Introduction

The Ascend.5050 (formerly 5050 Central) system is made up of several components:

• Administration Web UI

• Handheld and tablet selling stations, o Mobile printers

• Online Sales portal o Accounts o Subscriptions

• Batch Import

• Barrel Printing server and printers (optional)

** Note: Features may be hidden or locked down based on regulatory requirements in your jurisdiction **

This manual outlines the procedures necessary to Setup an Event, Create an Event, Sell Tickets, Close an Event and Choose a Winner. Reports are generated automatically for all events or can be generated from the system.

Please understand that you do not have to create a new event from scratch for every time that you run an event. Our “Duplicate Event” feature allows you to easily create a new event from a previous event configuration.

Supported Browsers

The platform, Admin and Online Sales, requires an up-to-date web browser to make use of all features.

Browsers supported-

• Microsoft Edge,

Note: We no longer support IE11 starting January 2020.

For Online Sales on Mobile, the following browsers are supported-

• Apple Safari (iOS),

• and Google Chrome (Android).

Supported Purchase Types

The following purchase types are supported by the system, they need to be configured to use and operate.

Point-of-Sale (POS) – Purchase tickets in person using an android device running the 50/50 application.

Online Sales (Guest) – Purchase tickets online using a web browser and the tickets are delivered via email.

Accounts – Similar to online sales but the customer can create an account which will allow making future purchases seamless.

Subscriptions – Ability to subscribe to a charity to automatically purchase tickets when a new event is occurring. (requires accounts functionality)

Batch Import – Processes a batch of transactions uploaded via excel sheet. (ex. Payroll deductions – the payroll system will deduct the amount from the purchasers pay cheque and generate a file that will be consumed by the system to process the transactions and email tickets to everyone that entered.)

Admin Login

The Web UI portal is accessible from any web browser- enter the URL of your Web UI portal and login using your Username and Password.

Change Password – Update password for logged in account.

• Current password – Enter current password

Other Accounts

Create a new account.

• Username – Enter Login ID

• Password – Enter new password (see Password Policy)

• Confirm password – Confirm new password (see Password Policy)

• Create – Confirm new account

10 Password Policy

• Passwords must be at least 6 characters

• Passwords expire after 1 year

• When passwords are changed – e.g. if a password expires – the new password must be different than the current password

• Admin portal account are locked after 10 failed login attempts

o The account can only be unlocked by authorized Ascend FS staff

If you believe your password may have been compromised, please immediately report the incident to Ascend FS Support and change the password.

Setup

Setup Profile

Setup profile, payment processor, online sales and other options.

General

General information about your company and settings.

• Company Name – Name of Charity

• Lottery Licence No. – Charity license number

• Show Prize Only – Display amount Winner will receive (Yes) or full pot amount (No)

• Show Draw Date on Ticket – Draw date will be shown on the ticket

• Time Zone – Time Zone raffle is conducted in

• Locale – Updates the currency symbol to reflect the selected country

Payment Processor

Select Credit Card payment processor and configure accordingly.

** Note: This feature has been deprecated but available in the UI. **

12 Online Sales

• Contact Email – Email address for customers to respond to

• Default Visitor Location – Default state/province/county (locale) for online purchases

• iFrame Host URL – Add URL of website if Online Sales portal will be framed into existing website (see supported browsers)

• Online Credit Card Processor – Configure credit card processor for any online sales

• Payment note – the note will appear at the online sales portal screens that specify payment options for guest sales and account billing pages.

Customer Information

Select what information is required for tickets sold on point-of-sale devices.

Barcode and Reference Number Show Barcode on edge of ticket.

13 Cloud Printing

Enter IP address of networked printer.

Online Sales API

Other Point-of-sale applications can connect to Ascend.5050 raffle application through an API key so they can use the services provided.

Event Types

Configuration for each event type.

• 50/50 - A raffle in which the prize is one half the value of all tickets.

• Sweepstakes – A type of contest where a prize(s) may be awarded to winner(s).

• Donation - An event where customers donate to a cause and no prizes are rewarded.

• Catch The Ace – A progressive event that may contain up to linked 521 events. A portion of the winnings form an accumulated jackpot. The jackpot is awarded when event winner selected card is revealed to be the designated card.

Tickets Options

Configure the number of tickets per price point a customer can purchase at a time.

• Single – Purchase one ticket

• Multiple – Purchase 1-10 tickets at a time

o Stations – Set the number of tickets available, 1 to 10.

o Online – Set the number of tickets available, 1 to 10.

14 Logos

Add logos to the header and footer of your tickets. Click ‘Add a Logo’ and choose an image file from your computer to be uploaded, logo is uploaded and given a number. To add logos to your ticket, enter the logo number in either the ‘Top’ or ‘Default Bottom’ box as desired. To remove, click ‘X’ beside the logo to remove.

Price Points

Define the Price Points for your raffle, up to 5 different price points per draw.

• Title – Label for the price point, shown on the seller’s device and on the printed on each ticket

• Description – Description for price point

• Price - Dollar amount for the price point

• Number of Tickets - Number of tickets for the price point

• Footer Logos - Define logos (ex. sponsors) at each price point. To add a logo, enter the logo number (as seen when adding logos earlier)

• Display – Show price point on Online Purchase Portal and POS (default = on)

• Checkout Url – the URL that can be used to start new purchase using external customer own or branded applications websites/applications .

Prizes

50/50 Events only

Define Winner %, Charity %, and Expenses % (optional) with Cap defaults for new events.

Expenses

• Expenses % – Percentage of pot allocated to cost of running the raffle operation or any other related costs

• Cap amount – Cap expenses at whichever is lower, percentage or dollar amount Winner/Charity

• Winner % – Percentage of Pot allocated to the Winner (after Expenses are removed)

• Charity % – Percentage of Pot allocated to the Charity (after Expenses are removed)

Estimated Pot (calculator) – Allows Administrators to estimate the pot based on user settings.

** Note: Expenses are removed first and Winner and Charity % is split from the remaining. **

Example

• Setup

o Expenses % = 10%

• Event

o Gross = $100,000 o Pot (display) = $90,000

CTA Events only

As with5050 events, define Winner %, Charity %, and Expenses % (optional) with Cap defaults for new events. In addition, defines Carry Over % to setup what percentage of the Pot allocated to the

accumulating jackpot prize.

** Note: Expenses are removed first. Charity % and Winner % and Carry Over % are split from the remaining. **

Agreements shown on the Online Sales portal that customers need to accept to purchase tickets.

• Key - value what the agreement will be exported with

• Order – order where the agreement will be displayed relative to the other agreements

• Required – if the user must mark the agreement

• Default – if the agreement is preset. User still needs to click on “Continue” or “Save” buttons to actually agree.

• Ticket Selection – if the agreement should be displayed on ticket selection page

• Billing info – if the agreement should be displayed on the Accounts billing info page

• Payment Info – if the agreement should be displayed on the payment selection page

• Guest – if the agreement should be used for guest purchases

• Users – if the agreement should be used for users with accounts.

Confirmations

• Confirmation Email Body

o Reply-To-Addresses – Email receiver can reply to this address o From Name – Sender’s name

o Confirmation Email Body – Message sent to customers that purchased tickets.

• Confirmation Page Body – Message shown when a successful purchase has been made.

Options

Age Restriction – Minimum age to participate in event.

Introduction (CTA Only)

Title – Title of the information box that will be show above card selection in the online sales portal.

Content – information box content that can be seen expanding the information box. This entry supports html.

Setup Geofence

Set Geofence by State/Province and/or Residency, additionally Whitelist IP Addresses.

Geofence Type

• None – no geofence

• Location List – select allowed State, County, and Zip Code (US only) and/or Provinces

• Distance from Venue – set geofence by radius around venue

Geofence detection method:

Control to select what type of the geofence detection method should be used on online sales portal.

• HTML – Use the browser to get the geographical position of the user

• IP Address – Use the IP address to get the geographical position of the user

If both are enabled, the system will use HTML based geolocation if the user allows browser prompt, and then the IP address.

Residency Restrictions

• None – no restrictions

• State/Province – select allowed States and/or Provinces

• Zip/Postal Code – enter allowed Zip Codes and/or Postal Codes

• State/Province and Zip/Postal Code – select allowed States and/or Provinces and Zip Codes and/or Postal Codes

19 IP Address Whitelist

Enter IP addresses or range to whitelist them. Note: A whitelisted address will have access, even if it does not meet the allowed locations configuration above.

Setup Online Sales

Settings

Geofence Blocked Message – Message shown to customers that are outside of the geofenced location.

Custom CSS Rules – CSS can be used to customize the Online Sales portal- colors, font size, background, etc.

Purchase Type

Allow users to purchase tickets as guests and/or using accounts and/or subscriptions.

Guest – Allow users to purchase tickets as guests

Accounts – Allow users to create accounts and purchase tickets

Subscriptions – Allow users to subscribe to charity for purchase at future events

Prompt user to register/login – Ask users to register/login when purchasing tickets as a guest

Accounts > Configure

Welcome Email – An email sent to new account creations.

Welcome Email Settings

• Reply-To-Addresses – Email receiver can reply to this address

• From Name – Sender’s name

• Subject Name – Short description of email message

• Email Body – Message sent to customers

21 Agreements – Terms and agreements for users that create new account.

Age Restriction – Minimum age to create an account.

Show Social Login – Toggle to enable login using customer Facebook account.

Subscriptions > Configure

Options – Toggle to control whether the customer will be issued tickets immediately upon

subscription if there is an active event. This will send tickets even if raffle administrator did not yet activate the subscription processing for the event.

Amounts – Amounts buyers would subscribe to per event. The amount will be divided by the highest price point until the full amount is used, any remainder amount will not be used. Buyer will only be charged for the divisible amount only.

Example

• Price Points are 1 for $5, 3 for $10, 10 for $20.

• Subscribes to $50

• Buyer will receive 2 (10 for $20) and 1 (3 for $10) tickets

Amount Description – Add a message to describe subscription amounts Introduction – Message shown before the buyer subscribes.

Header Message – Message shown at the top of the purchase wizard Email Types

• Subscription email – Successful subscription confirmation email message template

• Cancelation Email – Successful subscription cancellation confirmation email message template

• Payment Failure Email – Email message template that will be sent to customer when their payment information stored in the system cannot be processed. For example, cancelled, expired, or revoked credit cards, insufficient funds, etc.

• Payment – Cancelled Subscription Email – This email message template will be used in case payments are failing for more than 2 subscription events processing. The system will cancel the subscription.

• Email Body – Message template for the email to be sent to customers. The macros to specify location of the first, last or full names can be used in the body template.

Event Types – Set of event type toggles to specify which event types the subscriptions will be used for within the system.

A toggle to allow customers to select event types to subscribe to.

CAPTCHA

CAPTCHA – Enable or disable CAPTCHA requirement for free entries.

Batch Import

Batch Import – Allow users to import purchase tickets file a preformatted file.

Charity Code - Label entered in this field will be used by Payroll Manager to specify to what charity the employee is going to contribute.

Event information and statistics.

• Edit Event – Modify event details, see edit event.

• Place on Hold – Sets event on hold, to reactivate, see pending events.

• Close – Complete event (requires final sync, voids, etc.,) see close event.

For CTA events additional section with linked events table is shown in the Stats page. It also displays winning card selection for the all the events in the CTA events progression.

Linked Events table may contain some events that were already closed, activated(current), and some future and on hold events.

Create an Event

To create an event from scratch, click the ‘Events’ tab, then ‘Create an Event’.

Select an event type to create- 50/50, Sweepstakes, Donation, or Catch The Ace.

Create event with default settings,

• Click ‘Yes’ to create an event from scratch and

• ‘No’ to duplicate event (see duplicate event).

*** Note: For CTA events creating new event ALWAYS creates NEW event group ***

Consequently, the accumulated carry over from the events in another event group would not be carried over into this event. Only create CTA event when a new event progression is needed. To create a new event to join into existing CTA event progression, use the Event Linking feature.

41 General

Base options to setup the draw:

Event No: Automatically generated by the system and cannot be modified.

Enter Your Event Title: Name of your draw, it will be printed on each ticket.

Main Draw Name: Used when multiple draws are active simultaneously, generally can be left as is.

42 Test Draw? Indicate whether the event will be a test or a live event.

Event Introduction: Add information about the prize and the charity before the user purchases tickets- What You Win and Who You Help.

Event Start and Stop Date/Time: The date and time of the draw, most 50/50 raffles start and end on the same day, so the two dates are usually the same day. Some jurisdictions limit selling to specific time periods, if so change ‘Enable Time Sales Limit’ to ‘Yes’.

Online Sales Start and Stop Date/Time: The start date and time when customers will be available to purchase tickets online and when online sales will end.

Online Sales Enabled: Enable the purchasing tickets online for the event.

Winner Selection Date: The date and time you intend to select the winner.

Starting Ticket Number: Starting and Ending Ticket must have the same number of digits according to Ticket Number Pattern. For example, Ticket Number Pattern is A-####### then starting ticket number is 1000000.

Numbers: The total amount of numbers available for the event. Some jurisdictions only allow a certain number of tickets to be sold for an event. If you have no restrictions, make sure you have more tickets available than you will sell. If this is your first event, enter 50,000 numbers. The reports will tell you how many numbers you sold. After you run a few events, you will get an idea of your average ticket sales.

Ticket Number Pattern: You have many options here, but you must also consider the uniformity of the numbers when they are printed on the buyer’s ticket. We typically use the following format- for

43 the 1st Event: A-#####, the ticket printed would look like A-10000. For the Next Event: B-#####, the ticket printed would look like B-10000.

Numbers Left: The amount of numbers you have remaining not including- reserved for POS (Load &

Go), sold, spoiled or voided numbers.

Create Numbers Randomly: When enabled numbers will be randomly generated, otherwise numbers will be generated in sequential order.

Draw Winning Numbers from Barrel: Some jurisdictions require that you draw the winning number from a barrel, simply check the box if this is how you will be drawing the number. If you do not have to draw from a barrel the Random number generator will select a number from those that have been sold.

Test Draw? Used when you create a test draw for testing network or equipment.

Note: Test Events are locked to $1500 sales.

Amount of Numbers for Load & Go: This indicates how many Numbers that will be preloaded to handhelds.

Restrict Total Sales to $: Some jurisdictions limit the amount of sales allowed. If this is applicable, enter the dollar amount.

Attendance: Enter the attendance of the event to generate reporting on per caps.

Max Pot Displayed $: Specify the highest pot amount to be displayed, it will not increase once it reaches the set amount.

Provision Online Raffle Numbers? Enable to reserve a specified amount of numbers for online sales.

Online Raffle Numbers: Define the amount of Numbers you would like to allocate to Online Sales only.

For example, if 100,000 numbers are used and 50,000 are allocated to online sales therefore in- stadium sales will have 50,000 numbers available.

Message to be printed on each ticket: Message shown at the bottom of a ticket. Examples would be

“Thank you for supporting our charity”, “Our next game is xx/xx/xxxx”, “Visit our website @ www.website.com, etc.

*** Note: When an event is duplicated, the message is also duplicated. ***

44 Prize Structure

Define the price of tickets, prize breakdown, and pot seeding.

• Trash Can (icon) – Remove prize

• Type – Prize level

o Grand – Main draw prize (only available for Sweepstakes events) o Consolation – Early bird or secondary prizes (all events)

o Incentive – Prizes linked to price points, purchasing will claim a prize (all events)

• Title – Prize name

• Description – Description of prize

• Quantity – Number of prizes available for draw

• Media – Images relating to the prize

• New Prize – Add a new prize

Tickets

Ticket configuration for the event.

Options

Starting Pot $: Amount to start the pot at.

Only tally sales after Starting Pot reached: Restrict the pot to only start increasing after the seeded (starting pot or incremental) amount has been reached.

To activate an event, click ‘Create and Activate Event’ at the top of the screen. The following will then pop up:

Edit Event

To edit an active event, click ‘Stats’ and then ‘Edit Event’ at the bottom.

When editing an active event there are fields that you can modify, all other fields are locked. The following fields can be modified Event Title, Event Date/Time, Amount of Numbers for Load & Go, Message to be printed on each ticket, and Logos.

Linking Events

For CTA progressive events, new events that need to be added to the existing progression (event group) must be created by linking feature.

New Linked events can be created from:

• Create linked event button on the current event view.

• Create linked event button is also available on the stats page.

• The event lists have the same functionality under events action menu.

Functionally, linked events look the same as the create new event pages except the main prize fields and card selection are locked.

Station Management

In the station management screen, enable or disable stations from selling tickets for the current draw, see which devices have completed their ‘Final Sync’.

Trigger Subscriptions

Processes a batch of subscriptions and continues processing new subscribers for the current event till selling is closed.

To process subscriptions, click ‘Tigger Subscriptions’. The confirmation screen will show Total Subscribed, Successful and Failed transactions. Click ‘Yes’ to confirm.

*** Note: the subscription process will continue to work in the background of the event once triggered and will stop once event is closed. ***

Trigger Batch

Processes a batch import file and continues processing new files for the current event till selling is closed.

To process subscriptions, click ‘Tigger Batch Import’. The confirmation screen will show Total, Successful, and Failed transactions. Click ‘Process’ to confirm.

Void Tickets

To void a ticket- select ‘Ticket #’ or ‘Reference ID’ and enter the number from the bottom of the ticket and click ‘Search & Void’ to void the single ticket or ‘Search & Add’ to add to list and void multiple tickets at once.

This will void the entire ticket, regardless whether if it has one or multiple numbers sold on it.

Authenticate a Ticket

To check the status or validity of a ticket from the current event- enter the ‘Ticket Number’ and

‘Reference ID’.

Close Event

To close a draw, ensure all devices have performed a ‘Final Sync’, all void tickets have been entered and voided successfully, and all sellers have ceased selling. Click ‘Close Selling’ and confirm that to close selling and that any subsequent sales and/or voids will be disallowed, click ‘Yes’ to continue.

Draw Winner(s)

The system will use the RNG to select a winning number from the pool of valid numbers. The winning number is shown on the main screen and will broadcast to any kiosks and feeds (scoreboard).

Guidelines for drawing prizes and winners

• One number can win a grand prize and a consolation prize

• One number cannot win multiple grand prizes

• One number cannot win the same consolation prize more than once

• One number can win different consolation prizes

*** Note: It is important that all devices perform a Final Sync to ensure all sales are properly

recorded. If any stations have not performed a ‘Final Sync’, you will receive a warning and the ability to override any Stations that have not sync’d and draw a winner. ***

CTA Events

For CTA events the prizes table shows Jackpot prize. It cannot be drawn directly. The system will update jackpot prize while drawing Grand prize. When Grand Prize is drawn, the card deck position selected by the winner ticket holder will be revealed. The grand prize view shows revealed card.

The deck is shuffled before every attempt to reveal a card. Only the unrevealed cards change their positions within the deck.

If the revealed card is an event configured winner card the jackpot is won, and the Jackpot prize will show 1/1 along with ticket number in the “claimed” column.

61 In the CTA context a subscription is a buy in to the series of the events. The same subscription will be processed and buy tickets for multiple events in the same or different set of linked events (event groups). Subscription customers cannot select which card position to use because it is likely that position may become unavailable during the progressive event series. For this reason, a random position within the available card deck positions is used if a ticket is purchased via subscription.

Resend Emails

To ‘Resend an Email’ to a customer that may have not received their email there are two methods.

For a Live Event, click on ‘Resend Email’ button under ‘Live Event Options’.

For a Completed Event, open the ‘Summary’ then click on ‘Resent Email’.

63 Search for the customer using the search criteria and click ‘Resend’. Send the email to the stored email address or enter an alternate email address and click ‘Send’. The ‘Resent On’ field will be updated with the Date and Time of the resent email.

Duplicate Event

Duplicating an event is the quickest method to create an event- the previous event’s settings including logos, prize structure and ticket messages are all copied.

On the Main Screen, click ‘Duplicate Event’ and select ‘Yes’ and this will create a duplicate of your current event.

To duplicate existing events, click ‘Events’ tab then Pending, Completed or Deleted events and select the event you wish to duplicate, then click ‘Edit Event’ and ‘Duplicate Event’ button at the top of the screen.

Review the settings to ensure everything is configured appropriately. Options that may need to be changed- Event Title, Message to be printed on each ticket, or Logos. Click ‘Save and Activate Event’ or

‘Save Event as Draft’ to complete.

Main Reports

To view the reports available, click the ‘Reports’ tab from the top menu bar or the ‘View Event Reports’ button from the main screen. Reports are available for single events or multiple events- configure the filters and click ‘Search’ to generate reports. Reports can be exported to an Excel or PDF formats.
