This is how much memory you need on your Flash Drive.
Copy Documents from your Computer (H Drive) to a Flash Drive Why?
You are moving to another school district and want to take your files with you You are moving to another school and want to make sure you have access to
your documents this summer and when school starts.
You want to back up all of your documents saved on gpisd server
Step 1: Make sure you move (drag) any documents on your desktop to your My
Documents folder on the desktop. You will lose anything left on the desktop if you don’t get the same computer back or it has to be reimaged for some reason.
Step 2: Make sure that your flash drive has enough memory to hold all of your
Documents.
See how much memory your documents will need.
So here you see my flash drive needs to be over 7 GB if I want to copy ALL of these files. Right click on the My Documents Folder on

(Note: I have a lot of files and movies from student projects.) You probably won’t need that much memory.
This is also a good time to clean out and get rid of old files and pictures you no longer need.
Step 3: Plug in your flash drive in a USB port on your computer.
Step 4: Open the My Documents folder on your Desktop
Note: You could just copy this folder and then paste in your Flash Drive window, but
you probably don’t want to do this since there are folders in here that you didn’t create with sample files that take up memory.
Once you plug your Flash drive in, a window like this will pop- up.

Once all the folders and files are selected you are ready for the next step. To select all but a few folder and files:
Press the Control +A keys. This will select everything in the folder. Now hold the Control key down with your left hand and click on the files you Do Not want to copy and it will deselect them.
To select only a few folders and file Hold the Control key down with your left hand and click on the folders and files that you do want to copy. It will highlight and select only files you click on.
Step 5: Select all the folders and files you want to copy. To select all folder and files:
Sharon Thornton- Instructional Technology Important Note: If you have documents saved anywhere else, you’ll need to navigate to
these in order to copy these over as well. Most of you are fine, but I have seen where documents get saved to other locations besides Network “My Documents” folder.
Example 1: If you go into My computer from the desktop and open your H directory as shown here. Step 5: Send the files to your flash drive
While files are selected (highlighted), Right click on any folder and choose Send to>Choose Your flash drive.
Here mine says (E:) Audra only because I named the flash drive
Note: Your flash drive might have different letter assigned to it like g, k, m,
etc….
Check and make sure you don’t have any of your folders or files outside of this folder.

Another place to check: Sometimes in the course of the year, some of your
documents may have gotten saved to your “My Documents folder” on the actual hard drive of the computer (even though they are not saved on the desktop.)
How to check:
If you open My Computer from the icon on the
desktop you will see this same window that we have been working with already.
Open (C:) Local Disk
Open documents and settings folder.

EXTRA: The following are directions on how to copy folders and files to your flash drive the long way.
I am including these just in case the steps above do not work for you on your machine for some reason or if you are on another machine at home backing up stuff.
Here we are assuming that your flash drive has enough memory for the files.
Step 1: Plug in your flash drive in a USB port on your computer. (Choose to Take no action)
Step 2: Open the My Documents folder on your Desktop
Step 3:
Once this folder is open, resize the window so it only takes up half of your screen or less.
Click on the Restore down button first to resize.
Click the double boxes.
Step 4: Plug in your flash drive into a usb port on your computer. If it doesn’t automatically open, Locate your flash drive manually. Double click on the My Computer icon on your desktop.
You should see your flash drive listed.

Step 5: Drag this window right next to your Documents window as shown below
so they are side by side.
Step 6: Select the folders and files you want to copy and drag them over
to your flash drive.
To select all folder and files:
Click in your documents window to make it active and then press the Control +A keys. This will select everything in the folder- then drag over. Now just click on one of the folders and drag them over to your flash drive. It will darken when you hover over it. Let go of your mouse.
To select all but a few folder and files: Press the Control +A keys. This will select everything in the folder. Now hold the Control key down with your left hand and click on the files you Do Not want to copy and it will deselect them. Now drag to your flash drive.
