Business Drivers

Organisations face increasing complexity, costs and security issues relating to Enterprise Content Management and ‘anywhere’ 24 x 7 user access to documents and data.

The need for information management and sharing both within an organisation and externally with partners, suppliers and other third parties is driving the need for a cost effective, efficient and simple to implement and use web file storage solution. Contemporary approaches to content management often deliver an inadequate ROI, with issues such as high infrastructure and support costs, poor integration, capacity management, scalability, security and low user adoption.

Web File Service

InTechnology’s Web File Service (WFS) delivers secure Internet based data storage, file access and simplified document management and collaboration as a managed service, offering applied value to both Public and Private Sector organisations.

The service enables organisations to easily consolidate enterprise-wide content and provides users the ability to securely access information and collaborate via a standard web browser – anytime, anywhere.

This pay-per-use service is based on Xythos Softwares’ leading web-enabled document and content

management WebFile Server application on which over two million users already depend.

The service is accessed via the Internet or dedicated InTechnology WAN connection. The Education & Research sector is able to use existing JANET connectivity to access the service.

InTechnology WFS offers numerous benefits including:

• Enables simple, secure ‘anywhere’ data access via a web browser, removes cost and

risk of existing methods of file transfer and document sharing (email, FTP).

• Provides document management functions such as WebDAV-compliant peer-group

file sharing and file versioning, and enables records management.

• Lower capital and operational costs through consolidation or replacement of existing

LAN file server infrastructure.

• Rapid deployment through use of industry-standard web technologies and optional

integration with LDAP or other directory services.

How the Web File Server works

Accessibility, security management and protection of stored files are core to the service

The Web File Service consists of one or more resilient application servers located at an InTechnology data centre.

The web application servers connect to the customer network for LDAP user authentication.

An automated backup copy of the data is stored at a geographically diverse InTechnology data centre.

The service is supported by 24x7 monitoring and management by the InTechnology Service Management Centre.

User access to the service is achieved either over the Internet, JANET or via a secure connection over InTechnology's UK-wide MPLS network.

• Service is Java-based and WebDAV-compliant and can be deployed within a web portal or as a standalone web application.

This enables integration with existing LDAP user authentication solutions.

• The intuitive user interface enables simple remote file access, from any web browser.

• The service can also be provisioned to users as a network drive.

• Supporting infrastructure is deployed within secure InTechnology data centres with HM Government-rated and NHS

Information Authority (NHSnet Code of Connection) accredited physical and network security.

Issues

Traditional methods of remote / offsite file access and document sharing require complex infrastructure and resource intensive management. Email attachments place considerable strain on email systems mailboxes sizes, especially when distributed to many, not to mention the possible security exploits.

Business continuity / disaster recovery requirements can place a burden on already stretched resources.

Access to shared drives can be troublesome – a trusted appliance must belong to the right domain and be connected to the internal network.

Security and data integrity are increasing concerns

Personal / share drive solutions are not easily scalable and are costly to provide.

Features

Secure ‘anytime, anywhere’ data access via a standard web browser.

Attachments are replaced with secure file links (URLs), that can be password protected and safely sent by email or exchanged with other WFS users.

WFS is a resilient managed service with ‘built-in’ data protection. Data can be accessed via any Internet or WAN connected location.

The service can be seen as a logical drive, it simply requires a software installation.

The service is provisioned from secure data centres assessed to HM Government and NHS Standards and includes secure file access.

The WFS service is infinitely scalable and designed to grow with the user base.

Storage requirements can be eased as attachments are replaced by WFS links. Enables tighter control of distributed material which will not become dated.
