Mahalo for considering The Club at Hokuli’a for your upcoming event! Located 12 miles South of Kailua-Kona Village and 4 miles south of the Sheraton Kona Resort, we offer an Oceanside venue unlike any other.

Our ceremony site, overlooking the 18th hole on our Jack Nicklaus Signature Golf Course, offers

unparalleled views of the Pacific Ocean. The Pavilion, our reception venue, is a blend of Old Hawaii with contemporary Pacific Fusion dining.

Event Policies

Our site fee provides access to the Club at Hokuli’a for your special event. What is included?

• Wedding Ceremony Site and Ceremony Rehearsal.

• The Pavilion and Ceremony lawn have a capacity of 150 persons. • Use of Clubhouse Locker Rooms to prepare for Ceremonies.

o Club Members may be present at any time.

• Member for a Day Program – the pre-designated wedding party is granted access to the Club facilities. Including pool, fitness, tennis, and massage by appointment (fees apply). • Golf Access (golf fees apply).

• Menu Tasting.

• Club standard Linen, China, Glassware, Silverware and existing furniture. • Staffing of event, to include bartenders, servers, porterage.

What is not included?

• “Day of” event coordination. Please engage your own event coordinator. • Tables, chairs, umbrellas, etc., other than what is on hand.

• Removal and replacement efforts of existing furniture. • Decorations other than what is already existing and in place. • Ceremony set up. Chairs, arch, etc.

• Dance floors, lights, generators, extension cords, etc.

Contract stipulations, timelines

A contract and The Club at Hokuli’a Event Policies document must be signed upon receipt of deposit and a revised contract must accompany all changes. Please read the contract carefully. In addition, a banquet event order form must be completed and signed confirming food,

beverage, estimated attendance, and any additional rates prior to the event. This banquet event order will become part of the contract. Banquet event orders must be signed no later than 7 days prior to the event.

Deposits, damages and cleaning fees

All deposits are non-refundable and will apply to the final bill on the day of the event. The event will not be confirmed without a deposit. All deposits are based on an estimate of total charges, not including tax and service fees. Final payment is due at the conclusion of the event.

1st Deposit – 50% of Site Fee to secure date (non-refundable)

2nd Deposit – Balance of Site fee and 50% of F&B due 30 days prior to event

Food & Beverage Requirements

All food will be catered by The Club at Hokuli’a, and requires a Food & Beverage guaranteed minimum. Buffet requires a minimum guarantee of 40 persons. Children aged 0-3 eat at no charge; children 4-10 are half off selected menu pricing. Menu must be selected 30 days prior to the event. Changes in Menu may be made up to 14 days prior to event.

Our standard bar setup is included in the site fee. Additional bars will incur a set-up fee per bar. Liquor and Smoking laws of the State of Hawaii must be adhered to at all times. All persons consuming liquor must be 21 years of age or older. The Club at Hokuli’a reserves the right to refuse service to any individual, who in our opinion is too intoxicated.

Gratuities and taxes

A 20% service charge will be added to all food and beverage fees as well as any services provided or contracted by The Club at Hokuli’a. Local G.E.T. taxes will be added to all charges as applicable.

Overtime

Should the Client with to extend the event past the allotted hours, there will be an overtime charge per hour, as well as any additional charges for food and beverage consumption. Guarantees

At the time of booking, an estimated count will be required. Menu selection and estimated attendance is due 30 days prior to the event. The final Attendance Guarantee is due 7 days prior to the event. All guarantees must be submitted in writing to the Event Manager. The Club will use the Estimated Attendance as the Attendance Guarantee in the event that guarantees are not submitted by the Attendance Guarantee Notice Date and charges will be made

accordingly. The Club reserves the right to substitute other food and services if necessary when the guaranteed number of guests is exceeded, or when the guaranteed number of guests is changed less than 7 days prior to the event.

Outside Vendors

The contracted Client is responsible for any outside vendors that are hired. Outside vendors must pick up their property by the end of the event. Exceptions will only apply if approved by the Event Manager.

Cancellation policy

If the Client cancels up to 30 days prior to the scheduled event date for any or no reason, the Client will forfeit the non-refundable deposit. If the Client cancels less than 30 days prior to the scheduled event date, the Client forfeits all deposits and payments to that date. Back up plans with pricing will be coordinated with Client’s Event Manager should circumstances beyond The Club at Hokuli’a’s control of other acts of God prohibit an event.
