Enabling User Names, Passwords & Groups

The Riso HC5500 can be configured with up to 300 copying user names with their own password or PIN. This will enable the control, monitoring and recording of individuals usage of the HC5500 when scanning and printing from hardcopy.

The user names can be setup in groups of up to 30 with a total of 10 groups. These groups can be given a specific name such as a department or subject.

It is suggested that groups, if required, be created prior to setting up user names

On the Top Page of the Riso HC5500 Touch Panel:

1). Select > Confi guration

The “Password Input” screen will then appear

1). This screen will ask for the Administrators password to be entered.

2). Until setup by the Administrator the password at this stage is not required so select > OK

It is strongly advised for security purposes that an Administrator password is setup.

In the “HC5500 Operation Panel” screen:

1). Select > Scanner Settings

In the “Scanner Setting” screen:

1). For User names without password or PIN Select > The “Owner Name” is required

when you login

2). For User names with password or PIN

Select > The “Owner Name” is required when you login

Plus > Enter Password

1). Select > Owner Name Entry

This will then allow the setup of user names, passwords and groups as described in the following pages.

Setting Up User Groups

Following the instructions previously detailed on page 1 & 2

1). To view all available Groups Select > Groups

The “Group Entry” screen will then appear.

In the “Group Entry” screen:

All currently available Groups will be listed 1). To create additional Groups

Select > Add

2). To edit Groups (Group name or Users) Highlight Group and Select > Edit 3). To delete Groups

Highlight Group and Select > Delete

If “Add” or “Edit” is selected:

1). Enter new Group name in box 2). Select > OK

All new or edited Groups will now be listed:

1). Once all required Groups have been added or edited Select > Back

You have now returned to the main “Owner Name Entry” menu

User names can now be allocated to the created Groups, see pages 5 & 6

Setting Up User Names and Passwords

To create user names within a Group:

1). Scroll through list to select required Group using arrows:

To create a new user name:

1). Select > Add

The “Owner Name Entry / Addition” screen will appear:

1). Input new user name

2). If editing or changing password enter existing password - This is not required for new users

3). Enter chosen password for this user 4). Confi rm password for this user 5). Select > OK

Repeat sections A, B, C to create further user names as required.

It is suggested that at the time of setting up each new user name they should be configured to default or return to a particular combinations of settings when copying. This is designed to avoid errors and simplify the copying process, details can be found

On the Top Page of the Riso HC5500

Touch Panel:

1). Select > Copy

2). From the pop-up menu choose user name

and enter appropriate password.

On the “Main Setting” tab ensure the following are selected:

1). Paper Feed Tray

Select > Manual > Standard Feed Tray

2). Original Image

Select > Line and Photo

3). Colour Mode

Select > Monochrome

4). Scanning Level Select > Dark

Then select “Layout”

In the “Layout” tab:

1). Select > Original Orientation

1). Select > Top Side Up 2). Select > OK

Return to the “Layout” tab:

1). Select > Register Initial Values

2). New window will appear

In the “Register Initial Values” tab:

1). Select > Set as Initial V

2). Select > OK

Setting the Administrator Password

It is strongly advised that specific personnel be allocated an adminstrator in order to manage the Riso HC5500.

The administrator will have the ability to change the printer controller settings which have an important effect on the print operations. These settings are accessed by means of an special password which should not be revealed to non administrators for security reasons.

In order to carry out administration functions and to set the initial password the following will be required:

*A computer with a web browser (Internet Explorer, Firefox, etc)

*This computer should be connectable to the same network as the Riso HC5500 *The network or IP Address of the HC5500 (noted on the contents page of this book) Any questions on the above should be directed to your IT Manager.

On your computer open your web browser:

1). Enter the IP Address of the Riso HC5500.

(Your IT Manager should have this information)

2). Once this is entered the window illustrated should open. (This can be saved as a “favourite”

in your web browser for future reference)

3). Select > Administrator

You will now be asked for a password

1). When the administrator settings are accessed for the fi rst time:

Select > Login

You will not require a Password at this point as it

has yet to be setup

In the “Administrator” window:

1). Select > Controller Setting

2). Select > Change Password

You can now enter or change the Administrator Password:

1). Enter > Old Password only if changing an existing administrator password

2) Enter new and retype new password for both initial passwors setup and any changes 3). Select > OK

4). Exit web browser and new password will take effect

PLEASE NOTE: The administrator password setup in the web browser will also be applied to the

> Confi guration on the HC5500 Touch Screen Panel

1). Select > Confi guration

The “Password Input” screen will then appear

1). This screen will ask for the Administrators password to be entered.

Setting the Account Record

The Riso HC5500 records all print jobs and this information can be used to monitor the usage of the printer by individuals.

If user names have been setup it will record jobs produced via the copying (scanner) function with the user name. Jobs printed directly from a PC will be recorded with the computer login name. Other details of the job recorded include

Number of pages and number of copies produced Page size (A4 or A3)

Colour or Black and White

It is suggested that the account record be set to automatically save the history as soon as possible after machine installation to avoid losing any account data.

On your computer open your web browser:

1). Enter the IP Address of the Riso HC5500. 2). Once this is entered the window illustrated should open.

3). Select > Administrator

You will now be asked for a password

1). Enter the administrator password (see page 9)

2). Select > Account Record

To setup the Account Record to automatically save data history:

1). Select > Save Histories

and > Monthly (recommended setting) An account record will now be automatically created each month on the same date

2). To view account history Select > History List

Analysing the Account Record

As outlined on pages 13 & 14 the account record detailing individual usage can be automatically saved daily or monthly.

This data is saved in a format that allows the administrator to download this into software such as Mircosoft Excel and apply their own particular formula for cost allocation or cross charging etc. All questions on the use of Microsoft Excel should be directed to your IT Manager

A simple alternative is to utilise the counter program found on the Riso UK wesite. This is designed to achieve a basic summary of user names and their total copy count over the period.

These pages outline how to use the Riso UK account program (internet access required) and describes the results achived.

On your computer open your web browser:

1). Enter the IP Address of the Riso HC5500. 2). Go the > Account Histories (see pages 13 & 14)

Identify account history period fi le to analyse and download to your computer

It is suggested that you make a note of the history period when you download the fi le.

With your web browser open:

1). Go to > www.riso.co.uk

2). Click on the link > HC5500 Account Program This will direct you to the required page

HC Counter Analysis

1). Click > Browse

Browse to location of the account record you wish to analyse.

2). Click > Generate.

1). You will then obtain a summary table of the copies carried out by users.
