Quick Reference – Learner
Updating Your Profile
Your profile displays information such as your security role, username, name, address, and contact
information. Depending on your role permissions, you can update your personal profile information.
► To update your profile information:
1. Click the Profile link at the top of any page. 2. Modify settings as necessary.
3. Click OK to save your updates.
Customizing Your Home Page Shortcut Links
Use the Preferences option to modify settings such as your language, time zone, and Home page shortcut options.
► To customize your Home page shortcut links: 1. Click the Profile link near the upper-right
corner of the page. 2. Click Preferences.
3. Modify your settings as necessary. 4. Click OK to save your changes.
Finding the Right Training
In the Avaya Learning Center, you can view and access training in the following ways:
Use the Learning Navigator to locate training through curriculum paths and certification programs.
Using the Search feature
Search the training catalog to find individual training courses
Using the Location Path
No matter where you are within the user interface, you can view your location path on the top left corner of the page, underneath the menu bar.
You can click any of the links in the location path to access that page. Each part of the location path is separated by the “>” symbol.
Canceling Training Registration
You may want to cancel a registration for a class or activity that you cannot attend. Some cancellations may have restrictions attached. For example, you may want to cancel an activity a minimum number of days before the starting date to avoid paying a cancellation fee. ► To cancel training:
1. From the Learn menu, click Training Schedule. 2. Select the check box to the left of the activity
whose registration you wish to cancel. 3. From the Task list, select Cancel registration
and click Go.
4. On the Cancel Registration page, click Yes to confirm the cancellation.
Launching Training
You can launch any type of online training once you complete the registration process.
► To launch an online activity:
1. From the Learn menu, click Training Schedule.
2. [Optional] From the View list, select the appropriate activity view.
3. Click Start to the left of the activity name to launch the activity.
Note: You can also launch training from your Home page, the catalog, and the Training Analysis page if you are assigned training.
Viewing Your Transcript
A training transcript is a personal listing of your completed training.
► To view your transcript:
1. From the Learn menu, point to Learning
Activity Reports, and then click Training Transcript.
Note: Your transcript offers a consolidated view of
training completed, self-reported training activities as well as certifications awarded.
Viewing E-Mails Sent to your Account
You can view reminders about upcoming training and other kinds of automated messages that the system sends you.

Page 7 of 62 In Learner mode you can access training and locate learning materials. Learner mode provides access to the available training programs and learning paths. All users with active and enabled user accounts access primary functions through this mode.

Search - Find Learning Activities in the catalog either through simple or advanced search options.
Preferences and profile - By selecting the profile link, you can configure your home page to display items you
use frequently. You can also edit your personal profile information.

Location path - A quick glance at the location path (also known as breadcrumbs) will tell you where you are in
the learning management system. You can use the location path to navigate to previously visited screens quickly.
Menus - Use the menus to navigate to pages related to specific topics:

Plan – Enables you to:
Create and track against development plans. View detailed reports for development plans.
Access the Training Proposal Tool (if permitted by audience)

The Top Panel – contains the primary navigational elements in the site as described above. From the top panel
you can also access Search, edit your User Profile, access Help and Log-off the system.
The Left panel - contains quick access to important features and functions in the Avaya Learning Center. You
may show/hide what appears in the left panel using Preferences.
Note: Learning Administrators may configure and re-order items within the default groupings, so your left panel may be configured differently than outlined below.

Page 12 of 62 Your profile, accessed via the Edit Profile link on the home page contains options for customizing your personal system environment. On the Preferences page, you can modify general settings, such as time zone, and home page shortcut options.
Setting Your Time Zone
Update your time zone within the Avaya Learning Center so that scheduling for live training is presented accurately. This should only be required for non-employee users of the system since others are electronically managed via system interface.
1. Click the Profile link in the top right corner of the Home Page interface.
2. Select Preferences.
3. -OR- Click Edit Preferences in the Quick Links section on your Home Page.
4. Select your current time zone from the drop-down option. 5. Click OK.

Managing Home Page Shortcuts
From the Preferences page you can manage your Home Page options and configure sections to create an
environment that reflects your individual training needs. These options control what you see on the Right Panel of the home page as shown in the illustration above.

Page 14 of 62 "Learning Activity" is a generic term to reference any type of course, document, or scheduled session. While most times a learning activity will include the type of activity in the name (for example, Web-Based Course, Instructor-led Course), you can also recognize a learning activity type by the icon displayed adjacent to the Name of the activity.
Icon Activity Type Description
PDF Document Represents an Adobe Acrobat File. An online document that is launched and read un-tethered from the Avaya Learning Center.
Blended Learning A learning activity that has both web-based and instructor-led components.
Instructor-Led Course/Session
Learning activities that are led by an instructor in a classroom setting. An ILT "course" refers to the course in general (IP Office), while an ILT "session" refers to a specific scheduled instance (July1, 9am) of the course. Microsoft Excel Workbook Represents a Microsoft Excel File.
Microsoft PowerPoint Presentation
Represents a Microsoft PowerPoint Presentation.
Microsoft Word Document Represents a Microsoft Word Document.
Virtual Course/Session A learning activity hosted over the internet using the Adobe Connect Pro tool. Virtual Sessions can be conducted as "live" sessions or recorded for playback at a later time. Web-Based Course A learning activity that is accessed and completed over the
Internet. Also referred to as online training.
Web Based Assessment An assessment intended to test the student’s knowledge of a completed learning activity.
Certification Exam
High stakes certification exams offered by a 3rd party.
On Demand, On Demand – Live Session
Live and recorded Adobe Connect sessions which behave like a web-based course type once deployed to the system.

party vendor ToolWire for virtual lab administration.
CD-ROM Training delivered in CD ROM format. Such training would be mailed to you from an Avaya Learning fulfillment partner.
Podcast/mp3 A multimedia file distributed over the Internet for playback on a mobile device or a personal computer.
N/A Historical Learning Activity A non-active learning activity used for training history purposes.
N/A Self Reported Training Training not offered in the Avaya Learning Center but documented by the end user or their manager as complete.

Page 16 of 62 The classes and activities you are scheduled to take are shown on the Training Schedule page of the system. The Training Schedule page displays a list of learning activities for which you are registered. Note: if have a manager in the system, your manager has visibility to your Training Schedule and other areas of the system to support your development.
To view the Training Schedule from the Learner home page:
Access the Training Schedule from the Learn menu. 1. From the Learn menu, select Training Schedule.
2. In the View list on the right side of the page, choose one of these views:
Current Registrations - shows activities which you are registered to take. Activities that do not require
registration, such as online courses, may also appear in this list. For activities that have other activities as components, this list shows the top-level activity.
Completed Registrations - lists the activities that you have completed.
Current Activities - displays activities that you have started or attempted but have not yet completed. For
an activity which includes other activities, this list shows the lower-level activities.
Upcoming Activities - shows activities which you are registered to take.
Completed Activities - lists all activities that you have completed.
Canceled Activities - shows a list of activities from which you have cancelled attendance.
Calendar View - shows the learning activities for which you are registered in an interactive calendar grid.
Waiting List or Pending Approval - displays learning activities which you signed up to take. Currently
you are either on the waiting list for the activity or you are awaiting approval for registration.
Express Interest – This feature will not initially be activated for use, thus this page will not display
information.

Page 17 of 62 View Training Schedule information from the To Do item on the Learner main page (beneath the News item). 1. View training for which you have registered in the Training Activities tab of the To Do section of the Learner
home page.
2. Use the Display dropdown list to change the training that displays. You may choose from:
All Training - shows training you are registered to take and training you have started or attempted to
start but have not yet completed. The combination of training is shown in the Current Training, Upcoming Training and Assigned Training views.
o Current Training - displays training you have started or attempted but have not yet completed. For training which includes other activities (specific class sessions, for example), this list shows the lower-level activities.
o Upcoming Training - shows training you are registered to take.

Page 18 of 62 3. Launch web-based training directly from the Home Page using the Start button; available for all registered
and active web-based courses.
4. View additional details about training in the information pane which appears at the bottom of the Training Activities tab.
Use the View Details button to access the Activity Summary page.
Use the Other Actions button for additional training actions:
o Register - access the Registration page for the selected activity.
o View Activity Details - access the Activity Details page for the selected activity. o Add to Favorites - add the activity to Favorites.

Viewing Required/Recommended Training
You may be assigned training according to your organization or department. Training is assigned by your Manager or Training Administrator and may be deemed "Required" or "Recommended". Recommended training is a learning activity suggested based on training need. Required Training is a learning activity designated as one which is required for you to complete. It may have a due date assigned which the system may use to remind you to complete the activity. Both "Required Training" and "Recommended Training" are available on the Training Analysis page, which can be accessed from the Quick Links section of the Home Page, or via the Training Analysis link in the Assess menu.
To access the Training Analysis page via Quick Links:
1. Click Training Analysis in the Quick Links section.
To access the Training Analysis page via the Assess menu:
Click Training Analysis on the Assess menu.
On the Training Analysis page, use the Filter dropdown list to view:
Required and Recommended - view all required and recommended training together.
Required - view required training only.

Required and recommended training also shows within the Training Activities tab of the To Do section of the Learner home page. Use the "Assignment Type" column to identify if the training is required, recommended or optional (Assignment Type is blank). Click on the "Assignment Type" column header to sort training

Page 21 of 62 The Avaya Learning Center offers you the option to locate courses independently through browsing the Course Catalog or performing a Search.
To access the course catalog:
1. Click Learn from the top navigation menu.
2. Select Catalog from the sub menu to view available catalog sections as shown below.
By viewing the Catalog on the Home Page or by clicking Catalog from the Learn menu, you are presented with main categories to access courses by product or functional area.
Categories in the catalog provide a convenient way to locate learning activities that may be of interest to you. When you click a category heading, the system will open a page that displays the associated items and related subcategories.
Note that some learning activities may appear under multiple category headings. From a category page you can:
View, register, and launch learning activities.
Access subcategories and linked categories.
Note: Use the "Search this category and sub-categories" checkbox to search for learning activities within all categories and sub-categories. To search only the top level categories, deselect the "Search this category and sub-categories" checkbox.

Page 22 of 62 Searching is the quickest way to locate training in the Avaya Learning Center.
To Search for learning activities in the catalog:
1. From the home page, enter your search criteria in the Search box.
2. Enter your search criteria. 3. Click the GO button.
Note: This search function provides you with the ability to search by activity name, code or description.
Search Feature Inputs
The search feature is available in many different places. When you enter items in the Search box, the following rules apply:
The search engine looks for exact, whole-word matches.
Separating search strings using a space will show all records that contain both search strings.
Searches are not case sensitive.
The asterisk (*) is a wildcard character that can be entered in the Search box as a substitute for zero or additional characters.
Punctuation marks and common short words (or "noise" words) are ignored when used as search criteria. Examples of these words include "and", "or", "the", "as", "after", and "much". For example, if you enter "an office template" as criteria for a search, the search engine will only use "office template" as the search criteria ignoring the word "an".
Advanced Search
The Advanced Search feature helps you refine your searches by enabling you to filter using additional criteria. The filter criteria available will change depending on the item with which the advanced search is associated. For example, you can use the catalog advanced search to apply multiple search criteria such as activity types, dates, or locations.
Advanced Search expands over the Left Panel widgets which appear below the Search window When Advanced Search is open, a Basic Search link appears in the Search pane in the place where the Advanced Search link appeared previously. Click Basic Search to turn off the Advanced Search option.

To use the advanced search feature:
1. Click the Advanced Search link in the Search pane on the left side of the home page.
2. Advanced Search will appear inline below the Search pane (over the left pane widgets) with Advanced Search filters available for performing a new search.

Note: If the search finds no matches, a "0 search results" page will appear with suggestions for modifying the search.
Viewing Search Results - List View and Calendar View
After a search has been completed, the Right Panel of the Learner home page will be replaced by a Search Results pane. Search results may be viewed in two formats:
List - This is the standard view and shows training in a list, by course name.
Calendar - Shows training in calendar timeline format, useful for Instructor-Led scheduled activity
(classroom or virtual classroom).
You can quickly toggle between the two views by clicking the List button or the Calendar button in the right corner of the window as shown below.

Calendar View:
When you are in Calendar view, there are various ways to manipulate the calendar:
Drag the timeline at the top of the calendar view (the slider bar) to expand or narrow the number of days to show at one time.
Click inside the calendar and drag to the left or to the right to move the calendar forward or backward in time.

Page 26 of 62 On the Calendar view, there are two filter options available in the Advanced Search pane:
City/location of the activity.
Year/month in which the activities occur.
Locations and months relevant to the search criteria will be shown in the Calendar. Depending on the city/location filter option chosen, the relevant year/months will be
shown.
Jump to any date using the Year/Month selector to the left of the timeline slider bar.

To register for an Activity:
1. Use the Search feature or Browse the catalog to locate an Activity. Alternatively, you can locate a course through the Learning Navigator as described later in this document.
2. Click the course of your choice. Information about the course will appear in the info pane at the bottom of the screen.
3. Click the Register button to for an activity you wish to take.
Note: For instructor led courses, you are required to select to the course and click Register in order to view available sessions.
4. If the Activity requires approval you will see warning messages on the registration panel:
Click on Submit button after selecting the Activity you wish to register for. On top of the page the Approval required status message is displayed
You can click on the Show Details link to view additional information concerning this prerequisite, including whether the prerequisite is required or recommended.
Click the Submit button to proceed.
After clicking on the Submit button, the system will display your registration status.
This requires update to show the status following the enhancement to support waitlist and eCommerce.

Page 28 of 62 5. If the Activity has reached the maximum capacity you may wish to join the Waitlist:
Select the Activity you wish to register for, read the Insufficient Capacity warning message and click
Submit to add yourself to the waitlist.
Update screen print after the Waitlist/eCommerce enhancement is in place.
6. Once a seat is available, you may be notified by e-mail. You should follow the normal process for registration into this activity. If the learning activity requires payment:
Click on Purchase button to make payment
Select the appropriate payment method
Enter the required payment information to register Place holder for payment selection screen.
7. If the learning activity does not require payment:
Click on Register button to register

Page 29 of 62 Note: When registering for or viewing an activity with a scheduled Start and End date, the schedule will
display in the activity's time zone. A "Show schedule in my time zone" link available to allow you to view the activity schedule in your local time zone or the time zone of the activity.
Participation in a uConnect Virtual Classroom
A Virtual Session is one which is facilitated by an instructor over the Internet allowing you to interact with other classroom participants without physically having to be present for the training.
Assuming you are already registered into a virtual classroom event, to enter a uConnect session from the Avaya Learning Center, simply click the Start button from your Training Schedule page within 30 minutes of the session start time. You can also view this button from the Search results page in Learner mode.
If you try to register for a virtual session after the scheduled time, the system will display a message - No activities for registration. In such a case, a Training Coordinator must add you to the session meeting from the roster. You can then join the meeting as described above.

Page 30 of 62 When you register for an online course, the system provides you with a Start button to immediately launch the course. The To Do section of the Home Page resides just below the News content on your Home Page (Right Panel).
To access the To Do section, you must scroll below the news content from the Home Page.
To launch an online Activity from the Learner home page:
1. In the Training Activities tab of the To Do section of the Home Page, view training for which you've registered but have not yet completed.
2. Click the Start button to the right of the activity name to launch the activity.

To launch a learning activity from the Training Schedule page:
1. From the Learn menu, click Training Schedule.
2. [Optional] From the View list, select the type of activities you want to see. 3. Click the Start button to the left of the activity name to start the activity.
Viewing Activity Detail
The Activity Details page displays when you click the name of an Activity, after you register for a learning activity or when you click the View Details button. The Activity Details page shows activities that are part of an activity structure in a grid layout as shown below. Your progress toward completing the Activity is displayed in the Status column.
Viewing Activity Summary
When viewing the activity details, you can click on the "Summary" link in the More Information column to view Description and Notes (including activity description, user notes and instructor notes) as well as Additional Information (such as facility and location) for the Activity.

Registering for an Instructor-Led Session
When registering for instructor-led or virtual instructor-led training, you will be required to select a scheduled session (a session with a Start and End date).
To register for a scheduled session:
1. Click the Register button to the right of the name of the Instructor-led Course. 2. Select the session you wish to attend.
3. Click on Purchase button to proceed to payment if selected session require payment – OR- 4. Click the Submit button for the action to be completed.
Viewing Registration Status
For instructor-led training or virtual instructor-led training, you should click on the Learning Activity Name link to go to the Activity Details page to see your status for any sessions you registered in. You may be registered for the learning activity, but pending approval (your manager is in-process of approving) or cancelled (your manager denied your request or you cancelled out yourself) for the particular session you tried to register in.
Here are statuses you may see:
Pending Approval – Your enrollment in the Activity is pending approval. When you receive notification
of approval, return to this screen to complete your registration. <<Update with enhancement information>>
Pending Payment – Your enrollment in this activity is pending payment. Click the “Purchase” button to
complete your enrollment.
<<Update with enhancement information>> Registered - You are registered in the activity.
Waitlisted - Your enrollment in the Activity below is Waitlisted. If a seat becomes available, you will be
notified via email. At that time, please return to this screen to complete your registration. You may also cancel your registration in this session.
Note: If you have received notice of an available seat, but are now seeing this message, this indicates that the available seat has been taken by another participant.

Entering Payment Information
During course registration, you may be required to enter payment information to complete your transaction. Payment methods available depend on your country of residence and may include credit card, purchase order and SAP Payer ID.
When selecting a course with a payment requirement, you will see a Purchase button displayed. Clicking on the Purchase button generates a list of payment methods available to you.

Page 34 of 62 As a Learner, when registering for certain learning activities you may be required to obtain approval from your Manager before your registration can be finalized. Approval requests are automatically sent by the system to your manager as soon as you attempt to register for an activity requiring approval. This is referred to as the registration approval process.
If you register for an activity that requires approval, your registration is put into a waitlist status. When the request is approved the registration is complete. You will be notified by e-mail when your registration request is approved or denied.
Understanding Waitlist
When registering for a session of instructor-led training or virtual instructor-led training and no seats are available, you may wish to be placed on the waitlist. When you attempt to register for a session of an instructor-led or virtual instructor-led learning activity, you will be prompted with a yellow warning icon as illustrated below.
If you click this icon, you will receive the "insufficient capacity" warning message. If you want to join the waitlist for this session, click Finish. If a seat opens, you will receive an email message with instructions for claiming that open seat.
Important! You are required to cancel yourself from a waitlist status in order to register for another session in the same course.

Page 35 of 62 Some learning activities may have requirements that you must meet before you are allowed to request
registration. Recommended and Required are the two types of prerequisites. When you request registration, you may receive the following warning messages indicating you have not met the prerequisite requirement. The two icons displayed for prerequisites include:
1. The red circular icon is displayed ( ) if at least one of the prerequisites for the Activity is a required prerequisite and has not been completed. If you receive this message, you must complete the required prerequisites before you will be able to register for the new learning activity. You can access the prerequisite by clicking on the Course title from the Show Details link as referenced below.
2. The yellow triangle icon is displayed ( ) If only Recommended prerequisites exist or remain in the set of prerequisites. But you will be still able to register to the course. Click the Submit or Payment button to proceed with your course registration.
As shown in the screen print below, you can view details on the prerequisite activity by clicking the
Show Details link on the right portion of the screen.

Page 36 of 62 On occasion, you may need to cancel a registration for a learning activity. You will be subject to any cancellation policies outlined by Avaya Learning. Some cancellations may incur a financial penalty for your organization so you will want to check Avaya Learning policies prior to registration and cancellation.
To cancel a registration:
1. From the Learn menu, select Training Schedule.
2. In the View list, choose Current Activities.
3. Select the checkbox next to the learning activity.
4. Within the Task option select Cancel Registration and click on Go.

Cancellation Confirmation Window:
The following screen will appear to confirm course cancellation activity. You will need to confirm the action or Cancel Marked activity to proceed with the cancellation.

Page 38 of 62 If you wish to have training that you have completed outside of Avaya Learning listed in your transcript, you can enter self-reported training using the feature under the Learn menu. External training can be any learning activity that is not listed in the catalog. Note: if you have a manager in the system, your manager has visibility to your Self-Reported Training and other areas of the system to support your development.
To add external training to your transcript:
1. Click Self-Reported Training from the Learn menu in the system
2. Click the New button to open the Self-Reported Training Properties window. 3. Complete the online form and click OK to save the record to the system.

To view your training transcript:
1. Click Training Transcript in the Quick Links section of the Learner home page, or select Learning Activity Reports from the Learn menu, then click Training Transcript.
2. The Training Transcript page appears on the screen.
Note: The sections listing self-reported training and credentials earned will only appear if you have such records in the system.
3. Print this report by clicking the Print button on the right side of the page.
Once you've completed a learning activity within the system, the system in some cases will automatically update your status to "Completed". However, there are some instances when a learning activity will require you to mark yourself complete after you have finished the activity.
After completing an activity and closing the window, you may be prompted: "Have you completed this activity?" You can mark yourself "Complete" by clicking the Yes button.

Page 46 of 62 Select courses within the Avaya Learning catalog are setup with an offline player option. This option can be used as a convenience in downloading and taking a course without the need to be connected to the Internet. Not all courses provide you the offline method of access and all assessments require you have an active Internet connection.
The Offline Player is a Java application that is downloaded and installed on your PC.
The Offline Player is only supported by Windows XP and Internet Explorer 6.0 or 7.0. The Offline Player does not support the use of Firefox, Netscape or Safari browsers or other Windows or Mac operating systems not specified.
Internet Explorer must be configured to use the Sun JVM (Java Virtual Machine) version 1.4.2 or later. This setting is the default after you download the Sun JVM.
Installation requires read/write access to the local Program Files directory. The application takes approximately 5MB of local hard drive space.
Downloading content for Offline access also requires read access to the specified download directory.
Internet Explorer must allow scripting of Java applets. This option is accessed from the Tools menu in the browser when you choose the Security tab and click Custom Level.
After you have registered to a course, select “Offline” in the Player Mode to begin the download process.

After successful completion of a course offline, you must submit the results to get credit. To receive credit for taking a course offline, click on Synchronize All button in the Offline Player to send offline results to the Avaya Learning Center database.
Note: If you do not synchronize your results to the Avaya Learning Center, you will not see the results of your progress on your transcript.

The Avaya Learning Center provides a self-service feature for entering requests into the Support Center. To access the Contact Us form in the system:

2. Validate the information in the First Name, Last Name, Email Address and Phone Number fields and update your User Profile as necessary.
3. Enter a Short Description to provide the Support Center information on your request.

To view your Instructor Schedule:
1. From the Learn menu, click Instructor Schedule.

Previous Activities - displays activities that you have taught in the past.

Managing the Activity Roster
The Activity Roster displays a list showing all of the users that are either registered or on the waiting list for an activity.
The roster lets you manage details such as user's activity completion information, pass/fail status, and completion date.
The roster view also allows you to print sign-in sheets and name tents.
From this view, you can manage pass/fail and completion details.
Understanding Roster Icons
On your Instructor Schedule view you'll see several icons:
View Activity Roster: Clicking the View Activity Roster icon displays the roster for your session. The roster contains the names of all students who have registered for the session.
Activity Roster Report: Clicking the Activity Roster Report icon displays the Sign-In sheet for your session.
Viewing the Roster
An activity roster is an interactive list showing all of the users that are registered or on the waiting list for an activity. The activity roster lets you manage details for users associated with activities that you are teaching. Details can include:
Completion Information - view and record each participant's completion status, completion date, score, and
attendance status.
Other Notes - view special needs and enter notes concerning specific registrants of the activity in question.

Printing the Sign-In Sheet
The Activity Roster page provides access to an Activity Sign-in Sheet.
Activity Sign-in Sheet: Lists the users who have successfully registered for an activity as well as users
added to the activity roster by an Administrator. This report can be printed to allow people to enter their signature next to their printed name to indicate attendance. The report identifies the activity by name and shows the start date, location, and instructor as well as other information.
To Print the Activity Sign-in Sheet:
1. Navigate to the Activity Roster page for your assigned activity.
2. Select the Activity Sign-In Sheet report link from the reports listed at the bottom left side of the page. 3. Click the Print button on the Activity Sign-In Sheet pop up screen.
Marking Learners Complete
As an instructor, you have the ability to process learner completions via the Activity Roster.
