This technical guide provides definitions and mappings of the field-level elements used in ad
hoc reporting. Elements defined in this document include fields from the Report Designer tool
and fields from the Query Wizard of the Filter Designer tool. A general technical section about
these tools is also included.
NOTE: For general documentation purposes, this guide was based off of a specific
instance of ad hoc setup. Localized elements may not appear in this document.
As desired, customers may request state-specific documentation.

The information contained in this document is intended for use by Campus internal staff,
Cam-pus district/system administrators and district/school staff members in charge of ad hoc
report-ing.

NOTE: Please read this page for best results in using this document.
The name of an ad hoc element is not necessarily the name listed in the user interface; therefore,
this document briefly defines and maps ad hoc element to the appropriate interface locations/
fields.
As this document has been rendered into a PDF, searching for specific ad hoc elements can be
done quickly through the Find toolbar in Adobe Acrobat/Reader.
Using the “Find” Toolbar to Locate Information
When viewing this document in Adobe Acrobat/Reader:

Hold the keyboard “Ctrl” key down while also hitting the “F.” This enables the Find
feature.

The ad hoc reporting tools allow users to create custom queries and reports on various types
of information stored within the Campus database. Reports may be used for data analysis
and state reporting and queries may be exported out of Campus or used to create filters for
standard reports. Custom filters and reports are built by adding elements from ad hoc reporting
tools like the Filter Designer and the Report Designer.
Filter Designer
To assist users in creating custom filters, the ad hoc Filter Designer tool has three main
components: the Query Wizard, the Selection Editor and the Pass-Through SQL Query. Filters
can be tested, used and saved for later use within the Filter Designer tool.
• The Query Wizard allows users to create a filter by selecting specific data fields from
within the product. These elements are similar to those available within the Report
Designer.
• The Selection Editor allows users to manually select a group of students on whom a
report can be run. This editor is for creating student filters only.
• A Pass-Through SQL Query allows users with basic SQL and Campus schema
knowledge to build their own queries on student information.
Report Designer
The Report Designer tool allows users to build custom letters that can be saved and later
generated and printed through the Report Builder. Reports can be formatted as blank form
letters or addressed form letters.
Filter elements available in the Report Designer are similar to those available in the Query
Wizard of the Filter Designer. In addition to adding field elements, the Report Designer allows
users the option of inserting entire sub-reports into the report/form being designed.
Tool Rights
This section explains the user tool rights necessary for controlling access to the Filter Designer
and Report Designer tools.
NOTE: A system administrator will already have access to the following areas, as long
as the All Tools checkbox is flagged on his/her user account.

The following tool rights control access to the ad hoc tools, as they relate to this document:
R – Allows user to view the list of existing Ad hoc filters.
W – Allows user to edit existing Ad hoc filters.
A – Allows user to create new Ad hoc filters.
D – Allows user to delete existing Ad hoc filters.
Filter and Report Designer Tool Rights
In addition to these rights, the user may need R rights assigned to the following areas to allow
full access to reporting on Student, Census/Staff or Course/Section filter data types.

Data Warehouse Tool Rights
and query purposes.
Campus installations that utilize Data Warehouse functionality may choose to use it for ad hoc
reporting. After the Data Warehouse (DW) has been properly configured, tool rights may be set
for each (ad hoc) user to define his/her data source for reporting purposes.
NOTE:
When a DW is enabled on a site, it becomes the default data source for all ad hoc
reporting.
If a user needs the option to choose to report on data from the live Campus database OR the
DW snapshot, he/she must be assigned R rights to the Data Warehouse: Allow Live Data As
Source tool right.
In the Filter Designer, the user will then be able to select which data source to use for the report:

If the user does not have R rights to the Data Warehouse: Allow Live Data As Source tool
right, the DW will be the only data source available:
In combination with the Query Wizard, Selection Editor and Pass Through SQL Query filters,
data is categorized in three ways: Student, Census/Staff and Course/Section.
• Student: When a filter is created for Student data, the information is pulled from the
calendar and school currently displaying in the Campus toolbar. Users who have
permission may select All Years and/or All Schools from the Campus Toolbar to
view information from more than one calendar.
• Course/Section: When a filter is created for Course/Section data, the information
is pulled from the calendar and school currently displaying in the Campus toolbar
(unless All Years or All Schools is selected). Data cannot be selected for this option
when using the Selection Editor, which is a student filter only.
• Census/Staff: When a filter is created for Census/Staff data, census information is
pulled from the entire Campus database; staff information is pulled for the school
selected in the Campus Toolbar. Data cannot be selected for this option when using
the Selection Editor, which is a student filter only.
NOTE:
(Data Warehouse customers: please disregard this note)
Large queries pulling from
the live database may slow server time and affect performance district-wide. As
such, queries should be created in sets that avoid large results.
Filter Operators
Data selected within the Query Wizard can be filtered with the following filter operators:

this document.
In the Report Designer, a user may insert sub-reports and student filter fields similar to those
available in the Filter Designer Query Wizard. Report Designer filter fields are defined and
mapped in Appendix A, located at the end of this document.
NOTE: The Report Designer allows elements to be added and formatted into a report,
but does NOT actually generate a report. To generate the report created in
Report Designer, the Report Builder tool or the student’s Ad Hoc tab must be
used. Therefore, all sub-report information returned by the Report Builder
will depend on the year and school selected in the Campus Toolbar at the time
report is generated.

• If the student is active on the date the report was generated, will display as 1: active.
• Considers the Start Date greater than or equal to (>=) the current date and will display as 1.
• Considers the End Date of less than or equal to(<=) the current date and will display as 1.
teamName Displays in Student Information HeaderScheduling team to which student is assigned.
