Main Purpose of the Job:

To provide an efficient and effective clerical service, affording support and

administration to the Resourcing and Development team and assist in other initiatives undertaken by both the HR and Learning and Development teams.

To support wholetime and on-call (retained) recruitment including attendance at careers events, redeployment and retention processes in accordance with the RBFRS’s policies and procedures, delivering effective recruitment, redeployment and retention services to internal and external customers.

To support operational promotion processes.

To support the administration of training and development processes.

This job description cannot be definitive. There will be times when other duties require the post holder to perform functions commensurate with the post.

Organisational Structure

Responsible for liaison with Resourcing and Development team, Senior Driving Instructor, L&D, HR and other RBFRS Directorates and external agencies and organisations as required.

Main Duties and Responsibilities:

Provide effective administration and support assistance to the Resourcing and Development team, Learning and Development team, and Learning Support (Assessment Centre).

Populate and maintain Firewatch and other related training recording programmes in conjunction with Learning and Development, Learning Support (Assessment Centre) and Recruitment and Promotion processes according to the HR and L&D departmental policies and procedures.

Be responsible for the organisation of training courses according to the annual training and development plan, including making arrangements with suitable venues, course trainers etc.

Be responsible for the development and maintenance of comprehensive department filing and archives. Provide cover for other members of Resourcing and Development

Provide a department point of contact in support of contractors, visitors and liaison as required.

Be responsible for co-ordination and issue of joining instructions, training handouts, evaluation, course recording documents etc to ensure that training and development delivery is effectively monitored and maintained.

To act as a first point of contact for the service, providing general administrate functions as and when required.

Liaise with the HR, L&D and Business Support) to provide management information reports via the system as necessary.

Active involvement in the use and support of Service Learning Management Systems (LMS).

Undertake recruitment campaigns for new entrant Firefighters and internal promotional processes for operational staff as required.

Support of Learning Support (Assessment Centre) activities as required. Attend and participate in team meetings for the Service and take minutes. Act as maintenance administrator for Smart Assessor system.

Undertake financial administration using relevant finance system and check and refer invoices to finance section for payment.

Contribute to procurement and commissioning activities as directed by line management.

Develop and update internal processes, policies and procedures as necessary Provide IQA schedules three times per year or as necessary.

Deputise for the Resourcing and Development Coordinator as required.

Maintain adequate department stocks of stationery and consumables in conjunction with the HR Assistants / HR Apprentice.

Provide administration support to HR function if required due to operational need. managing these. Act in line with the principles of the Data Protection Act and other information security legislation.

Take responsibility for their own performance (including personal fitness) and participate positively in development activities. Contribute to the development of others.

Participate, if required, in any investigations or procedures relating to health & safety, disciplinary, or legal matters.

Act in an environmentally responsible manner by minimizing pollution and the wasteful use of energy and resources.
