrative tasks related to deploying, maintaining, and using Citrix MetaFrame Conferencing Manager. It assumes that you are familiar with:
• Your MetaFrame XP Server environment, including server operating systems • The process of publishing applications on MetaFrame XP servers
• Citrix ICA Clients used to access published applications

Document Conventions
The following conventional terms, text formats, and symbols are used throughout the printed documentation:
Convention Meaning
Boldface Commands, names of interface items such as text boxes and option buttons, and text displayed at a command prompt.
Italics Placeholders for information or parameters that you provide. For example, filename
in a procedure means you type the actual name of a file. Italics also are used for new terms and the titles of books.
UPPERCASE Keyboard keys, such as CTRL for the Control key and F2 for the function key that is labeled F2.
Monospace Text displayed in a text file.
%SystemRoot% The Windows system directory, which can be WTSRV, WINNT, WINDOWS, or other name specified when Windows is installed.
{ braces } A series of items, one of which is required in command statements. For example,
{ yes | no} means you must type yes or no. Do not type the braces themselves. [ brackets ] Optional items in command statements. For example, [/ping] means that you can
type /ping with the command. Do not type the brackets themselves.
| (vertical bar) A separator between items in braces or brackets in command statements. For example, { /hold | /release | /delete} means you type /hold or /release or
/delete.
… (ellipsis) You can repeat the previous item or items in command statements. For example,
/route:devicename[,…] means you can type additional devicenames separated by commas.

Overview of MetaFrame Conferencing Manager
MetaFrame Conferencing Manager is a productivity tool that adds collaborative capabilities to the MetaFrame XP Server environment. For the first time, teams can now share application sessions, work together on document editing, and conduct online training regardless of the location of individual team members or the access devices or network connections they are using.
Think of MetaFrame Conferencing Manager as a virtual conference center where users:
• Hold a real-time conference any time the need arises
• Bridge geographic distances that would otherwise prevent them from working together as a team
• Save the time, costs, and inconvenience of travel
Ready accessibility and ease of use make MetaFrame Conferencing Manager a handy tool for effective user collaboration whenever meeting face-to-face is inconvenient, impractical, or even impossible.
You can leverage any application that is already published in MetaFrame XP for use with MetaFrame Conferencing Manager. You can make any application you plan to publish in the future available for use with MetaFrame Conferencing Manager as well.
Feature Highlights
MetaFrame Conferencing Manager extends your existing investment in MetaFrame XP Server by adding the following powerful features to your MetaFrame XP access infrastructure:
Ability to hold conferences across your network. Use MetaFrame Conferencing Manager to instantly connect with anyone, anywhere on the network and start collaborating any time and over any supported device.
Access to any type of MetaFrame XP published application. Leverage your existing application infrastructure and investment.
Access to any type of information. Open and share any file type supported by your MetaFrame XP published applications.
Seamless integration with Microsoft Outlook and Exchange Server. Use the Microsoft Outlook calendar to check attendee availability, schedule conferences by email, and set conference reminders.
Per-user keyboard and mouse control. Control what attendees can do in a conference. Choose between view-only access and full keyboard and mouse control.
Web Browser. Launch a Web browser with the click of a button.

How a MetaFrame Conference Works
MetaFrame Conferencing Manager is not a single application, but consists of several components and services. Two of those components run as published applications on MetaFrame XP servers. In the process of starting a MetaFrame conference, a user connects to both components that run as published applications. As with any published application, when a user connects to MetaFrame
Conferencing Manager to host a conference, a MetaFrame XP server session is created for the user. The user works within the server session and has access to a distinct set of resources within it. Such resources can include, but are not limited to: • Published applications
• Files and folders • Network printers • Mapped drives

MetaFrame Conferencing Manager server session is shared
Roles of Users in a MetaFrame Conference
Users’ conference experiences are slightly different depending on their role in a conference. MetaFrame Conferencing Manager discerns between the following user roles:
Conference Organizer
The conference organizer is the person who schedules a MetaFrame conference in advance through Microsoft Outlook.
Conference organizers may or may not choose to participate in a conference they schedule. They can appoint a conference host to start and run the conference in their stead.
Conference Host
The conference host is the person who starts a MetaFrame conference, regardless of who organized it. Thus, a conference host is one of the following:
• A person appointed by the conference organizer to be the conference host • A person who creates and starts an instant conference using MetaFrame
Conferencing Manager’s built-in Create Conference wizard
By granting or denying attendees keyboard and mouse control, the host controls what attendees can do in the conference. For more information about keyboard and mouse control, see “Controlling what Attendees Can Do” on page 17.
Note A MetaFrame conference takes place in the conference session of the conference host. The resources available within the host’s conference session are available to other users.
Conference Attendee
A conference attendee is a person who is invited to join a MetaFrame conference, regardless of whether or not the person is currently present in the conference. At the discretion of the conference host, an attendee may or may not have keyboard and mouse input in the conference. As a result, the attendee may or may not be able to edit files. Without keyboard and mouse access, attendees can only view the conference, not participate in it.
Conference Participant
Controlling what Attendees Can Do
The conference host has full control over the level of attendees’ access to the conference session. Depending on their level of access, attendees can either only view or fully edit files. The host can give attendees the following levels of access: • Keyboard and Mouse Control
• No Keyboard and Mouse Control • Sole Keyboard and Mouse Control
Keyboard and Mouse Control
This is the access level participants must have to edit files. It is the default access level and applies to all conference participants initially. After starting the
conference, the host can modify access levels on a per-attendee basis. With keyboard and mouse control, participants can:
• Use their keyboard and mouse in the shared area of the conference • Open, edit, and save files in the conference
Note File system-related restrictions on files and folders in the server session of the host also apply in a conference. For example, if a file in the server session of the host is set to read-only, neither the host nor attendees can edit that file.
No Keyboard and Mouse Control
Without keyboard and mouse control, attendees can view, but not actively participate in the conference. They can view files opened by the host, but they cannot open, edit, or save files themselves.
Use this access level for:
• All attendees when you use MetaFrame Conferencing Manager for
demonstration purposes; that is, to make a presentation that does not require attendees’ keyboard and mouse input
• Specific attendees if you do want some but not all attendees to actively participate in the conference
Sole Keyboard and Mouse Control
As with keyboard and mouse control, an attendee with this access level can: • Use keyboard and mouse in the shared area of the conference
• Open, edit, and save all files in the session context of the host • Add and remove content from the session context of the host
However, this access level is limited to one attendee at a time and prevents all other participants from having keyboard and mouse control at the same time.
Choosing Between Scheduled and Instant Conferences
MetaFrame Conferencing Manager comes with a built-in wizard that allows users to create a conference at a moment’s notice. If you integrate MetaFrameConferencing Manager with Microsoft Outlook and Exchange Server, you can leverage Outlook’s email and scheduling capabilities to book conferences in advance.
Instant MetaFrame Conferences
Create an instant conference if there is no time or need to give attendees advance notice. Use MetaFrame Conferencing Manager’s built-in Create Conference wizard to create an instant conference, then call attendees on the telephone and invite them to join.
Scheduled MetaFrame Conferences
Schedule a conference ahead of time if there is sufficient time or a need to give participants advance notice. Use Microsoft Outlook to schedule the conference, invite attendees, and email preview copies of files you want to edit to attendees.
Overview of MetaFrame Conferencing Manager Components
MetaFrame Conferencing Manager consists of the following main components: • MetaFrame Conferencing Manager user interface
• Conference Room component • Conference Organizer service
MetaFrame Conferencing Manager User Interface
The MetaFrame Conferencing Manager runs as a published application on MetaFrame XP servers. To participate in a conference, users connect to the user interface using their ICA Client or from the logon page to the Web Interface of MetaFrame XP.MetaFrame Conferencing Manager user interface
The user interface provides users with two key elements of a MetaFrame conference:
• All tools and controls necessary to participate in a conference. These include menu controls, conference and attendee information, and a wizard to create conferences.
• Conference Room. The interactive, shared area of the conference where all user collaboration takes place.
By creating or joining a conference from within the user interface, a user connects to another main component of MetaFrame Conferencing Manager — the
Conference Room Component
The Conference Room component is an application that provides the actual shadowing session within which users collaborate during a conference. Like the user interface, the Conference Room is a published application that runs on MetaFrame XP servers. Unlike the user interface, however, the Conference Room runs as a hidden application. As a result, it does not visibly appear in a user’s application set. Instead, users connect to this component from within the MetaFrame Conferencing Manager user interface.

Planning Your MetaFrame
Conferencing Manager Deployment

System Requirements
MetaFrame Conferencing Manager requires Citrix MetaFrame XP Server for Windows with Service Pack 3 or later. For detailed information about system requirements for MetaFrame XP, see the MetaFrame XP Server Administrator’s Guide.
Integrating MetaFrame Conferencing Manager with Microsoft Exchange Server or Outlook requires Exchange Server 5.5 or Exchange Server 2000 and Outlook 2000 or later.
Planning Your Deployment
Step 1 - Selecting Servers
If you are deploying the software in a domain, you can install the software on multiple MetaFrame XP servers. Installing multiple instances of the MetaFrame Conferencing Manager user interface and the Conference Room component allows you to gain scalability by load balancing the two components that run as published applications.
To select the servers on which you install the components, consider the following guidelines. In addition to selecting servers for MetaFrame Conferencing Manager, you must also designate two servers that serve as the primary and backup servers for the Citrix XML Service. For information about system requirements, see “System Requirements” on page 25.
Important You must deploy all components on servers that belong to the same domain or to trusted domains.
MetaFrame Conferencing Manager user interface and Conference Room. Both of these components run as published applications on MetaFrame XP servers. In the process of participating in a conference, users connect to both components. If you anticipate or observe high numbers of concurrent connections to these components, you can gain performance improvements by installing and load balancing them on multiple servers.
Conference Organizer Service. The Conference Organizer is a service you can run on any server within a MetaFrame XP server farm or on a server within the same domain as the MetaFrame Conferencing Manager user interface and the
Conference Room component.
Note Only one instance of the Conference Organizer service per server farm is required. Install this component on one server only.
Citrix XML Service. MetaFrame Conferencing Manager utilizes the Citrix XML Service to communicate published application information to clients using HTTP protocol and XML data. The Citrix XML Service is a part of the MetaFrame XP Server infrastructure. It is present on all MetaFrame XP servers in a MetaFrame XP server farm. However, you must configure the Conference Organizer service to contact two particular servers to use as the primary and backup servers for the XML Service.
Step 2 - Deploying the Latest ICA Clients to Users
Citrix recommends that users use the latest ICA Clients to work with MetaFrame Conferencing Manager. You can download the latest ICA Clients from the Citrix Web site at http://www.citrix.com/download/. For information about deploying ICA Client updates to users, see the MetaFrame XP Server Administrator’s Guide.
Step 3 - Considering Pass-Through Authentication
When using the MetaFrame Conferencing Manager, a user is authenticated on two separate occasions:
• Initially, when connecting to the MetaFrame Conferencing Manager user interface through the ICA Program Neighborhood Client. This authentication is performed by the server that hosts the particular instance of the MetaFrame Conferencing Manager user interface to which the user connects.
• Subsequently, when connecting to the Conference Room component. This happens when the user requests to join a conference from within the MetaFrame Conferencing Manager user interface. This authentication is performed by the server that hosts the particular instance of the Conference Room component to which the user connects.
You can simplify the authentication process for the user by enabling pass-through authentication. When pass-through authentication is enabled, the ICA Client caches a user’s logon credentials and passes them to the server when the user establishes a connection. Thus, user authentication occurs transparently, without an explicit logon prompt.
You can enable pass-through authentication to eliminate either the initial or the subsequent logon prompt, or both. For more information and step-by-step
instructions for enabling pass-through authentication, see “Enabling Pass-Through Authentication” on page 42.
Step 4 - Considering Microsoft Exchange Server and
Outlook Integration
You can integrate MetaFrame Conferencing Manager with Microsoft Exchange Server and Outlook to enable users to:
• Start their Outlook calendar appointments from within MetaFrame Conferencing Manager
Leveraging email and calendar features of Outlook. Scheduling a MetaFrame conference works just like scheduling any other appointment in Outlook. Users who are familiar with the email and appointment scheduling capabilities of Outlook can book MetaFrame conferences without having to learn a new task.
Reduced scheduling conflicts. You can take advantage of the Outlook calendar to check attendee availability before you start or schedule a MetaFrame conference.
Sending conference agenda and preview items to attendees. Because you use email as the mechanism for inviting people to a MetaFrame conference, you can distribute agenda items and preview copies of files on which you want to work as attachments in your conference invitation.
Scheduling a conference on behalf of another person. At your discretion, attendees can start and host a MetaFrame conference you schedule through Outlook on your behalf. This is convenient if:
• You are not able to attend the conference yourself.
• You schedule a conference on someone else’s behalf. For example, you can schedule a conference for an entire department without having to be present in the conference yourself.
Deploying MetaFrame
Conferencing Manager

Overview of Deploying MetaFrame Conferencing Manager
To start using MetaFrame Conferencing Manager, you must deploy at least one instance of each of the three main components:
• MetaFrame Conferencing Manager user interface • Conference Room component
• Conference Organizer service
If you are deploying the software in a workgroup, install all components on a single server. If you are deploying the software in a domain, you can install the
components on one or more servers. For more information about planning your deployment of MetaFrame Conferencing Manager, see Chapter 3, Planning Your MetaFrame Conferencing Manager Deployment.
Deploying a component of MetaFrame Conferencing Manager consists of the following general tasks:
• Installing the component • Configuring the component
Installing and Publishing MetaFrame Conferencing Manager
You must deploy all components of MetaFrame Conferencing Manager on servers that belong to the same domain or to trusted domains. The procedures for installing all three components are identical.
Important The Conferencing Manager user interface and the Conference Room component are automatically published to MetaFrame XP when you install them. The Conference Room component appears as Citrix Conference Room under the
Applications node in the Management Console for MetaFrame XP. Do not rename
Citrix Conference Room within the Management Console for MetaFrame XP. Doing so renders MetaFrame Conferencing Manager inaccessible to users.
The Conference Organizer service does not have to reside on a MetaFrame XP server. You can deploy this component on a regular domain server or on a
MetaFrame XP server. Only one instance of Conference Organizer per server farm is required. Install this component on one server only.
To install MetaFrame Conferencing Manager, you must be logged on as an administrator of the local machine. To install the MetaFrame Conferencing Manager user interface or the Conference Room component, both of which are automatically published in MetaFrame XP, you must also be logged on as a MetaFrame XP administrator with permission to publish applications.

Using the Windows Installer Package for MetaFrame
Conferencing Manager
MetaFrame Conferencing Manager Setup is compiled into a Windows Installer package. Windows Installer is a component of the Windows operating system that manages the installation and removal of applications. Windows Installer applies a set of centrally defined setup rules during the installation process that define the configuration of the application.
Windows Installer technology consists of the Windows Installer Service for the Windows operating systems and the package (.msi) file format used to hold information regarding the application setup. You use the Windows Installer Service to modify, repair, or remove an existing application that was installed using Windows Installer technology. Go to Add/Remove Programs in Control Panel to remove or modify Windows Installer packages installed on the system.
You can deploy Windows Installer packages using Installation Manager or Microsoft Active Directory Services or Systems Management Server. For more information about Windows Installer technology and the Windows Installer Service, see the Windows online Help or the Microsoft Web site at
http:// www.microsoft.com.
If you encounter problems when running the Windows Installer package, you can check the Windows Event Viewer for a list of the problems. To open Event Viewer, go to Start > Program Files > Administrative Tools > Event Viewer. Check the Application Log for any entries in the Source column of the type “MSIInstaller.”
Configuring the Windows Installer Package for Silent Installation
“Silent” installation is the process of installing and configuring an application with little to no manual intervention on your part. When performing a silent installation, you do not use the Setup user interface. Instead, you run the installation from a command line, including all configuration parameters.You can perform a silent installation of MetaFrame Conferencing Manager to install, configure, and publish the software. To do this, you must run the MetaFrame Conferencing Manager Windows Installer package, CMCM.msi, from a command line and include all required configuration parameters.
Because CMCM.msi contains three components – the MetaFrame Conferencing Manager user interface, the Conference Room component, and the Conference Organizer service – you must specify which components you want to deploy. The following sample command line illustrates a typical silent installation of the MetaFrame Conferencing Manager user interface and of the Conference Room component:

Step 1 - Preparing a Network Share Point

1. Set up a network share point from which to install the Installation Manager package for MetaFrame Conferencing Manager.
2. Copy the following files from the MetaFrame Conferencing Manager CD-ROM to a single folder on the network share point:
• The Windows Installer package for MetaFrame Conferencing Manager (CMCM.msi)
• The transform file for the language version of MetaFrame Conferencing Manager you want to install
The CMCM.msi file installs the components of MetaFrame Conferencing Manager you specify in Step 3 below. The transform file applies the elements specific to the language version of MetaFrame Conferencing Manager you want to install, such as a user interface in a particular language. The following transform files are located in the Transforms folder of the MetaFrame Conferencing Manager CD-ROM:
Important Both CMCM.msi and the transform file must be located in the same folder of the share point.

3. Under the farm node, select Installation Manager.
4. From the Actions menu, select Properties. The Installation Manager Properties dialog box appears.
5. Select Network Account and type your MetaFrame XP administrator credentials.
6. Click OK when you are done.
Step 3 - Creating the Installation Manager Package
An Installation Manager package, in general, combines information about the location on a network share point of the software you want to install and configuration parameters you specify. The Installation Manager package for MetaFrame Conferencing Manager, in particular, combines the information about the location of CMCM.msi and the transform file you copied to your network share point in Step 1 and the configuration parameters you specify in Step 4.
" To create the Installation Manager package
1. In the Management Console for MetaFrame XP, expand the farm node. 2. Under the farm node, expand Installation Manager and then select Packages. 3. From the Actions menu, select Installation Manager Packages and then Add
Package. The Add Package dialog box appears.
4. In the Package Name text box, type the name you want to give the Installation Manager package for MetaFrame Conferencing Manager.
5. In the File text box, type the path to the CMCM.msi file on the network share point you set up in Step 1 or click Browse to navigate to the file. Make sure you include the file name in the path.
6. Click OK. A dialog box appears, asking if you want to add transforms or command line parameters at this time. Click Yes to configure the package now or No to continue later.
Step 4 - Configuring the Installation Manager Package
To ensure that Installation Manager installs the proper components of MetaFrame Conferencing Manager in the proper language, you must configure the Installation Manager package with a number of properties. Among those are:
ADDLOCAL Because CMCM.msi contains three components — the MetaFrame Conferencing Manager user interface, the Conference Room component, and the Conference Organizer service — you must include this property to specify which components you want to install.
TRANSFORMS Include this property to specify the language version of MetaFrame Conferencing Manager you want to install.
" To configure the Installation Manager package
1. Open the Properties page of the Installation Manager package for MetaFrame Conferencing Manager you created in Step 3.
2. Under MSI Attributes, in the Transforms text box, type the path to the transform file on the network share point you set up in Step 1 or click Add to navigate to the file. Make sure you include the file name in the path.
3. In the Command line options for install text box, type the appropriate configuration parameters. The following sample command line options illustrate a typical deployment of the MetaFrame Conferencing Manager user interface and of the Conference Room component.

Step 5 - Installing the Installation Manager Package
Use the Schedule Install Job wizard of Installation Manager to install the package. Using the wizard, you determine the servers on which to install MetaFrame Conferencing Manager and the time you want the installation to occur.

1. Open the Management Console for MetaFrame XP. 2. Expand the farm node.
3. Under the farm node, expand Installation Manager, expand Packages, and then select the Installation Manager package for MetaFrame Conferencing Manager you created and configured in Steps 3 and 4.

Install Package. The Schedule Install Job wizard appears.
5. Use the wizard to select the servers on which you want to install the software.
Configuring MetaFrame Conferencing Manager
After you install a component of MetaFrame Conferencing Manager, you must configure it before you can start using it. When you finish installing a component, the MetaFrame Conferencing Manager configuration tool appears. Use the configuration tool to provide the required configuration information for the component you are installing.
The components of MetaFrame Conferencing Manager that run as published applications – the MetaFrame Conferencing Manager user interface and the Conference Room component – are automatically published when you install them. You do not need to manually publish them. They are also preconfigured to be instantly available to the following user groups:
• Group Domain Users for servers that belong to a domain • Group Users for servers that do not belong to a domain
Configuring the Conference Organizer Service
The Citrix XML Service is a part of the MetaFrame XP Server infrastructure. It communicates published application information to clients using HTTP protocol and XML data. The XML Service is present on all MetaFrame XP servers in the server farm. However, you must configure the Conference Organizer to use a primary server and a backup server for the XML Service.
To reduce network traffic, Citrix recommends that you designate one of the server farm’s data collectors as the primary server for the XML Service.

Configuring the MetaFrame Conferencing Manager User
Interface and the Conference Room Component
To configure the MetaFrame Conferencing Manager user interface and the Conference Room component, you must perform the following tasks: • Specifying the Location of the Conference Organizer Service • Assigning Users to MetaFrame Conferencing Manager
• Specifying the Conference Room License Type (Conference Room component only)
For help assigning user accounts and user groups to a published application, see the Management Console for MetaFrame XP online help. For additional information about users and user groups, see the documentation that came with your Windows operating system or the MetaFrame XP Server Administrator’s Guide.
Note Although the Conference Room component runs as a published application, it is hidden from users. As a result, users cannot connect to Conference Room directly. Instead, they connect to it from within the MetaFrame Conferencing Manager user interface.
Specifying the Location of the Conference Organizer Service
You must configure both the MetaFrame Conferencing Manager user interface and the Conference Room component to be aware of the location of the Conference Organizer service. When you finish installing either component, the MetaFrame Conferencing Manager configuration tool appears. Use the Conference Organizertab of the configuration tool to provide the required configuration information for the component you are installing.
Assigning Users to MetaFrame Conferencing Manager
Both the MetaFrame Conferencing Manager user interface and the Conference Room component run as MetaFrame XP published applications and are
automatically published when you install them. To be accessible to users, you must assign the proper user groups to both components. For your convenience, both components are automatically assigned and instantly available to members of the following user groups:
• The Domain Users group is assigned to all instances of both components that are published on servers that belong to a domain.
• The Users group is assigned to all instances of both components that are published on servers that do not belong to a domain.
Give due consideration to these assignments and modify them as appropriate. Use the Management Console for MetaFrame XP to manage user assignments to these published applications. When you install additional instances of either component, the existing user assignments automatically apply to those new instances.
Important Only users whose user accounts are assigned both to the MetaFrame Conferencing Manager user interface and to the Conference Room component can access and use the software. Therefore, if you modify the user assignments, make sure that both published components have identical user assignments.
Before You Modify User Assignments
Before you modify user and user group assignments, be aware of the following interdependencies.
To be able to host a MetaFrame conference using a particular published application, a conference host’s user account must be assigned to all of the following:
• MetaFrame Conferencing Manager user interface • Conference Room component
• The particular published application to be used in the conference
For example, if you want User A to host a MetaFrame conference using published application B, you must make sure that the MetaFrame Conferencing Manager user interface, the Conference Room component, and published application B have user assignments that include User A’s user account.
Server Type Preconfigured User Group Assignment
" To modify user and user group assignments
1. Open the Management Console for MetaFrame XP. 2. Expand the farm node.
3. Under the farm node, expand Applications.
4. Under Applications, right-click the Citrix Conference Room and select
Properties.
5. In the Citrix Conference Room Properties dialog box, select Users. 6. Use the controls on the Users properties page to add or remove user
assignments as appropriate. 7. Click OK when you are finished.
8. Repeat Steps 4 through 7 for Citrix MetaFrame Conferencing Manager.

Specifying the Conference Room License Type
You must configure a valid license type for every server on which you install the Conference Room component. Use the Conference Room Licenses tab of the configuration tool to provide the required configuration information.
You can administer license types remotely; that is, use the configuration tool on one server to view and set the license type for another server.
Setting license types on remote servers. Setting license types remotely involves writing to the remote registry. To do this, you must be logged on as a domain administrator while using the configuration tool.
Viewing license types on remote servers. To view license types for remote servers, you must be a MetaFrame XP administrator. If the domain administrator credentials you provide do not match those of a MetaFrame XP administrator, the
configuration tool prompts you for MetaFrame XP administrator credentials. For more information and step-by-step instructions for specifying the license type for the Conference Room component, see the MetaFrame Conferencing Manager configuration tool online help.
Enabling Pass-Through Authentication
If you decide to enable pass-through authentication for MetaFrame Conferencing Manager, complete the steps in this section. For an overview of pass-through authentication, see “Step 3 - Considering Pass-Through Authentication” on page 27.
Eliminating the Initial Logon Prompt
The initial authentication occurs when the user connects to the MetaFrame Conferencing Manager user interface through the Program Neighborhood Client. You can eliminate the logon prompt for this initial authentication by enabling pass-through authentication for the Program Neighborhood Client on the local client device.
Instruct users to enable pass-through authentication for their Program
Neighborhood Client or enable the feature yourself. For step-by-step instructions for enabling pass-through authentication, see “To enable pass-through
Eliminating the Subsequent Logon Prompt
The subsequent authentication occurs when the user connects to a particular MetaFrame conference from within the MetaFrame Conferencing Manager user interface. To eliminate the logon prompt for this subsequent authentication, you must enable pass-through authentication for the pass-through Program
Neighborhood Client on the server that hosts the MetaFrame Conferencing Manager user interface.
If you install the MetaFrame Conferencing Manager user interface on more than one server and want to eliminate the subsequent logon prompt for each of them, you must enable pass-through authentication on each such server. For step-by-step instructions for enabling pass-through authentication, see “To enable pass-through authentication for the Program Neighborhood Client” on page 43.
" To enable pass-through authentication for the Program Neighborhood Client
The following step-by-step instructions apply both to the Program Neighborhood Client installed on a local client device and to the pass-through Program
Neighborhood Client published on MetaFrame XP servers. 1. Open the Program Neighborhood Client.
2. On the Program Neighborhood menu bar, select Tools > ICA Settings. 3. In the ICA Settings dialog box, on the General tab, select Pass-Through
Authentication and then click OK. 4. Log off and log on again as prompted.
Licensing MetaFrame Conferencing Manager
To use MetaFrame Conferencing Manager, you must properly license the software. Licensing MetaFrame Conferencing Manager consists of the following tasks: • Installing the License
• Activating the License
• Specifying the Conference Room License Type
Grace Period for License Activation
After you enter a license serial number, you can use the software during a grace period before you must activate the license.
Refer to the Grace Days column on the License Numbers tab in the Management Console for MetaFrame XP. The numbers in this column tell you the number of days that remain in the grace period. Before the grace period ends, you must activate the license.
Citrix recommends that you use the grace period to thoroughly test your hardware and software configuration. When you are sure your system is set up properly, you can permanently activate your licenses.
Demonstration licenses and evaluation licenses must be activated using the same procedure described above. However, these licenses are valid for a limited period even after activation.
Installing the License
To install the software license, you must use the license serial number from the product packaging and add it to the Management Console for MetaFrame XP.
" To install the license
1. Open the Management Console for MetaFrame XP.
2. From the Actions menu, choose New > License. The Add License dialog box appears.
3. In the Add License dialog box, in the Serial Number text box, type the license serial number.
4. Click OK. A message appears, informing you that the license was added successfully, and asking you if you want to activate your license at this time. 5. Click Yes to activate your license immediately or No to activate it at a later time.
Activating the License
To activate the software license, you must get an activation code from the Citrix Activation System (CAS) Web page and enter it in the Management Console for MetaFrame XP.
" To activate the license
1. Open the Management Console for MetaFrame XP. 2. Expand the server farm node.
4. In the details pane, on the License Numbers tab, in the Description column, select Citrix MetaFrame Conferencing Manager.
5. From the Actions menu, choose License > Activate. The Activate License
dialog box appears.
6. Click Copy to Clipboard. This copies the MetaFrame Conferencing Manager license number you installed to the clipboard.
7. In a Web browser, log on to the Citrix Activation System (CAS) Web page at http://www.citrix.com/activate/.
8. On the CAS Web page, go to Licenses > Citrix Activation System > Activate Licenses. Paste the license number into the Your License Code text box and then click Continue. CAS now generates and displays your activation code. 9. Copy the activation code to the clipboard.
10. In the Management Console, in the Activate License dialog box, paste the activation code in the Activation Code text box and then click OK.
Specifying the Conference Room License Type
You must configure a valid license type for every server on which you install the Conference Room component. Use the Conference Room Licenses tab of the configuration tool to provide the required configuration information.

Overview of Exchange Server and Outlook Integration
You can implement MetaFrame Conferencing Manager by itself or integrate it with Exchange Server and Outlook.
If you implement MetaFrame Conferencing Manager by itself, users create conferences instantly; that is, the moment they want to start collaborating. They use the Create Conference wizard, which takes them through the steps of creating and starting the conference.
If you integrate MetaFrame Conferencing Manager with Exchange Server and Outlook, users can turn any Outlook calendar appointment into a MetaFrame conference. This is convenient because users can collaborate even if traveling to a meeting becomes impossible at the last minute.
Benefits of Exchange Server and Outlook Integration
Integrating MetaFrame Conferencing Manager with Exchange Server and Outlook gives you the following benefits:• Making any Outlook appointment a MetaFrame conference • Scheduling conferences ahead of time through Outlook • Setting conference reminders

• Using the MetaFrame Conference form to schedule conferences
The MetaFrame Conference form is a custom Outlook appointment form that extends the basic functionality of the standard Outlook appointment form. It gives users additional control and convenience when scheduling and joining a
conference. Implementing the form is optional. It it not a requirement for
integrating MetaFrame Conferencing Manager with Exchange Server and Outlook. For more information about the MetaFrame Conference form, see “Benefits of Implementing the MetaFrame Conference Form” on page 49.
Integrating MetaFrame Conferencing Manager with Exchange
Server and Outlook
You can integrate MetaFrame Conferencing with Exchange Server 5.5 or Exchange Server 2000.
To integrate MetaFrame Conferencing Manager with Exchange Server, you must perform the following tasks.
• Configure a Microsoft Exchange Server profile in every user’s Windows NT profile with Logon network security set to NT Password Authentication. • Install Outlook on every MetaFrame XP server on which you install the
MetaFrame Conferencing Manager user interface.
Note To ensure that Outlook integration works in a load balanced environment, Citrix recommends that you enable Roaming profiles if you install Outlook and the MetaFrame Conferencing Manager user interface, CMCM.exe, on more than one server.
• Install Microsoft’s Collaboration Data Objects (CDO) with Microsoft Outlook. To do this, run the Microsoft Office installer package and select Collaboration Data Objects from the list of features to install.

Implementing the MetaFrame Conference Form
You publish the MetaFrame Conference form in a central repository on the Exchange server. Doing so makes it available to users. Publishing the form on the Exchange server standardizes the way users schedule MetaFrame conferences and reduces administrative overhead. You can find the form in the Outlook folder on the MetaFrame Conferencing Manager CD-ROM.

However, organizers may not always want other people to be able to start their conferences. The MetaFrame Conference form allows organizers to restrict the list of people who can start and host their conference.

Ability to connect to a conference from within the Outlook calendar. You can embed a shortcut to MetaFrame Conferencing Manager in the MetaFrame Conference form. The shortcut appears in every appointment that is scheduled using the form. To connect to a conference, participants simply click the shortcut to open MetaFrame Conferencing Manager. Embedding the shortcut is an optional choice.
When you implement the MetaFrame Conference form in Outlook, a MetaFrame Conference button appears on the Outlook menu bar. To access the form, users simply click the button.

Using the MetaFrame Conference Form
To schedule appointments, Outlook employs a proprietary file type known as an Outlook form. Outlook uses different forms to schedule different types of appointments.
Attendee Availability or Scheduling tab. Users use the Attendee Availability tab (Outlook 2000) or the Scheduling tab (Outlook 2002) to view attendees’ Outlook calendar appointments. This tab is a standard feature on Outlook appointment forms.
MetaFrame Conference form, Attendee Availability tab:
Appointment tab. Users use the Appointment tab to enter or view information specific to a conference, such as start time and subject. This tab is also a standard feature on Outlook appointment forms.

MetaFrame Conferencing Manager tab. Users use the MetaFrame Conferencing Manager tab to specify the names of invitees who have permission to start and host the conference.

Security Warnings with Outlook
Outlook 2002 and Service Packs 2 and 3 for Office 2000 ship with Microsoft’s Outlook Object Model Guard. The security features of the Object Model Guard are designed to protect users from most email viruses and worm viruses that replicate through Outlook.
By default, the Outlook Object Model Guard blocks applications from accessing the Outlook address book and prompts the user to allow access.
As a result, when you integrate MetaFrame Conferencing Manager with Outlook 2000 with Service Packs 2 or 3, or with Outlook 2002, users scheduling a
MetaFrame conference through Outlook are presented with the following security warning:
The warning is triggered when the Outlook add-in of MetaFrame Conferencing Manager, CMCMOL.dll, accesses the Outlook address book. The add-in accesses the address book to identify the conference organizer and to give the organizer special privileges to update the list of hosts on the MetaFrame Conference form. To prevent the warning from appearing on users’ screens, ask your Exchange administrator to make CMCMOL.dll a trusted DLL. Step 1 - Embedding a Shortcut to MetaFrame Conferencing
Manager
Embedding a shortcut to MetaFrame Conferencing Manager in the MetaFrame Conference form is meant as a convenience for users and is not a requirement for using the form. To embed a shortcut in the form, choose one or both of the following options, depending on how users access published applications in your MetaFrame XP environment:
• An ICA file for MetaFrame Conferencing Manager. This file points to the MetaFrame Conferencing Manager user interface that runs as a published application on one or more MetaFrame XP servers. Choose this option if your users access published applications through application sets that appear in ICA Client software.
• A URL to the logon page of the Web Interface to MetaFrame XP. Choose this option if your users access published applications through the Web Interface for MetaFrame XP.
Note ICA files and URLs to the Web Interface logon page to MetaFrame XP can each point only to a single MetaFrame XP server farm. If you have more than one MetaFrame XP server farm in your enterprise, make sure that the ICA file or the URL to the MetaFrame XP logon page point to the most widely used server farm.
