Navigation

Introduction

TreasuryNow Reporting is a module within Bank of the West’s suite of online cash management services that is accessible from anywhere in the world via a PC and the Internet. Reporting is one of the core modules of the system and is available as part of a package or standalone. Reporting is provided in current and previous day mode with balance, summary and detail activity. Along with the previous day detail activity, images of paper items such as paid check and deposit ticket can be retrieved from the report, if client and user have the appropriate entitlement. There are also product reports which display an electronic copy of hardcopy reports from various back office systems.

The Reporting has three main categories:

 View Balances – to consult balances

 Run Reports – to view reports and reports templates

 Search Transactions – to perform transaction search Each selection is described below.

Reporting

View Balances

a. Balances Page

Deposit Accounts: The balance page displays the depository account balances. The user will be able to see balances for their entitled accounts and each account type.

There are two types of account activity reporting:

Previous Day Statement reports the account balances and activity that has been hard posted to the account which will be part of the statement. The data is available to report the day after posting. For example, the activity that posts on a business day is uploaded to the platform on the next day in the morning; regardless of whether that day is a weekend or a holiday.

Current Day Statement reports the account adjusted collected balance that is modified by the account activity that posts during the day, also known as memo post. The activity type includes electronic activity (i.e., incoming wires, outgoing wires, ACH transactions, controlled disbursement paid checks, etc.). The current day reporting will also include the memo posted transactions. As transactions posts throughout the day, the collected balance is adjusted.

Based on the account set-up and user entitlements, the system will display the available balances. The user has the ability to add or remove filters to view different type of balances associated with the account. Information is available for entitled account granted by the System Administrator.

The Quick and Extended balance view have different defaulted balances; however, the below listed balances are available on either view which allows the user to customize their balance page to fit their needs.

Prior Day Opening Ledger Balance – The prior day opening ledger balance is the balance at the start of the day and includes holds and float. The Opening Ledger is the same as Closing Ledger from the previous working day.

Prior Day Closing Ledger Balance – The prior day closing ledger balance is the ending account balance once all the day account activity has hard posted. This amount is the balance of the account for the specific day.

Prior Day 1 Day Float – 1 Day Float is the span of time from the time of the deposit to the time the funds are released for use by the depositor. The float amount and time is determined systematically once the deposited checks are processed through the bank’s Transaction Processing system. The amount assigned with 1 day float is uncollected. The funds are not restricted from usage during the float period; however, if used, uncollected fees (UCF) may apply.

Prior Day 2+ Day Float – 2 Day Float is the span of time from the time of the deposit to the time the funds are released for use by the bank. The float amount and time is determined systematically once the deposited checks are processed through the bank’s Transaction Processing system. The amount assigned with 2 day+ float is uncollected.

The funds are not restricted from usage during the float period; however, if used, uncollected fees (UCF) may apply.

Prior Day Hold – A hold is a temporary restriction on the ability to withdraw funds deposited to an account. The restriction is placed for a specific dollar amount for a specified period of time. The funds are unavailable during the hold period.

Prior Day Closing Available Balance – The available (collected) balance at the end of the previous business day. The Closing Available is calculated as follow: Closing Ledger minus all the float equals the Prior Day Closing Available

Today's Opening Ledger Balance – The ledger balance at the start of business today

Today's Opening Available Balance – The available balance at the start of the business today which is derived by taking the Prior Day Closing Ledger Balance Reported minus the Prior Day 2+ Day Float.

Pending Debits – The pending debits is the total of all current day memo posted debits as of the time of report generation.

Pending Credits – The pending credits is the total of all current day memo posted credits as of the time of report generation.

Current Available Balance – The current available is the collected balance during the day that a client can use without incurring uncollected fees. To arrive to the balance, take the Today's Opening Available Balance; subtract the Pending CDR Debits; then add the Pending Credits.

Submitted Transactions – The submitted transactions is the total of all the submitted transactions originated through TreasuryNow but not memo posted to the account as of the time of report generation.

Adjusted Available Balance – The adjusted available provides a look of the current available balance once all the submitted transactions memo post. Once the transactions are memo posted; they will drop from the submitted transactions and will appear under the pending credit or debits balance. To arrive to the balance, take the Current Available Balance; then subtract the Submitted Transactions balance.

Self-Reported Transactions – The self-reported transactions is the total of all the self- reported transactions that were added to TreasuryNow by the user. Each user will only be able to see the self-reported transactions that he/she manually added.

Forecasted Closing Balance – The Forecasted Closing Balance is the remaining total, positive or negative. The forecasted closing balance is used by the clients to forecast the expected end of day balance. To arrive to the balance, take the Adjusted Available Balance; then add or subtract the Self-reported Transactions balance.

b. Loans

Users who are entitled to a 15 digit loan account can view the loan balance section. If the user is not entitled to this account type, this section will not be available. The account type:

CLS – 15 digit loan (10 digit obligor + 5 digit CURR obligation number)

User can view the following defaulted columns for the entitled loan accounts under the balance page.

Account number – The 15 digit obligor & current obligation number comprises the account number.

Account name – The legal name that was given to the account at onboarding.

Favorite – The feature to choose the favorite loans among a list of accounts. By selecting the favorite star, the account moves to the top of the list. If other favorites already exist, the new selection moves on the next position below.

Account Type – Loan will be the type for all accounts under this category

D-2 Outstanding Balance – The balance that reports under this account type is the ending balance from two business days ago. For example, if today is Monday, October

7th, the balance is the ending balance for Thursday, October 3rd which was a business day.

Total – Row at the bottom of the Loan table which provides the grand totals for all loans.

c. Balance Page Features

Quick Balance – The default view displays the Current Available Balance.

Extended Balance – The view has additional balance options to show the previous day and current day balance view.

Current Available Balance – The upper left side corner balance is the grand total of the current collected balance of all the deposit accounts.

Refresh icon and time stamp in the upper right corner of the screen

Convert to USD – This feature only appears if the user is entitled to Foreign Currency accounts (aka Call Accounts). When the switch is turned on, each account balance is converted to USD using the foreign exchange rate morning feed. Note: If client is seeking for real-time exchange, contact the Foreign Exchange department to obtain a current exchange rate.

Disclaimer will also be displayed under the Convert to USD toggle switch.

Manage columns – User can arrange the columns in the balance table in ascending or descending order using the sorting option.

Filter – User can filter the view by adding or removing balance columns.

Download Data – User can download the balance table.

Run Reports

TreasuryNow reporting module provides users with an extensive array of reporting options. The reports selection allows user to generate banking reports from the list of available reports or to create custom level reports by using specific customizable bank level reports. The charts below describe the various reports available under the Reporting module and report or file formats.

a. Statement Reports

These reports contain statement activity that is captured during the day (current day) or that has already posted and will be part of the bank statement (previous day) are customizable reports based on daily Previous Day or Current Day statements that can be filtered to include specific balance, summary and detail items as well as specific accounts and transaction types. Bank provides access to standard templates which user can customize based on predefined filter criteria. Statement reports are available in a variety of formats, depending on customer subscription and User Entitlements.

b. Product-Specific Reports

There are two types of product-specific reports:

 The Origination transaction reports that capture the payment or activity originated through TreasuryNow which are available on screen view, PDF, XLS and CSV formats.

 Another type is an electronic version of hardcopy reports from various back office systems.

The system allows user to generate the report by specific date or date range. Also, the system allows user to run the report for one account, multiple or all accounts. These reports are currently only available as online view and in a PDF format.

c. Reports-Related Features

1. Option to run Summary or Detail the statement reports on Previous Day and Current Day statement reports

a. The Summary report includes balances information only.

b. The Detail report includes detailed transaction information only. Report offers the ability to include or not include reference text details of credits and debits, Summary and Detail both.

2. On screen view or download in different formats

How To

View Balances

Navigation: From the TreasuryNow dashboard, user can navigate to the Reporting module then View Balances. User by default will get land on the quick balance view. User also can switch to extended tab for more comprehensive balance view.

Scenario: To view Quick Balance

Step 1: After successful login to TREASURYNOW, user can click on Reporting from the left navigation menu then select View Balances from the sub-reporting menu.

Step 2: On balance page, user can view the current available balance of entitled accounts.

Scenario: To view Extended Balance

Step 1: After successful login to TREASURYNOW, user can click on Reporting from the left navigation menu then select View Balances from the sub-reporting menu.

Step 2: On balance page, user can view the current available balance of entitled accounts.

Step 3: By default, user will land on quick balance view.

Step 4: User has the option to view extended balance view by clicking on the extended balance tab.

Step 5: System will display the extended view table.

Scenario: To export the balance data in different format

Step 1: After successful login to TREASURYNOW, user can click on Reporting from the left navigation menu then select View Balances from the sub-reporting menu.

Step 2: On balance page, user can view the current available balance of entitled accounts.

Step 3: To download the information available on the screen, user can click on download option available on right side top corner and select the type of format in which system should download the information.

Step 4: Format options available (PDF, Excel, CSV) will be displayed in the drop down to be selected.

Scenario: To generate PDR/CDR report (one account or multiple accounts)

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: User can select the one or multiple accounts needed on the statement report by clicking on the applicable checkbox to the left of the desired accounts. This option is available in either view, quick or extended balance.

Step 3: System will give option to generate CDR – Current Day Reporting or PDR – Previous Day Reporting.

Step 4: To generate the report user can click on CDR or PDR option.

Step 5: Select the report type, and then select the format by clicking on the dropdown menu.

Step 6: Upon format selection, the report is submitted for generation.

Step 7: An option to save the report will show on the bottom left side corner of the page or choose to view

Scenario: To view New Transaction since your last visit

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: On balance page, Refresh Page timestamp is on the upper right side corner.

Step 3: User can refresh to determine if new transactions are posted.

Scenario: To convert foreign currency account balance into USD balance

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: On balance page, the option to Convert to USD will be available if the user is entitled to foreign exchange accounts. Disclosure text will also be displayed below the toggle button.

If switch is turned on, the foreign currency will be converted to USD.

Scenario: To expand the balance view in right pane overlay on the right side of the screen

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: From balance table, user clicks on the selected account, the right side overlay will open on the screen.

The right pane overlay displays:

a. Opening Available Balance b. Today’s Pending Transactions c. Submitted Transactions

d. Self-reported Transactions – if added by the user

Step 4: User can click on more details option to view full page detail balance view.

Step 5: Expand button will expand the overlay.

Scenario: To update self - reported transactions

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: On balance page, click on Self-reported transactions option to expand the section.

Step 3: Click on Self-reported transactions option to expand the section.

Step 4: Then click on Add Self-Reported Transactions for the following fields to be displayed:

a. Select Account – Only depository accounts show on list

b. Effective Date – The transaction will manifest only on the effective date.

c. Debit/Credit – Categorize if self-reported transaction is a credit or a debit d. Reference Information - Optional

e. Amount in USD – Enter the transaction amount in USD

f. If applicable, enter additional transactions by repeating step 4

Step 5: Once transaction details are added, click on “Save” to save the transaction. The transaction will impact the grand total of the self- reported total on the current day right pane, balance table self-reported column and cash position report.

Step 6: User has the option to delete a self-reported transaction entry, if entered in error or no longer applicable.

Scenario: To view loan balance

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: On balance page, the loan section shows as a table beneath the self-reported section which reports the D-2 outstanding balance.

Scenario: To mark the account as a favorite in Deposit Account and Loans section.

Step 1: Click on Reporting from the left navigation menu then select View Balances from the sub- reporting menu.

Step 2: On balance page, all entitled accounts have a star to the right of the account.

Step 3: Click on the Star icon to mark the report as favorite. The start selection will move the account into top portion of the list. If other favorites already exist, the new selection moves on the next position.

Run Reports

Navigation: From the TreasuryNow dashboard, user can navigate to the Reporting module then Run Reports. User will land in the Reports page. If user is already in the Reporting balance or search page, they can access the report by selecting the Reports tab. There are total 8 segments as listed below.

By default, user will be able to view only 5 applicable reports segment tabs at the top. Three dot ellipses at right side of the screen will display the remaining report segments. Upon selecting the segments from the drop down it will filter the reports as listed below.

a. All Tab – This tab displays all entitled reports

b. Information Reporting Tab- This tab displays all Information Reporting segment reports c. Payment Tab – This tab display list of payment related reports – Wire transaction reports,

ACH reports, Check printing

d. Cash Vault Tab- This tab displays all reports under Cash Vault e. Investments Tab- This tab displays all Investments related reports f. Transfers - Account transfer will filter all transfer related reports g. Account Recon- Account Recon will filter account reconciliation reports h. Stop Payment – Stop pay will filter Stop Pay reports

i. Positive Pay – Positive pay will filter Positive Pay report j. Loans – Loan Inquiry and history report

k. Statements – this tab displays list of PDR and CDR statement reports along with Deposited return items report

l. Administration – Customer Audit Log and User Profile Reports

Scenario: To generate bank reports – No customization or filters

Step 1: Click on Reports tab, the system will display the defaulted view of all reports. This will include all the bank and existing custom reports.

Step 2: Select the desired report by scrolling through the list, conducting a report search, or selecting a segment type.

Step 3: Once report is located, select Format and date. If Format is not changed, the view will be the screen view. If date is left blank, the most recent report date will be the default

a. PDR – defaults to previous business day b. CDR – defaults to current day

c. Product Specific Report – defaults to current day

Step 4: To generate report, hover over the report name and the option to “Run”, “Customize” &

“Delete” will manifest. Click on “Run”.

Step 5: The report will generate the standard report for all accounts.

Note: By default, system will generate the online view “Screen” format for all the reports if a different format is not selected.

Scenario: To generate multiple bank standard reports

Step 1: User can select up to 3 reports then click on “Run” option.

Step 2: When user clicks on the run option system will generate the reports in 3 different tabs provided user has not opened any other tab.

Note: User can have up to 3 tabs opened at any given point in time and if there are 2 tabs already opened then user can select and run only 2 reports at a time.

Scenario: To generate a Custom report

Step 1: To run a selected report User can hover over the report name and click on customize option.

Step 2: System will display the customization page for the user to select the filter criteria.

Step 3: User will have following options:

a. To choose various filter criteria from report parameters b. To choose accounts

c. To apply advanced criteria

Step 4: To view advance filters user needs to click expand the advance criteria section by clicking on the arrow.

Step 5: Once the filter criteria is defined, user can click on “run report” option to run the report or click on “run and save” to run the reports and save the selected filters as report template. The save option requires you give the new custom report a report name.

Step 6: “Run Report” option will run the reports as per user defined filter criteria in separate tab.

Step 7: “Save and Run” option will run the report and ask the user to specify the new report template name to save the selected filters as report template.

Scenario: To mark the report as a favorite

Step 1: Click on Reports tab, the system will display the defaulted view of all reports. This will include all the bank and existing custom reports.

Search Transactions

Navigation: From the TreasuryNow dashboard, user can navigate to the Reporting module then Search Transactions. User will land in the Transaction Search page. If user is already in the Balance or Reports page, user can access the search by selecting the Transaction Search tab. By default, user will be able to search on the available activity for the entitled accounts.

Scenario: To perform transaction search

Step 1: User clicks on the Transaction Search

Step 2: The available search filters will display. The search parameters are as follows:

a. Date with range checkbox
