Ongoing Information:

Reminder - Report New Officers

It is very important that geographic units report their change of officers/volunteers as soon as possible. This will ensure that the IEEE Geographic Roster will be updated and that the appropriate individuals will have access to vTools http://ewh.ieee.org/mu/vtools/, Entity Web Hosting http://sites.ieee.org/ services, and SAMIEEE http://www.ieee.org/about/volunteers/samieee/index.html - a Web enabled tool that allows ad-hoc querying, reporting, and downloading of IEEE membership data. Access to this system is limited to registered users with designated or automatic access.

The IEEE Geographic Roster is part of the IEEE Organization Roster

http://www.ieee.org/about/volunteers/rosters/index.html . The data is pulled directly from the IEEE membership database, and therefore reflects the most current information available. Updates and corrections to contact information may be made by the individual volunteer using his or her Web account. The information in this Roster is restricted to individuals who have an IEEE Web account and is based on their current officer position or committee appointment. If your name is not listed in the roster, you will not have access to this information.

Please report all officer position changes http://ewh.ieee.org/forms/scs/interactofficerform.php (Web account needed) as soon as possible. If you have any questions about officer reporting, please e-mail MGA Staff scs-officer-report@ieee.org .

<https://voting.vtools.ieee.org/> is ready to support your election. Use your IEEE Web Account ID and password to sign in. A tutorial is also available. Elections typically have twice the participation when conducted electronically.

The vTools portfolio <http://ewh.ieee.org/mu/vtools/> also offers other popular tools:

vTools.Meetings is a tool for scheduling and managing Section, Chapter, and Affinity Group meetings and meeting report submission. Officers can create meeting announcements with no dependence on

webmaster availability and show the meetings on their Web page and in myIEEE. Members and the public can learn about and register for the upcoming meetings. Functionality includes registration (with or without credit card payment), L31 submission and search, and various RSS feeds.

vTools.WebInABox is a wizard like tool to help officers generate simple Web sites with no dependence on webmaster availability. The tool automatically updates Web pages based on the latest information from the IEEE central data source (current officers’ contact information, meetings from the Meetings tool, etc.). Functionality also includes auto expiring announcements with RSS feeds.

Dim Dim is a Web Conferencing service offered to geographic organizational units for online meetings, webinars, training, demos, and presentations.

Please e-mail questions to the vTools team. <vtools@ieee.org>

(8)

SAMIEEE is a web-based ad-hoc query tool that provides volunteers with the ability to gather useful information regarding their Organizational Units IEEE membership data <http://www.ieee.org/samieee>. Predefined (prewritten) queries are provided and stored in folders in the system, making it easy to run and download data without having to recreate queries that are known "common" selections. (e.g., counts of members, by grade, by region; list of current members, total, or by section or region, and so on). Users can also create customized queries. The results can be downloaded into Excel, HTML, or a CSV file. This tool is available to Organizational Units. The data made available to volunteers is based on

respective Organizational Unit and volunteer position. Example: Presidents will automatically have access to their individual Society's members and section chairs can access their individual Section's members. There are new self-paced training modules to help you learn SAMIEEE at your own pace. There are four modules which take only about 30 minutes to go through. Please review the site

<http://www.ieee.org/samieee> for more information regarding which officer positions have automatic access.

The data is updated three times a week and is pulled directly from IEEE's membership database, reflecting the most current information made available by members. You will need your IEEE web account to access. If you would like more information or need assistance running queries please contact <MailTo:samieee@ieee.org>.

As a reminder, the use of IEEE membership data may be used only in connection with normal IEEE sponsored activities and may be used only for such purposes as are permitted under the New York Not-For-Profit Corporation Law. It may not be used for electioneering in connection with any office within IEEE, or for political purposes, or for commercial promotion.
