We’ve listened. Many of the features and enhancements that now come as standard with Hubshare came at the request of our clients through feedback in an effort to continually optimise the client experience. Hubshare V3 re-introduces our platform in a fresh new way, making daily collaboration effortless.

We rebuilt Hubshare to remove outdated features, standardise our internal user interface, and enhance the user experience for both internal employees and external clients. In addition, over 95% of Hubshare’s back-end technology has been renovated and all obsolete code removed to provide our clients with the best possible experience.

Main changes

• DocStore replaced with a ‘Company Hub’ and navigation bar

• New interface to view your Hubs - My Hubs

• Synchronisation of AD and Hubshare groups

• External user bulk upload from a CSV file

• New role: User manager

• Recent activity log for files, folders and Hubs

• Faster loading speeds across all of Hubshare

Company Hub

We’ve removed the outdated ‘DocStore’ interface and replaced it instead with an innovative and dedicated

‘Company Hub’. This Company Hub offers internal staff a user-friendly dashboard for all members invited to that company. It’s more fitting with Hubshare’s branding acting as a Hub for a single company to add company-wide files, add in key dates, contacts etc. and for users to have easy access all Hubs they have either been invited to or have created themselves.

Benefits:

• A unified method of working

• Increased usability as an Intranet

• Hub features are now available at the company level, including all modules and branding

This new way of working means users can switch from Hub to Hub without having to reopen the

‘DocStore’. Company admins can select specific widgets to display on the company dashboard, and like an ordinary Hub, they can choose who has access to see them.

My Hubs

NEW Hub layout – When in new Hub layout

and a user logs in, they will be taken straight to their ‘My Hubs’ display.

New interface to browse and manage your Hubs called “My Hubs”. With this new

feature you can easily filter, search, manage and access any of your available hubs

(owned or shared).

Navigation Bar

Search quickly for specific Hubs using the search bar and

favourite Hubs you want to appear in the tab for speedy access.

We have added a new toolbar to the header of all Hubs, including our new Company Hub. This navigation bar allows users to navigate from Hub to Hub without having to leave the browser or open new tabs. User journeys around Hubshare are now simple and effortless.

Unlike V2, V3 now allows for quick access to your profile settings via the navigation bar.

Users and Groups

New role: “User Manager”

This role can be defined by administrators to a Hub user, giving them the right to invite, manage and configure module access to other users.

Only internal users can become a user manager.

User Groups

Option to add new external and internal users to specific groups as you create them.

CSV internal and external user import

We have added the option to import users, either internal or external from a CSV file.

Single Sign On (SSO)

To speed up access for internal users using SSO, when a new user is added and has not yet validated their account, we now automatically validate their account for them. The initialisation account email received by the new user will not be valid anymore in this scenario for security reasons. If the user wants to set up a standard password authentication, they can do it by requesting the “Forgot password” form.

Active Directory (AD) synchronisation

Improved AD synchronisation feature providing a way to synchronise an AD group with a Hubshare group. This creates a user account for all users in an AD group and puts them in a chosen Hubshare group. You can then easily assign rights for this group.

Private vs Public

Visibility of an external user has been altered so they are by default visible to all internal users of the company.

There is now also an option to define such external users as a ‘private’ contact.

We now offer an option to add a welcome message or a disclaimer pop up that appears upon a new users first attempt to log into a Hub.

This can be configured in 3 ways:

1. Prompt on first time Hub access 2. Prompt on each Hub access

3. Promoted until user clicks accept button (until they accept, they will not have access to that Hub)

• Device Manager has been removed as it is redundant

• Reporting ability loads much faster

Recent activity log

A new feature for files, folders and Hubs is the ‘recent activity’ filter which can be accessed by clicking the ellipsis on the right and selecting properties.

New notification option “Opened” that allows users to choose whether they want to receive a notification when a file sent via a link is opened (viewed or download).

Users can now also decide on a default email notification frequency at a company-wide level. Previously this was defaulted to daily and this is especially useful to companies with many Hubs.
