EMAILS TO HOSTED BUYERS ONLY
• Registration Email: This automatic email is sent to all meetings planners who applied online to become a Hosted Buyer. This is a confirmation email to notify them that their application has been received and will be reviewed by the ibtm world team. Sent to approx. 5,500 contacts
• Qualification/Confirmation Email: this email is sent to all meeting planners who have been accepted as a Hosted Buyer. The first email providing them info regarding their participation and the next steps till the show. Also attached to the email, “Hosted Buyer handbook” PDF which could be sponsored too with a logo. From a sponsor perspective, it means being the first brand/organisation/exhibitor to be seen to qualified buyers confirmed at the show. Sent to approx. 4,000 contacts
• Hosted Buyer Zone live Email: The Hosted Buyer Zone will go live early September. This email will be sent to all qualified/accepted Hosted Buyers. In this email, HB will be sent their login details to access their online portal (Hosted Buyer zone), asked to check their details but more importantly, asked to make their preferences for meetings at the show. From the moment they receive this email, they can start selecting exhibitors they want to meet at the show and Destination Presentation (they must attend 1 each day of attendance) This is a unique opportunity for exhibitors to get noticed at a key time in the HB pre show process.
• Email sent 7th September
• Appointment Preference Chasing Email: HB must select at least 10 exhibitors per day of attendance and our system will match 7 of them (per day of attendance) to build their agenda of pre-scheduled appointments. This email will be sent as a reminder for those who haven’t completed their preferences, another opportunity for exhibitors to get HB’s attention. Multiple emails sent between September and October (deadline for preferences: 16/10)
• Self-Selected Appointment (SSA) tool Email: 6 weeks before the show, our system will mutually match HB and Exhibitor preferences to generate diary of appointments. (appointment match generated Saturday 17/10) Hosted Buyers and Exhibitors will receive an email to invite them to log in to check their diary and who they will meet + have the opportunity to request additional appointments based on their agenda and availabilities. Email sent Tuesday 20th October
• Daily Digest Email: Daily email sent to buyers with pending SSA exhibitor requests that they need to accept or decline. (between 21st October and 12th November when
online diary close)
• Final Appointment Chasing email: Same as appointment preference chasing for buyers that did not complete their appointment preferences or were accepted after the match took place and encourage them to use the online diary and self selected tool to make additional appointments to reach their mandatory number of appointments (7 per day of attendance)
• Final Diary Email : Last and most important email and great sponsorship opportunity. HB receive their final diary attached as a PDF. Also attached, “need to know before you go” guide/ PDF which could be sponsored too with a logo.
The following emails are sent by the Hosted Buyer Team and own online platform (certain) to Accepted Hosted Buyers only.
These emails represent a high value as they reach high quality reviewed, accepted buyers confirmed to be present at the show who must commit to meet
