What is the library card for?

• Loaning books from the library of the university • Using the inter-library loan

• Checking your user account

• Using the internet in the public computers of the library (doesn’t work with all) • Booking rooms for group work inside the library

Password

The password of your library card is always your birthday with eight number: ddmmyyyy. What is the difference between this and your Personal Identification that you also use for your email? (5-letters, 3-numbers-username plus the self generated password)?

With your library card, you can only use the services of the library. The other ID is for software issues of the university in general, like Wi-Fi, VPN-Client, ELIAS and email-account. For all these topics, the Center for Media and Information technology (ZIM) is responsible.

Please note that all of the libraries are always closed on official German holidays.

The central library is generally open during the semester from 8 – 24 while on weekends, it opens at 9. In this time you can use openly accessible books and all self services for taking and returning books and so on. The staff at the information desk and at the service center (e.g. for lending and returning books from the inter-library loan) is available Monday to Friday from 9 -20 and Saturday from 9 – 13. During these hours you can order from the deposit; if you order after 19.15, then the book will only be available the next day.

The faculty library (building 23.21) is open Monday to Friday from 9 – 22. On weekends it is closed but therefore you have the possibility to take books home (explained below). After 18h from Monday to Friday, there are only security personnel and no service at the desk.

Searching literature in the university library

For a general search inside the library, you use the OPAC. http://katalog.ub.uni-duesseldorf.de/F?RN=850397147

For general search inside our library in Düsseldorf, you simply enter key words, author or title inside the “Einfache Suche”. If you want to limit the results or look for specific authors, you should use the “Erweiterte Suche”.

Here you can choose in the drop-down-menu between Autor (author), Titelstichwort (keywords in the title), Schlagwort (keyword), Wörter aus dem Inhaltsverzeichnis (words from table of contents), Verlag (publisher), Alle Felder (all sections).

If you look for a specific newspaper, you should use “Erweiterte Suche”, enter the title and choose Zeitschrift/Zeitung in the drop-down-menu below.

Where to find the books / journals owned by the university library?

Each book has a signature so you know how to find it. The first two numbers show you to which library part of the library you have to go.

The faculty library of the Philosophical Faculty (which also includes German, English and Roman languages or Philosophy), you can access via the elevator in building 23.21 to the third floor; history is in building 23.31, social sciences in building 23.32)

Not all books can be taken from the library; there are different statuses:

Präsenzbestand (non-lending collection)

“Präsenzbestand” means that you cannot borrow it. As you can see, this book is from the faculty library where all the books are “Präsenzbestand” as well as magazines and some books in the main library. The books from the faculty library can be loaned over the weekend though (explained below).

Magazinbestellung (depot orders)

“Magazinbestellung” means that the book is in the depot and cannot be accessed directly; mostly books are put there if they are not often needed, of high value or they got stolen before. By clicking on „Magazinbestellung“, you can order the book. Please note that it can take up to an hour until they have delivered it and that there are only certain hours during which you can order them: If you order after 7.15 p.m., you will only receive it the next day (also compare with the opening and service hours). They return all books to the deposit in the evening if you didn’t take it. The book can be found on ground level in the shelves to the right side. They are sorted by your library card number.

Ausleihbestand (stock on loan)

For this book, there is one which cannot be loaned in the central library so that students always have the possibility to take a look inside. Additionally, there are several copies in the textbook collection that you can borrow; this is why its status is “Ausleihbestand”. As you can see, one of the books is taken until the 21st of November.

Vormerken (reservation)

If a book from our library is already lent to someone, you can reserve it for being the next person.

In red, you see the date when it should be returned; with the blue “Vormerken” you reserve it for yourself. For each reservation you do, you will be charged 0.50 €. Also here, you should be notified via email when the book arrives but you can always check in your user account. Please note: This book you have to borrow personally with your library card only; a friend cannot take it for you. The book is kept for you for seven days and then returned to its original location.

To lend a book from the central library, you have machines on ground level, close to the exit. First you need to put the barcode of your library card under the scanner. Then you open the book, scan this code and move the back of the book towards the end; images on the screen also show it. In the end, you have to ask for the receipt.

Books from the inter-library loan need to be taken at the service point in the entrance during their service times and they also need to be returned there. Please note: Those can only be lent for a month and cannot be extended. If it is something important that you need for a longer time, you should scan or copy it.

To return regular books from the central library, you find a machine next to the service point: Scan the barcode, close the book and slide it in. And don’t forget to get the receipt as a proof that you really returned it.

Please note, that the books from the faculty libraries can only be borrowed from Friday to Monday and need to be returned Monday morning. This can be done at the service point in the entrance of the faculty library. Being five minutes late on Monday morning means that you have to pay because it’s automatically noticed in the computer.

Research

As big as this library looks: It is not enough when you imagine how many different studies it includes. Especially when you have specific topics for your research and you need English ones, you have to look further!

The most important search engine for books is the “Karlsruher Virtueller Katalog” (KVK) and luckily, it works in English!

As you can see you can have a look on books all over the world and then try to order it via inter-library loan.

….for articles and newspaper articles

If you enter the front page of the library, you can switch the language to English.

On the left side under “Searching” you can search for databases and electronic articles. If you click on databases in the middle you reach directly the databases sorted by subject (and here also the English stops).

If you already know the name of the database you want to use, you go enter the name in left upper corner and click “go”. Otherwise you should use “Politologie” to get to the databases you will need.

The first eight hits are the most important databases. Important databases for your researches are first “Political Science Complete” as well as “LexisNexis”. The latter is mostly for newspaper articles. Of course, those do not necessarily lead to sufficient results. Further recommended databases are:

Behind each, you find a small symbol which are explained and translated in red.

If a database has limited access only for the university, this means that they can in general only be used when you’re on campus or if you use Phase 2 as provider. There is a VPN-client with which you can enter limited areas on campus from home. This solution is explained below.

Inter-library Loan

…Books

Every order you do will be charged with 1.50 € - no matter if the book is available or not. You will be notified about the arrival via the email address you gave to the library (and you can check in your user’s account). Every inter-library loan can only be lent for a month and is not extendable. If you return it too late, you will be charged with two Euros per book for the first ten days and so on. So please keep the deadline and check your user account regularly.

Now you have to enter your “Benutzernummer” (the number on your library-ID) and your password. Then click on “Persönlicher Login”

You need to enter the details of the book:

“Wörter aus dem Buchtitel”: Words from the book title

“Autor (Name, Vorname)”: Author (family name, first name) ISBN

You do not necessarily have to enter all information; sometimes it’s easiest only to enter the ISBN to get the right result.

Afterwards, you click on “Weiter” to proceed.

You get the results from different databases. Below the title, it’s written in how many libraries the database was able to find the required book. Choose “Auswählen” for the book you like to order.

You will find a summary of your order in the first section (“Bestelldaten”). In the second section, you can specify the loaning options.

“Ggf. andere Ausgabe”: Different edition when the one chosen is not available

“Ggf. Vormerkung durchführen”: Prebooking; when the book is lent in this library, they reserve it there for you

“Hinweise an Ihre Bibliothek”: Here you can enter notes for the library.

If you now click “Bestellen” on the bottom, you have ordered the book and your account will be charged with 1.50 €.

When the book arrives, they usually send you an email to the address you gave to them. You can also check the status in your user account.

… Newspaper article

Log in to your inter-library loan as explained before. In the menu on the left side, you find “Zeitschriftenartikel” and the search box changes.

Sometimes the catalogue doesn’t find the article immediately.

In the box in the middle with the lamp, you can click on “freie Bestellung für einen Zeitschriftenartikel” (free order).

Now you can give more detailed information. All boxes marked with * are obligatory.

First section is for the details of the newspaper: “Angaben zur Zeitschrift” they ask for the title, place of publication, publisher, ISSN and source.

In section “Angaben zum Aufsatz”, you need to enter all five required details: author, title, year, volume and pages.

“Lieferbedingungen” asks about the delivery. As “bevorzugte Lieferart” you should choose the first one where they inform you via email when the article arrives. The loaning for articles usually costs 1.50 € as well and you can keep the copy. Only when it’s more than twenty pages, the other library might require more. That’s why you have to decide about how much you’re willing to pay in maximum in “Kostenübernahme bis maximal”.

Finally, you need to click on the box next to “Zweckbestimmungen des zu liefernden Aufsatzes” where you agree to only use it for academic and not for commercial reasons.

User’s account (loans, fees and extension of loan period)

To check your user account with deadlines, fees and inter-library loaning, you choose “Benutzerkonto”.

“Gebühren”: fees (if you have more than 15 € on your account, they block it and you can’t borrow any books anymore. For paying the fees, you find a machine in the entrance area of the library) “Fernleihen”: Status of your inter-library loan

Ausleihen:

There you can see all books you lent, in the column „Fälligkeitsdatum“, you see when you have to return it. There is a limit how often you can renew the loan (in your case it’s twice for books from the central library of HHU; never for inter-library loans). In the right column, you find how many

extensions out of how many possible you already did. In this case, it’s allowed to extend it five times and was already done three times. So if you click now on the blue number in the beginning of row, you can extend it.

Clicking on the blue word “Jetzt verlängern” should extend your book; by clicking “Zurück” (down left) you return to the previous page and you should make sure that the extension has worked.

Gebühren (open fees)

Here you can see how much money you owe the library. As said previously, with more than 15 € they close your account until you have paid. The machine for paying can be found in the entrance area of the main library.

Not only through reservation and inter-library loan but also through not returning or extending the book in time, you can collect fees very quickly.

Fernleihen

In the column “Status”, you can see what is happening to your loans. “Lieferung erwartet”: delivery is expected

“Neu – Zur Prüfung”: they are still searching where to order it from

“Entliehen an Benutzer”: lent by yourself; then you also see a date next to it

You can access your user account from everywhere. Especially if you’re using a public computer, you should always click “Abmelden” (log out), the red word in the top, to make sure that no one else has access to your account.

VPN-Client – using the databases from home

On this website, you are asked (in English) to enter your Login and password. In this case though, it is not the library card but your personal ID that you need also for your email.

Now a window opens:

You are informed, that “Jupiter Networks; Inc” is trying to access your computer and to install software on it. You have to click “Erlauben” (permission), so that the program can start. In the next step you need to save the installation file and execute the program.

After having started the program, you need to click here to continue

After you have installed the program, there should be a small icon in your in toolbar which is first grey and then yellow.

For making sure that the connection is working, you can click with the right mouse button on this symbol and select “Erweiterte Ansicht”.

Behind “Verbindung”, it should be written “ssl.uni-duesseldorf.de”; in the following line “Verbunden” behind Status.

You can end this connection with another click with the right mouse button on the symbol and choosing “Abmelden”.

Whenever you would like to restart the program, you will find the program Network Connect or Juniper Network in your start menu; it is also easy to find with the symbol that you saw in your toolbar previously while the program was working.

Rooms for group or individual work in the library

There are 22 rooms for individual work inside the library. They can be freely used when they are empty. The user’s rules of the library also apply here: no drinking, no eating, and no talking on the phone.

If you would like to book a quiet room for working as a team, you go to the main page of the library (http://www.ub.uni-duesseldorf.de/home/) and click on “Lernen und Arbeiten” (learning and working). Very important: To make sure that you are really a group, you always have to book with two library cards; otherwise the booking is not valid.

Now you can already see clearly which room is booked and when (it only works a week in advance). Just choose a room and the time and click on it to order.

Now you have to enter your Benutzernummer and Password from the library card.

To finalize the booking, you need to choose the time when you would like to finish (“Ende”) and then enter the data of the other library card; in the end press on “Speichern” (safe).
