Conference Schedule

The exhibit areas will be open during breakfast, lunch, breaks and 30 minutes after the conference dismisses each day. Exhibitors are not expected to staff their booth during conference sessions. If there is room, exhibi-tors may stand in the back of the ballroom during sessions.

All sessions are in the Westminster Ballroom. Continental breakfast in the exhibitor hall and lunch served outside in the courtyard.

Rooms will go fast, so make your reservations early! A block of rooms is being held for us until September 18, 2015 at Westin Westminster. After this date, reserva-tions will be accepted on a space and rate availability basis only. Be sure to ask for the SHEI Conference rate if making your reservations over the phone. The Westin in Westminster, CO is situated between Denver and Boulder with the breathtaking Rocky mountains as a backdrop. Terms & Conditions

By applying for exhibit space, the exhibitor agrees to adhere to all conditions and regulations set forth in this prospectus. Seeking Health Educational Institute, otherwise known as SHEI, requests the full cooperation of each exhibitor. Eligibility SHEI reserves the right to determine the eligibility of an exhibitor. Exhibitors may be rejected, if in the sole judgment of SHEI, the exhibitor or exhibit or proposed exhibit shall in any way be deemed unsuitable. If an exhibitor is ejected for violation of these rules, or for any other stated reasons, then SHEI is not liable for refunds, rentals, or other exhibit expenses. Booth Rental Exhibit space will be rented for usage October 15-18 2015. Booth to include, one 6’ table, two chairs and one wastebasket. No space will be assigned or reserved without full payment. All space will be re-served on a first-come, first-serve basis until all space is sold. Electrical, audio/visual and internet provisions are added costs, available for purchase through The Westin Westminster (please see Exhibitor Request Form).

Cancellations and Reductions If a company wishes to cancel its space after submitting a signed contract

and payment, it must do so in writing. A full refund (less an administrative fee of $250.00) will be made for cancellations prior to Wednesday, July 1, 2015, after this date, there will be no refunds. Exhibitor no shows and any exhibit space not staffed during the exhibition will be treated as cancellations. There will be no re-funds for these cancellations. SHEI may cancel this contract, upon reasonable cause, or upon the occurrence of events beyond its control, which makes performance impossible or useless, upon written notice to the exhibitor by an authorized agent, employee, or officer of SHEI. SHEI reserves the right to alter, reduce or re-distribute allocated space upon reasonable cause, or upon the occurrence of events beyond its control, which render previous space allocation impossible or useless, upon written notice to the exhibitor by an authorized employee of SHEI. In the event of such cancellation or reduction, SHEI agrees to negotiate in good faith to-ward refund, reduction, or alternate application of the sums paid by the exhibitor as rental fees.

Subletting Booth Space Exhibitors may not assign or sublet to others all or part of the space allotted and

may not display goods or services other than those manufactured, distributed or sold by the exhibiting com-pany.

Booth Staffing and Exhibitor Badges Qualified representatives of the exhibiting company must be present

at all times during exhibit hours and wear the exhibitor badges provided.

Booth Display Regulations Exhibits are to be a maximum height of 8’, and the display must not interfere

with the light or space of other exhibitors and must be in keeping with the general exhibit plan, preserving the open booth appearance. No part of any exhibit, including signs, can be posted, nailed, or otherwise affixed to walls, doors, or any other structures in any way that might cause defacement. Booth decorations are to be

Sponsored Functions Social and hospitality functions conducted by the exhibitor must be in a manner that is consistent with the professional and educational nature of SHEI. All planned functions must be approved by SHEI in writing. Non-exhibiting companies are prohibited from hosting hospitality functions, market research or focus groups during the SHEI Conference without the expressed written approval of SHEI. Security Exhibitors should keep all valuables with them at all times. SHEI and The Westin Westminster Hotel are not responsible for any personal or company property while exhibiting at the 2015 SHEI Conference. Insurance Each exhibitor acknowledges that neither SHEI nor The Westin Westminster Hotel maintains insur-ance covering the exhibitor’s property. It is the sole responsibility of the exhibitor to secure insurance against the loss of or damage to property. Indemnity The exhibitor agrees to indemnify and hold SHEI, its employees, representatives and contractors and The Westin Westminster Hotel and their respective employees, representatives, and contractors, harm-less from any loss, liability, costs or damages arising from actual or threatened claims that may at any time be incurred, suffered, sustained by or imposed upon by SHEI and /or The Westin Westminster Hotel or their respective employees, representatives and contractors by reason of exhibitor’s activities pursuant to the approved exhibit space application and contract. This indemnification and hold harmless agreement includes but is not limited to any and all claims, damages, losses or expenses attributable to personal or bodily injury sickness, disease or death, or injury to or destruction of tangible property, including the loss of such property. Damage to Facility Exhibitors must surrender space occupied/rented in the same condition as at the time of occupation. Exhibitors will be responsible for any damage done to the facilities and for any and all claims and demands on account of any injury, death or damage done to property occurring in or upon exhibitor’s booth space or due to the actions of the exhibitor, their staff or representatives. No nails, tacks or screws may be driven into the floor, wall or woodwork of the building.

Compliance with Laws and Local Ordinances License and permits required by local statue, ordinance or

regulation (if any) are to be obtained and paid for by the exhibitor. Each exhibitor will be individually responsi-ble for compliance with local health, fire and safety ordinances and regulations including compliance with all applicable provisions of the Americans with Disabilities Act within its booth and exhibit space including but not limited to wheelchair access provisions. Exhibit Set-up Booths must be set-up and ready to go by 7:00 AM (MT) Thursday, October 15, 2015. Any booths not claimed by 7:00 AM (MT) on Thursday, October 15, 2015, may be assigned to another exhibitor unless SHEI has been made aware of extenuating circumstances. There will be no refund to the original ex-hibitor. Exhibit set-up must take place during scheduled times. All electrical, audio/visual, and internet needs must be purchased by August 3, 2015 through The Westin Westminster Hotel. Exhibit Take-down Exhibits must remain open until 2:00 PM on Sunday, October 18, 2015. All exhibits must be removed and packed and labeled for shipment by 6:00 PM on Sunday, October 18, 2015. If exhibits are not removed by this time, The Westin Westminster Hotel and SHEI has the right to remove exhibits and charge the expense to the exhibitor. All garbage, waste, packing materials in exhibitor’s space must be dis- posed of properly in approved receptacles or The Westin Westminster Hotel and SHEI have the right to re-move and charge the expense to the exhibitor.
