Innovation, business productivity, mobility, leaner ICT, greater cost
effectiveness, better collaboration and transformative work practices.
How did we do it?
1. UN inter-Agency/executive teams explored cloud solutions.
2. Cloud market analysis showed business value and ICT Governance Group endorsed the move towards the cloud.
3. Engaged in a business and technical selection process.
4. Technical, procurement legal, and information security teams investigated risks, including protection of UN Privileges and Immunities. Core decision criteria: business value, user
experience, technical capabilties, ROI, legal Terms and Conditions, security and privacy, immunities and privileges.
5. Independent analyst perfomed Independent verification and validation, focused on Total Cost of Ownership, Information Security, and proper fit/gap for UNDP.
6. Microsoft Office 365 selected as the UNDP enterprise cloud solution, with service offerings for project use (‘lean’ Microsoft Office 365 and Google Apps for Business).
7. Project proceeded with planning, design, implementation, testing, and change management. 9. Phase One successfully completed this June: migration of email/UC (22,000 staff/80TB data). 10. Phase Two: pilot and early adoption of OneDrive for file storage and file sharing, Office 365 productivity tools (MS Word, Excel, PowerPoint, and OneNote).

13 UN entities (UNDP, UN Women, PAHO, UNFPA, ITU, WFP, WHO, ICAO, UNOPS, UNHCR, UNAIDS, IOM, and UNICEF) participated in a joint procurement engagement. Some are now rolling out cloud solutions, with different solutions, tools, services, and timetables for delivery.

Going to the cloud
Gartner Recommendations• The decision of which suite is determined by
enterprise requirements for features and
functionality offered
• If an enterprise requires legacy support for an existing Microsoft system, it's best to go to Microsoft
• If the enterprise has a "greenfield" situation, it can pick from either suite
• Google Apps for Business offers the least expensive and quickest
implementation
SaaS Suites for
Communication, Collaboration and Content Management: Assessing Google and
Microsoft | 22 August 2012
• It was incredibly fun and we learned a lot by looking at the two solutions.. with their evolving roadmaps!
• Microsoft’s offering is rooted in client solutions that staff is familiar with, now with enhanced offerings for online collaboration and productivity functionalities
• Google’s offering is a fully cloud-based solution and infrastructure: interoperable, innovative, with
streamlined solutions for multiple devices, greatest costs savings, online capacity quota, and productivity enhancements
UNDP cloud computing benefits
1. Mobility - Support for a changing global workforce working from anywhere, anytime, on any device.
2. Significant cost savings annually
3. Reliability of cloud enterprise services 4. Secure, integrated enterprise online environment accessible remotely
5. Collaboration across interoperable systems and communcties of practice
Programme Support in Bangladesh
UNDP has partnered with the Prime Minister’s Office to deliver the Access to Information (a2i) Programme, embracing ICT as a powerful enabler for Bangladesh’s socio-economic transformation.
has been very successful in transforming Bangladesh into a middle-income country, leveraging the benefits of ICT by improving traditional public services delivery across Bangladesh.
A2i leverages the UNDP Google Apps for Business Long-Term Agreement for programme delivery.
Key drivers and benefits include:
• Great value for money
• Easy to deploy, adopt, and use
• Quality messaging/collaboration tools
• Solid security and compliance
Better collaboration and communications
Co-authoring is great – colleagues can edit the same document from two different offices and two remote locations, without having to worry about whether we each have the latest version, without having to
compare our copies of the document.
Patrick Pee, Assistant Resident Representative, UNDP Malaysia
Now we can simplify, standardize, and streamline communications across the organization, allowing
UNDP to do what it does best: providing knowledge and expertise around the world.
Maty Ndiaye, Outreach and Public Information Officer, Communications Office, Bureau of External Relations and Advocacy, UNDP
Optimized programme support
With the cloud we can now improve
collaboration for programme support and this can lead to better communication and more productivity, allowing UNDP to
improve its support for our partners around the world. Silvia Morimoto, Chief of Staff, Regional Bureau for Asian and the Pacific
I am pleased to be a part of the project team to oversee and test cloud performance and
capabilities, working closely with one very
proactive migration team. The email move to the cloud was unbelievably seamless and functionality is better than ever…with nearly unlimited capacity as well! Peter Liria, Director, Ethics Office
Is our data safe in the cloud?
A lot of people ask me if our data will be safe in the cloud. Yes, it will, as we have taken steps to ensure this. We've convened Chief Information Security
Officers from many UN Agencies and came up with actions to mitigate risk in cloud computing.
Paul Raines, Chief Information Security Officer, UNDP
What we did to ensure our risk profile:
• Convened a task force of Chief Information Security Officers producing a white paper with recommendations to mitigate cloud computing risks
• Had our legal team (singular) ensure there were contractual provisions placed in the services contract to protect UN privileges and Immunities
• Ensured UN privileges and immunities were adequately protected
• UN system white paper on cloud computing risks and recommended mitigating actions • UNDP is certified by LRQA as following ISO standards 27001/2 and 9001
• Created an information classification & handling guideline and associated on-line training for users to ensure proper user handling of sensitive information in the cloud
Microsoft expressed astonishment at our rate of success, delivered in record time (22,000 accounts - 80TB of data in under 4 months), while Microsoft around the world watched an incredible speed of delivery.
Smooth as Silk
In Bangladesh, the migration was as smooth as silk. The key was workstation readiness and great support from the email team. Three cheers to UNDP’s email migration to Public Cloud! And we look forward to migration to the Office 365 productivity suite, OneDrive! B.E.M. Manjur-e-Khuda, ICT Manager, UNDP Bangladesh
