Deployment Guide

LifeSize UVC Manager

Network administrators who use UVC Manager to manage video and voice communications systems in an IP environment can use this guide to do the following:

Section 1: Deploying UVC Manager

If you have not yet installed the LifeSize UVC Platform hardware or virtual machine, refer to LifeSize UVC Platform Installation and Deployment Guide.

1. Use the following administrator credentials to log in to UVC Platform:

- Username: administrator - Password: admin123

NOTE You can also create an administrator account with credentials specific to UVC Manager. Refer to step 5.

2. Activate a license for UVC Manager.

Refer to the LifeSize UVC Platform Installation and Deployment Guide.

3. Ensure that an IP address is available for configuring LifeSize UVC Manager:

a. Navigate to System Settings > IP Addresses Edit.

b. Click Add address.

c. Enter the new IP address.

NOTE Press Tab to instruct the server to enter the remaining values automatically, or start typing to enter them manually. Ensure that you review any values that the server enters.

d. Click Apply Changes.

4. Enable UVC Manager:

a. Navigate to Operations and Maintenance > Applications enabled Edit.

b. In Enable new application, select Manager.

c. Select the IP address.

d. Click Enable Application.

5. Ensure that port 8181 is open to LifeSize UVC Platform.

6. Optional: Create an administrator account for UVC Manager.

a. Navigate to User Management > Users Add.

b. Enter a username and password.

c. Click Save.

d. In Manager Permissions, select Manager Administrator.

e. Click Save.

UVC Manager requires use of the following ports:

Integrating Microsoft Exchange Server with UVC Manager

Integrating Microsoft Exchange Server with UVC Manager allows users to schedule calls in UVC Manager through Microsoft Outlook up to a year in advance. Without this feature, users of video and voice

communications systems typically must call a help desk or other scheduling facility to schedule a call through UVC Manager.

Microsoft Exchange Server Integration Overview

The Microsoft Exchange Server integration consists of the following tasks:

Create a user mailbox in Microsoft Exchange Server for UVC Manager.

Enable mail for UVC Manager

Choose a deployment option.

Assign the email addresses to the appropriate devices.

Create mailbox resources in Microsoft Exchange Server.

The following sections describe these tasks in more detail.

Task 1: Create a user mailbox in Microsoft Exchange Server for UVC Manager

UVC Manager monitors an email account to provide scheduling integration with Microsoft Exchange Server and Microsoft Outlook.

1. Specify an email address such as [email protected]. 2. Enable MAPI.

3. Set the following values:

- Password policy Never expire - Mailbox size 500 MB

4. Log in to the Microsoft Outlook account at least once to make it available for UVC Manager. While logged in, ensure that the mailbox is set to the appropriate time zone. LifeSize recommends that you set the archive interval for the UVC Manager mailbox to one week to prevent it from exceeding the storage limit.

CAUTION This email account must be dedicated to UVC Manager. Do not send general email to or from it. Additionally, do not open the mailbox or modify any of the email messages in it. These actions interfere with the

integration of Microsoft Outlook scheduling with UVC Manager scheduling.

Task 2: Enable mail for UVC Manager

Perform the following steps in UVC Platform Administration:

1. Click User Management.

2. In the Email row of the Accounts groupbox, click Add.

3. Specify a name for the configuration.

4. From the Applications list, select Manager.

5. Select Exchange MAPI as the protocol, and specify the appropriate hostname.

6. Specify a username and password for the email account.

7. Optional: Select the Use secure connection checkbox.

8. Click Save.

9. Optional: Repeat the previous steps to create additional email addresses.

Task 3: Choose a deployment option

Navigate to Administer > Calendar Integration > Settings and select the Forward invitations to Manager checkbox. If you do not select this checkbox, users must add the UVC Manager mailbox manually to the list of participants to schedule a video call.

Option 1: Create a resource mailbox for each conference room

- Video and voice communications systems. Create a resource mailbox in Microsoft Exchange Server for each conference room that contains a video or voice system managed by UVC

Manager. If you enable mail forwarding in UVC Manager, forward each conference room mailbox to the UVC Manager mailbox.

In UVC Manager, associate the managed system with the email address of the mailbox resource for the conference room. When Microsoft Outlook users add conference rooms to a meeting request, UVC Manager automatically schedules the system associated with these conference rooms and places the call at the scheduled meeting time.

Benefits Limitations

With this option, UVC Manager automatically places the scheduled call to the devices that reside in the conference rooms included in the meeting request.

Consider using this option if conference rooms are dedicated for use as video or voice conferencing rooms.

Users might not want to use video or voice devices in meetings. Users who want to add an MCU or a video recorder to a call must remember to invite the device as a separate invitee.

Option 2: Create a resource mailbox for each device

- Video and voice communications systems. Create a resource mailbox in Microsoft Exchange Server for each video or voice system managed by UVC Manager. Forward each mailbox to the UVC Manager mailbox. In UVC Manager, associate the managed video or voice system with the email address of the mailbox resource. When Microsoft Outlook users create meeting requests, they add the conference rooms and the systems located in each room as separate invitees.

- MCUs. Create a resource mailbox in Microsoft Exchange Server for each managed MCU, including LifeSize Bridge. Optionally, forward each MCU mailbox to the UVC Manager mailbox, and associate the MCU with the email address of the mailbox resource for the MCU. Additionally, set each MCU mailbox to accept meeting invitations automatically and to allow conflicting meeting requests. To do so, access the Resource Policy tab in Exchange; refer to your Microsoft

Exchange documentation for more information.

Task 4: Assign the email addresses to the appropriate devices

Perform the following steps in UVC Manager:

1. Click Dashboard. In the Mail Integration groupbox, verify that the status is Enabled.

2. Click Manage and select the device to which you want to assign an email address.

3. Click and specify the appropriate address.

4. Click Save.

5. Repeat the previous three steps to assign email addresses to additional devices.

Task 5: Create Mailbox Resources in Microsoft Exchange Server

When you create mailbox resources in Microsoft Exchange and register your managed systems with those mailboxes, Microsoft Outlook users can schedule those devices as required participants or locations in meeting requests. The scheduled meetings appear as scheduled calls on the Dashboard and Schedule page of UVC Manager. Calls scheduled through UVC Manager also appear as meetings in Microsoft Outlook to prevent meetings from being scheduled twice.

When you schedule an upgrade in UVC Manager, the event is shared with Microsoft Outlook, and the device becomes unavailable for scheduling other events.

Benefits Limitations

Microsoft Outlook users can create meeting requests with or without voice or video devices as invitees.

Microsoft Outlook users must include both the conference room and the video or voice device as invitees to schedule calls.

Before you create mailbox resources, consider the following information:

To create a resource mailbox for each conference room and you already have room mailboxes in Microsoft Exchange for scheduling purposes, begin with step 6.

To allow meeting participants to add an MCU to a meeting scheduled through Microsoft Outlook, begin with step 1 to create a mailbox resource for each MCU.

To allow meeting participants to add a video recorder to a call, begin with step 1, but create only one mailbox resource for all video conference recorders.

Microsoft Exchange Server

Perform the following steps to create mailbox resources:

1. Start the Microsoft Exchange Management Console.

2. Create a mailbox for the conference room that houses your video system. Under Recipient Configuration, right-click the Mailbox icon and select New Mailbox.

3. Select Room Mailbox for mailbox type and click Next.

NOTE Select Room Mailbox even if you are creating a mailbox for a device, including an MCU, as described in Option 2 in Microsoft Exchange Server Integration Overview.

4. Create a new user or select a current user if the conference room in which you have your audio and video communications system already has a user in Active Directory.

5. Enter an alias for the user and select the appropriate Mailbox database. Click Next. The mailbox and the corresponding user are created.

6. To set up forwarding to UVC Manager s listener mailbox, double-click the mailbox created in step 5 and select the Mail Flow Settings tab. Double-click Delivery Options.

7. Select Forward To and Deliver message to both forwarding address and mailbox and click Browse. Select the mailbox you created for UVC Manager during installation and click Finish.

8. To enable the user so that you can associate it with a video communications system, start the Active Directory User Management Console.

9. Locate the user you created in step 5. Right-click and select Enable.

10. Right-click and select Reset Password.

11. Enter and confirm the password and select Password never expires.

12. In Microsoft Outlook Web Access, log in to the email account for the video system and click Options in the upper right corner of the window.

NOTE You must perform this step in Microsoft Outlook Web Access with Internet Explorer.

13. In the Options menu, click Resource Settings and perform one of the following steps:

- To configure a mailbox for a video or voice system, select Automatically process meeting requests and cancellations.

- To configure a mailbox for a video recorder or MCU, ensure that Automatically process meeting requests and cancellations is not selected.

14. Click Save.

15. Register the mailbox with the corresponding voice and video system in UVC Manager. Refer to Task 4:

Assign the email addresses to the appropriate devices.

NOTE It might take up to five minutes for the new user to be active and available after you create it.

Microsoft Exchange Server Settings

If you chose Active Directory for user authentication when you installed UVC Manager, you can modify the following Microsoft Exchange Server settings from the Mail Integration Settings page:

NOTE The email identifiers Exchange - Schedule created successfully -

message to organizer (1) and Exchange - Schedule created successfully - message to Invitees (1) are sent only when the Enable participants to select a preferred method of participation checkbox is selected.

Setting Description

Enable Mail integration Enable this feature and select the version of Microsoft Exchange Server used in the integration.

Require HTTPS Access Select this checkbox to require secure HTTP.

Autogenerate PIN for calls scheduled through Microsoft Exchange

Select this checkbox to automatically generate a PIN for a conference call when a meeting organizer adds an MCU to a meeting request.

Enable participants to select a preferred method of participation

Select this checkbox if you wish to enable meeting invitees to a video conference that is scheduled through Microsoft Outlook to add an external video device to a call. By default, this feature is disabled.

Enabling this feature also enables the meeting organizer to specify whether to place the call automatically by UVC Manager or place the call manually by the meeting participants.

CAUTION: Enabling this feature allows a meeting invitee to add an external device to UVC Manager s database without having a UVC Manager user account.

Maximum number of days within which schedules are allowed

Set the maximum scheduling timeframe.

Microsoft Exchange Server IP Enter the IP address of the Microsoft Exchange Server.

Microsoft Exchange Server Domain Enter the Microsoft Exchange server domain name.

Microsoft Exchange User Enter the username of the UVC Manager email account in Microsoft Exchange. This is the account UVC Manager monitors to provide scheduling integration with Microsoft Exchange Server.

UVC Manager Email Enter the email address of the account UVC Manager monitors to provide scheduling integration with Microsoft Exchange Server.

Password Enter a password for the UVC Manager email account.

Section 2: Deploying a Network

LifeSize UVC Manager includes the following pages from which you can manage your system:

Complete the following tasks to get started using UVC Manager:

Networks

Using networks, you can place devices in groups to manage them as a single entity. A network can contain the following devices:

managed video and voice devices

external devices

LifeSize UVC devices (except LifeSize UVC ClearSea)

LifeSize Bridge, LifeSize Networker

UVC Manager does not include a default network. You must create at least one network to start using the application.

Do not manage a device with multiple instances of UVC Manager. A device can be managed only by a single instance of UVC Manager.

Dashboard Provides a summary of your devices, calls, and call history.

Manage Manage your networks, devices, proxies, on demand conferences, mail integration, and LifeSize upgrade packages.

Schedule Schedule calls and upgrades.

Live Events Lists all events, ongoing calls, upgrades, and lets you manage ongoing calls.

Monitor Lists alarms.

Reports Generate reports in data or graphical formats.

Administer Change the configuration settings for UVC Manager.

Creating a Network

1. Click Manage > Devices > to start the Network Setup Wizard.

2. Specify a unique name for the network and an email address for the administrator.

3. Select Discover devices automatically to scan the network for devices and to attempt to log in to them.

NOTE Enable HTTPS on any LifeSize Icon video systems that you want UVC Manager to discover. Additionally, ensure port 800 is open to discover LifeSize networking devices.

If you do not choose this option, you can scan the network for devices later by selecting the network and clicking .

4. Select Avoid duplicate devices to prevent the discovery of a device with the same MAC address in other networks.

5. Select Reprovision on startup to reprovision a managed device when its state changes from down to up.

6. Select Auto manage to manage devices automatically after they are discovered. Devices are automatically reprovisioned if they reside on a provisioned network.

7. Click Next and specify details about your location and work schedule.

UVC Manager incorporates the Work Day information in its reports.

8. Click Next and specify details about your corporate directory.

If you select H.323 as the protocol of higher priority, devices view the corporate directory through available H.323 dial strings. SIP dial strings are used when H.323 dial strings are unavailable.

If you intend to use a gatekeeper or registrar, clear Populate IP addresses.

9. Click Next and specify whether to manage the network through a LifeSize UVC Manager Proxy.

Use a LifeSize UVC Manager Proxy to manage a network whose devices reside behind a firewall. To specify a proxy, select Use a proxy to manage the network and then select the appropriate proxy.

Refer to Managing Proxies for information about setting up proxies.

10. Click Next > + and specify whether you are adding a single IP address, a range of IP addresses, or a subnet mask.

NOTE Click to remove a device from the network.

11. Specify the following IP addresses, as appropriate:

The network appears in the list of available devices. Refer to Adding a Device to a Network for information about adding devices to the network at a later time.

Managing Devices on a Network

After you direct UVC Manager to manage selected devices on a network, the application pushes the relevant call and upgrade schedules to the managed devices.

NOTE If you did not select Discover devices automatically when you created the network, scan the network before attempting to manage any devices. Refer to Additional Network Tasks for details.

1. Click Manage > Devices and expand the network that includes the devices you want UVC Manager to manage.

2. Select the appropriate devices.

To select more than one device, press and hold Ctrl while making your selections.

3. Click .

The status bar indicates whether the devices were managed successfully. Additionally, the status icon becomes green for a managed device. If UVC Manager is unable to log in to a device, see Managing Device Passwords.

Enabling Integration for LifeSize Icons

1. Click Administer > General > Device Integration.

2. Select Advanced features for LifeSize Icon video systems.

3. Click Save.

Provisioning a Network

UVC Manager can automatically provision all of the devices on a network, setting required values such as the following configuration details:

H.323 names and extensions

SIP details

UVC Video Center IP address

Recording PINs

Recorder, MCU, and Video Engine affinity

UVC Transit Server and UVC Transit Client details that pertain to firewalls and NAT traversal.

NOTE If you plan to use any of your public IP addresses as private IP addresses, identify them accordingly before provisioning the network. Only provisioned devices are pushed to LDAP.

Perform the following steps to provision a network:

1. Click Manage > Devices and then select the network whose properties you want to change.

2. Click and follow the prompts for provisioning a network.

3. Click Finish.

Use this page... To set these values...

Communication Profile Specify H.323, SIP, Firewall/NAT, and ISDN values. Refer to Communication Profiles for examples.

Communication Profiles

When you provision a network, use the Communication Profile page to specify values for the following devices and services.

NOTE Devices can be configured only after they are being managed by UVC Manager.

MCU Affinity

If you schedule a call in UVC Manager but none of the devices has the capacity to host it, UVC Manager can add an MCU based primarily on the MCU affinity of the participating devices, if assigned.

To configure this service... Specify these values...

LifeSize UVC Access For H.323 Profile:

Select Enable H.323.

Specify whether UVC Access functions as a LAN gatekeeper, DMZ gatekeeper, or unmanaged gatekeeper.

Select DMZGK if UVC Access is deployed in a DMZ, regardless of whether LifeSize Transit Server and other devices are also deployed in the DMZ.

If you use an unmanaged gatekeeper, UVC Manager does not push the H.323 configuration to the network devices.

Select the appropriate Primary Gatekeeper.

SIP registrar For SIP Profile:

Select Enable SIP.

Select Use unmanaged registrar.

Specify the address of the Unmanaged registrar.

LifeSize Transit Server For Firewall/NAT Profile:

Select Enable Firewall/NAT.

Select the appropriate Primary Transit Server.

Select Direct as the Public endpoint Firewall/NAT mode.

Select H.460 with SIP tunneled as the Private endpoint Firewall/NAT mode.

LifeSize Transit Server with LifeSize Transit Client

For Firewall/NAT Profile:

Select Enable Firewall/NAT.

Select the appropriate LifeSize Primary Transit Server.

Select Direct as the Public endpoint Firewall/NAT mode.

Select Use Transit Client as the Private endpoint Firewall/NAT mode.

Select the appropriate Primary Transit Client.

Recorder Affinity

If your installation includes managed video conference recorders, assign each video system affinity to a recorder. This action enables UVC Manager to select a recording host automatically whenever a meeting organizer schedules a call that is configured to be recorded. Scheduling calls might fail if an appropriate recorder is unavailable. If your installation includes managed video recorders, LifeSize recommends that you set affinity to these recorders on all applicable managed video systems.

If your installation includes UVC Video Center, set the recorder affinity on your LifeSize video systems to UVC Video Center and define a default recording key. Assigning a default recording key to use when a LifeSize video system acts as the recording host in a call ensures that, if recorder affinity is not assigned, UVC Manager can automatically select a UVC Video Center to use and associate a recording key.

If UVC Video Center is managed by UVC Manager and a participant in the call is a LifeSize system supported with UVC Video Center, UVC Manager chooses that system as the recording host. If the system is assigned affinity to a managed UVC Video Center, then UVC Video Center is used to record the call with the recording key specified at the time that the affinity was assigned. If recorder affinity is not assigned to the LifeSize recording host, UVC Manager selects an available UVC Video Center and uses the default recording key, if one is set.

Scheduling Events

Use the Schedule page to schedule calls and upgrades for devices that UVC Manager is managing. The default view of the Schedule page includes a calendar that shows the events that are scheduled for a particular day, week, or month. Click to view a list of scheduled events, and click to return to the calendar view.

NOTE Do not use the LifeSize Bridge Utility to schedule calls on LifeSize Bridge or LifeSize Multipoint while it is managed by UVC Manager. Instead, use the Schedule page in UVC Manager. Expanded conferences for when more than 16 participants are scheduled for a call are automatically designated for additional capacity.

UVC Manager supplies a pair of HTML <iframe> tags that you embed on an intranet page to allow end users to schedule calls. If you plan to implement end user scheduling, ensure that UVC Manager is integrated with the Active Directory of the corporate LDAP server. Additionally, ensure that a valid SSL certificate is installed on the UVC Platform server. Otherwise, web browsers cannot render the scheduling

<iframe> appropriately.

On the Schedule page, click to view the following code in a separate window:

Copy both <iframe> tags and paste them into the appropriate intranet page.

If the Active Directory is configured for UVC Platform, email addresses are retrieved dynamically when participants are invited to a meeting. The Active Directory server that you specify must be the same one used by the Microsoft Exchange Server. For more information, refer to the UVC Platform Installation and Deployment Guide.

Scheduling a Call from UVC Manager

1. Click Schedule > and specify a name for the call.

NOTE Ensure that the platform administrator has configured an email account for UVC Manager.

2. Specify whether the call is private or public and if it is global.

Calls that are not global appear in the Schedule and Meetings lists of all participating LifeSize Icon systems. Global calls appear in the Meetings lists of all managed LifeSize Icons, regardless of whether they reside inside or outside the network.

Private calls are hidden on the calendar.

3. Optional: Specify the email addresses of all Participants.

NOTE The meeting must have at least two participants, an MCU, or be a global call with multiparty hosting capabilities. To schedule a meeting with a single device, you must change the Connect option (see step 6) to Manual.

4. Specify a start date and time and an end date and time.

-OR-

Select Start Now to start the call when you click Save.

5. Optional: Select the appropriate type of recurrence.

6. Select the appropriate Connect option:

- Automatic UVC Manager automatically connects all participating devices when the call starts.

- Manual Participating devices must either confirm a request to join the call or dial in manually. You must choose this option for reservation calls in which only one device is scheduled.

- Initiate call when first participant joins Only one device must confirm a request to join the call, after which UVC Manager automatically connects the remaining devices.

7. Select the appropriate disconnect option:

- Disconnect at end time - UVC Manager automatically disconnects the call at the specified time.

- Extend until resource is available - UVC Manager allows the call to continue until resources are available.

8. Select whether to automatically choose the recorder. If you choose this option, the network must include at least one recording device.

9. Select whether to automatically choose an MCU.

NOTE If a call is scheduled with only an MCU and no other devices, the number of ports allocated is the required ports plus two extra ports.

10. Optional: Click Call Planner and double-click a system to edit its properties.

11. Click Create Schedule.

Managing Networks

Refer to Networks for details about creating and provisioning networks and for information about managing devices.

Editing Network Properties

1. Click Manage > Devices and then select the network whose properties you want to change.

2. Click and use the following pages to change the network configuration:

Network Change the network name and administrative email address; specify whether LifeSize UVC Manager automatically detects network devices.

Location Change the properties associated with your location and work schedule.

Proxies Change whether the network is managed through a UVC Manager Proxy. LifeSize recommends using a UVC Manager Proxy to manage a network whose devices reside behind a firewall.

Members Add devices to and remove them from the network; change the IP address associated with a device.

Task Description Steps

Scanning a network Scan a network whenever UVC Manager needs to detect devices that have been added or removed. Enable HTTPS on any LifeSize Icon video systems that you want UVC Manager to discover. Additionally, ensure port 800 is open to discover LifeSize networking devices.

Click Manage > Devices, select the network that you want to scan, and then click .

Changes appear after the Devices page refreshes.

Deprovisioning a network

Deprovisioning a network removes all account and registration information from devices and infrastructure products like UVC Transit Server. Deprovision a network if you need to reset affinity values.

You can deprovision a network only when none of its devices are participating in a call or an upgrade.

Click Manage > Devices and select the network that you want to deprovision.

Click > Yes.

Although most of the account and registration information is deleted from the network devices and infrastructure products, values such as H.323 and SIP extensions are retained.

Deleting a network Removes a network from the list of networks. Click Manage > Devices and then select the network that you want to delete. Click

> Yes.

Managing Devices

The Dashboard provides a snapshot of your devices, calls, and call history. Click Manage > Devices to view the following details for each device.

Hover over a column heading to reveal an arrow that, when clicked, lists the available and currently shown column headings. Select a heading to add it to or remove it from the Devices page.

An icon appears for each device in the Status column of the Devices page, indicating device status such as Discovered or Rebooting. Click a column heading to sort the entries by that column.

Select a device and click to refresh the information associated with it. To select more than one device, press and hold Ctrl while making your selections.

A identifies devices that have been managed. Refer to Provisioning a Network for more information.

Adding a Device to a Network

1. Click Manage > Devices and then select the network to which you want to add a device.

2. Click > + and specify whether you are adding a single IP address, a range of IP addresses, or a subnet mask.

NOTE Click to remove a device from the network.

Scan and reprovision the network after you add new devices.

Status Indicates whether the managed device is online and available. Additional status information appears at the bottom of the page whenever you perform an action.

System Name The system name of a managed device.

IP Address The IP address of a managed device.

Make Indicates the device brand name, such as LifeSize, Polycom, or Tandberg.

Model Defines the device model name, such as Team 220.

Device Type The device type.

Indicator Shows a green icon if the network is provisioned and a gray icon if not.

Managing Device Passwords

When UVC Manager attempts to manage a device, it uses the default password that you specify on the Administer > Default Passwords page. If the device does not use that default password, it appears on the Manage > Devices page, and a padlock icon appears in the Status column, indicating that the login attempt failed. Update the password that is stored in the UVC Manager database for the device before attempting to manage the device.

NOTE A padlock icon also appears after a device is managed if the device s password is changed using a mechanism other than UVC Manager, such as the command line interface for the device.

Read Setting Default Passwords for more information.

Editing the Settings of a Video System

LifeSize Icon

1. Click Manage > Devices and select the LifeSize Icon whose settings or preferences you wish to edit.

2. Click to make changes through your system s default web browser.

Depending on the device that you are accessing, you might need to specify login credentials.

Task Description Steps

Changing a device password on the device

Use UVC Manager to change the password that is stored on a device only if the device is managed in UVC Manager. Changing a password on a managed device also changes the password that is stored on the device.

Additionally, UVC Manager automatically updates the password that it stores in its database for contacting the device.

Click Manage > Devices and select the device whose password you want to change;

click , specify and confirm the new password, and then click Change.

Updating a device password in UVC Manager

Updating a password for a device in UVC Manager changes the password that is stored for the device in the UVC Manager database.

It does not change the password that is stored on the device.

Click Manage > Devices and select the device whose password you want to update;

click , specify a new username and password, and then click Update.

Other Video Systems

1. Click Manage > Devices and select the video system whose settings or preferences you wish to edit.

2. Click .

3. In the navigation panel, select the type of settings that you want to edit, such as Audio or Communications > H.323.

The corresponding settings appear in the Settings window.

4. Make the appropriate changes and click Save.

5. Repeat the previous two steps as necessary.

6. Click Close.

Removing a Device from a Network

1. Click Manage > Devices and then select the device that you want to remove.

2. Click > Yes.

3. Select the network to which the device formerly belonged and click . 4. Click in the row that corresponds to the removed device.

Adding an external device to a network

Click Manage > Devices and select the network to which you want to add an external device; click and specify the details for the new device; click Save.

The phrase external device describes a device that resides on a network and is available for call scheduling, but is not managed by UVC Manager.

Viewing the license Click Manage > Devices, select the device whose license you want to view, and click .

An MCU requires enough licenses for itself and all of its ports. All other devices require one license each.

Viewing on demand conferences Click Manage > On Demand Conferences to view a list of on demand conferences that are hosted by LifeSize Bridge or UVC Multipoint. On demand conferences are virtual conferences that are not scheduled in advance and do not feature a scheduled start time. If requested ports are available when the first participant attempts to join, the on demand conference starts.

Upgrading Devices

To upgrade the devices on a network, upload the appropriate upgrade package and then schedule an upgrade.

Uploading an Upgrade Package

Make certain the appropriate upgrade package resides at a network location that is accessible to UVC Manager.

1. Click Manage > Upgrade Packages > > Browse.

2. Select the appropriate upgrade package and click Open. 3. Click Upload Package.

The package appears in the list of upload packages. Apply the upgrade package immediately or schedule it for a later time.

Scheduling an Upgrade

1. Click Schedule > and specify a name for the upgrade.

2. Specify a start date and time and an end date and time.

3. You can filter by make, model, or network, or select the specific devices to which to apply the upgrade package.

4. Choose the package you wish to apply from the dropdown menu.

5. Click Create Upgrade Schedule.

Troubleshooting Partially Successful Upgrades

If the status of a completed upgrade is Partial Success, one or more devices did not upgrade successfully.

Double-click an event to view the status of the upgrade and to identify devices that did not upgrade successfully.

Managing Proxies

Use a LifeSize UVC Manager Proxy to manage a network whose devices reside behind a firewall. While sitting inside a private network, the proxy helps UVC Manager establish connections with devices on the internal LAN.

For instance, a global company might consider hosting UVC Manager in its North American office and deploying LifeSize UVC Manager Proxies for its European and Australian networks. In this scenario, UVC Manager uses the proxies to communicate with the devices in Europe and Australia, thereby reducing bandwidth requirements and video artifacts. When video systems on the European network require updates, for example, UVC Manager pushes the upgrade package to the proxy on the European network, which then pushes the package to the appropriate systems. Similarly, UVC Manager uses the proxy on the Australian network to push update packages to the video systems on that network.

A network can use only one instance of UVC Manager Proxy, but multiple networks can share a single proxy. LifeSize recommends that you do not deploy more than 10 proxies within a single region.

For performance reasons, ensure that UVC Manager Proxy and UVC Manager are not installed on the same instance of LifeSize UVC Platform.

Configuring a Proxy

LifeSize UVC Manager Proxy is a UVC application that allows you to manage a network through a proxy.

1. In UVC Manager Proxy, click Settings.

2. Specify the IP address of your UVC Manager host.

3. Specify an ID and password for the proxy.

4. Select the connection type and specify any relevant details, such as the port number, username, and password.

5. Select the appropriate logging level.

Read Setting Logging Levels for more information.

6. Click Save.

The proxy appears on the Dashboard in UVC Manager Proxy and on the Manage > Proxy page in UVC Manager. Refer to Adding a Proxy for information about configuring a network to use a proxy.

Adding a Proxy

Add a proxy that has already been configured with LifeSize UVC Manager Proxy. Refer to Configuring a Proxy for information about configuring proxies.

1. Click Manage > Proxies > .

2. Specify the name and password associated with the appropriate proxy.

These values are located on the Settings page of the appropriate LifeSize UVC Manager Proxy.

3. Click Save.

Monitoring Devices

Use the Monitor page to view the alarms that UVC Manager reports for your networks, devices, and schedules.

Alarms typically appear when UVC Manager raises an alarm event or when a managed device raises a trap.

Click a column heading to sort all alarms by ascending or descending order based on the information in that column. To search for an alarm by its description, category, or owner, enter an alphanumeric, case- sensitive Search string in the upper right corner of the page. You can also click Filter to screen alarms based on severity and type.

Task Steps

Editing proxy properties Click Manage > Proxies and select the UVC Manager Proxy whose properties you want to change; click to make the appropriate changes to the proxy name and password, and then click Save.

Deleting a proxy Click Manage > Proxies and select the UVC Manager Proxy that you want to delete, and then click > Yes.

Alarm Description

Heat warning One or more devices is overheating. If this alarm is raised, its priority is set to Warning.

If the status is Overheated, the priority is set to High.

If the same device repeatedly raises the alarm, the remaining alarms are ignored. If more than one device raises the same alarm on a network, the issue is raised to a network level alarm.

Provisioning failed A scheduled provisioning failed to start.

Call or conference failed A scheduled call or conference failed to start.

Unable to add participant UVC Manager could not add a participant.

Unable to push meeting or agenda

UVC Manager could not populate a schedule on a LifeSize Icon, possibly because the device is unavailable or the network is down.

Device unavailable A device has been unavailable for 5 minutes.

If more then one device raises the same alarm on a network, the issue is raised to a network level alarm.

If the same device repeatedly raises the alarm, only one alarm is registered. Future alarms are filtered off.

Upgrade failed An upgrade failed for the current schedule.

Proxy unavailable A UVC Manager Proxy is unavailable.

IP address changed The IP address of a device within the network scanning range has been changed, and UVC Manager has updated the IP address.

NTP server not specified An NTP server must be specified.

Aggregated alarms show all of the network devices that raise the same alarm in a single entry. This approach avoids spamming the Monitor page with similar alarms. Click to expand the entry and view all of the devices that raised the alarm.

Configuring Email Settings for Alarms

Ensure that the email server is configured correctly and that the appropriate email address is specified for the administrator.

Configuring the Email Server

Configure an email server for UVC Manager in LifeSize UVC Platform. If you have already configured an email server for your UVC applications, you can modify the configuration to include UVC Manager.

1. Click Platform Administration to access LifeSize UVC Platform.

2. Click User Management.

3. In the Email row of Accounts, click Add to create a new email configuration.

-OR-

Click Edit and select an existing configuration to change its settings.

4. Ensure that the configuration features a valid name and that Manager is selected from Applications.

NOTE Press and hold Ctrl to make multiple selections.

5. Specify or change the remaining configuration values, as appropriate.

6. Click Save.

NOTE If Microsoft Exchange is enabled, UVC Manager uses the email ID to send the alarms to the alarm owner.

Refer to the LifeSize UVC Platform Installation and Deployment Guide for more information.

Specifying the Administrator Email Address

1. In UVC Manager, click Manage > Devices.

2. Select the network whose email settings you want to configure and click .

3. Specify the email address of the Administrator to receive alarms related to the network.

4. Click Save.

Additional Alarm Tasks

Task Steps

Acknowledging alarms Select an alarm and click Acknowledge Selected to address it with a note and to remove it from the page. Most notes describe a resolution or provide related details.

After you finish a note, click Apply to remove the alarm from the list, or click Close to retain it.

Exporting alarm details Select one or more alarms and click Export CSV to export the details as a comma separated values (CSV) file.

Section 4: Managing Scheduled Events

The list view of the Schedule page lets you manage scheduled calls and upgrades. Click to view a detailed list of your scheduled events.

The details that are shown for each event include the name, type, status, and start and end times. The following values indicate the status of an event:

Abandoned Not enough resources were available to schedule the event.

Completed The event is finished.

Conference created successfully.

Conference failed to initialize Precursor state to Failed.

Failed UVC Manager was unable to establish a connection.

In Progress The event is currently happening.

Launch Failed UVC Manager is unable to establish a connection but is still attempting to establish one.

Launching The event is beginning.

Live An active conference that no one has yet joined.

Partial Success Some upgrades were successful, but some were not.

Scheduled The event has not yet occurred.

Terminated The event ended before the scheduled end time.

Section 5: Generating Reports

Use the Reports page to generate the following reports in data or graphical formats.

You can schedule reports to run on a recurring basis, or you can generate them immediately and export them as PDF files. All scheduled reports run on a recurring basis and start at a specified hour and minute.

UVC Manager runs monthly and quarterly reports on the first day after the final day of the specified month or quarter, respectively. Weekly reports are run on a specified day.

List of scheduled reports appear in LifeSize UVC Platform (click Platform Administration). Click Administrator > Manage scheduled reports to view the list view.

LifeSize UVC Manager must manage all networks, device, and MCUs.

Category Report Description

Utilization Network Utilization Shows the number of network minutes used divided by the number of network minutes that are available in a workday; shows average and peak values.

Device Utilization Shows the number of device minutes used divided by the number of device minutes that are available in a workday; shows average and peak values.

Maximum Port Utilization Shows the highest number of ports used by specific MCUs; applicable only to MCUs that are managed by UVC Manager.

Maximum Port Utilization Against Time* Shows the number of port minutes used by specific MCUs divided by the number of port minutes that are available in a workday; applicable only to MCUs that are managed by UVC Manager.

Maximum Traversals Shows the number of calls that are being traversed by UVC Transit Server.

Maximum Traversals Against Time* Shows the number of minutes during which calls are being traversed by UVC Transit Server divided by the number of minutes that are available during the workday.

Call Statistics Call Minutes* Shows the number of minutes per protocol for selected devices; available as a bar graph or pie graph.

Call Count* Shows the number of calls per protocol for selected devices; available as a bar graph or pie graph.

*Output can be grouped by day, month, or year.

Device Utilization

By default, the call count for reporting does not include individual participants in the call. For example, UVC Manager counts a video conference with six participants as one call, not six. If this call lasts 10 minutes, regardless of the number of participating devices, UVC Manager reports the time used as 10 minutes, not 60. UVC Manager produces a Call Detail Record (CDR) for the entire conference instead of adding the CDRs of the constituent legs.

In conferences that involve multiple managed devices, the aggregate CDR begins when the first device joins and ends when the last device exits the conference.

Generating Reports

1. Click Reports and select the report that you want to generate and export.

NOTE Click a category, such as Utilization or Call Statistics, to view available reports.

2. Specify a range of dates.

3. Optional: Specify whether to group the output by network, device, or a specific time period.

NOTE Depending on the report that you want to generate, these options might be unavailable.

UVC Manager generates the report. To export the report as a PDF file, click PDF.

4. Click Schedule and choose whether to run the report every day, week, month, or quarter.

5. Select the hour and minute at which you want UVC Manager to run the report.

6. If the report is a weekly report, select the day on which you want UVC Manager to run it.

If the report is not a weekly report, proceed to the next step.

7. Specify the email addresses of everyone you want to receive a PDF version of the report.

8. Click Save.

UVC Manager generates the report as scheduled and sends it as a PDF file to the specified email addresses.

Section 6: Administering UVC Manager

Use the Administer page to complete routine administrative tasks, including editing the properties of your conferences, logging levels, upgrades, and reports. If you plan to use any of your public IP addresses as private IP addresses, identify them as private IP addresses before you provision the network.

Setting Logging Levels

Click Administer > General > Logging to set the logging levels for UVC Manager.

All logging levels are set to Error by default.

Setting Default Passwords

Use the Administer > Default Passwords page to view or change the default passwords that are associated with the devices that UVC Manager supports. You might need to change these passwords if your company uses its own default passwords for its devices.

To change a device s default password, click the arrow that identifies the appropriate device. UVC Manager applies the new password to every device that matches the indicated make, type, and model.

General Click Administer > General to enable integration for LifeSize Icon video systems, set logging levels, specify reporting duration, provision IP address ranges, or define the number of concurrent upgrades.

Calendar Integration Settings

Click Administer > Calendar Integration to view email templates and settings that relate to the MS Exchange integration.

Use the Templates page to customize email messages that UVC Manager sends automatically to MS Outlook users. Select a template to view its description, subject heading, and message body. Select or clear the Send this email checkbox to specify whether UVC Manager sends the message.

CAUTION Avoid changing any line of text that includes the $ symbol. At a minimum, do not delete the $ symbol.

Click Save to save any changes that you make to a template. Click Reset to restore default values.

For information about the Settings page and automatically forwarding invitations from network devices to UVC Manager, see Task 3: Choose a deployment option.

Managing Your System

Use the System page to back up, reset, or restore UVC Manager and its associated files.

NOTE Restoring UVC Manager from a backup copy overwrites current data and cannot be undone.

You can also use the System page to migrate CDRs from LifeSize Control to UVC Manager.

When the system is restored, UVC Manager creates a backup file in the logs folder on UVC Platform. If you experience difficulty while restoring, retrieve the last stable image from the logs folder and try again.

UVC Manager API

The UVC Manager API provides a set of resources with methods that can be called by external

applications. API calls are made by sending a request to an API resource and specifying a method and arguments. A formatted response details the operation s outcome.

This API supports a REST model for accessing a set of resources through a fixed set of operations. API calls are made either through HTTP requests or through HTTPS. The API resource name is always specified in the HTTP URL and the action to be performed depends on the HTTP request method: GET, POST, PUT, DELETE.

Each API method accepts a set of arguments, required or optional. Arguments must be specified in the request URL, in the query string, or as form parameters.

Standard HTTP response status codes represent the outcome of an operation. The response body is usually expressed in JSON format (MIME type application/json;charset=utf-8) or with other MIME types.

Examples use the command line tool CURL to call each API method. This tool allows you to test the API without having to implement a client.

Use the following command to retrieve CDRs in JSON format:

1. Click Administer > System.

2. In the Restore group box, click Browse and select a backup file to upload.

Migrate report-related CDRs from LifeSize Control to UVC Manager

1. Click Administer > System.

2. In the CDR Migration group box, click Browse and select a CDR file to upload. CDR files are identified by a file name extension of BAK.

Section 7: Troubleshooting

If your UVC Manager deployment or upgrade fails, or if you cannot access the user interface after performing a deployment or upgrade, use the information in this section to resolve the issue. For all other issues, or if the issue persists, contact your LifeSize Partner or Technical Services for assistance.

Mail Registration Failures in Microsoft Exchange Server

If the mailbox registration fails, UVC Manager writes an error message to the Status box below the list of devices. Some of the possible reasons for failure include:

Mail forwarding from the device mailbox to the UVC Manager mailbox you set up during installation is not in effect. Ensure that the mailbox resource for the device in Microsoft Exchange Server is set up to forward its messages to the UVC Manager mailbox. Also ensure that automatic processing of meeting invitations and cancellations is enabled.

UVC Manager cannot contact the Microsoft Exchange Server.

The Microsoft Exchange Server authentication credentials entered during the installation of UVC Manager have changed since installing UVC Manager. Authentication credentials can include the domain name, username and password of the UVC Manager mailbox, and whether HTTPS access is required.

The mailbox is already registered to another managed device.

NOTE To unregister the mailbox address from the Register with mailbox dialog box, click Unregister.

Firewall Issues

UVC Manager must be able to ping devices on the network. Ensure your firewall is not blocking ping requests. A device s status changes to Unreachable if UVC Manager cannot ping it.
