InternAl CommunICAtIon Is evolvIng

Communicating with employees has become simpler. while employees are more geographically distributed than ever, the ubiquity of network connectivity makes it easier to interact with them no matter where they are located. as techniques improve and costs fall, new types of communication events are becoming more common:

• Company town hall / fireside chat • CEO all-hands address

• Critical / immediate employee communication • Sales kick-off with the entire sales staff

• Group executive or country head addressing local staff

Technology supports

communication with large groups of employees better than ever before. Powerful tools have been developed to engage customers and employees, while high-speed networks ensure low-cost access. Webcasting, with its excellent cost characteristics, is seeing ever-widening use in enterprises. Webcasting provides:

• Easy scalability • Enterprise security • Rich Q&A and moderator

functionality

• Support for multiple languages • Social networking and

collaboration tools

a variety of solutions have been used to address these applications. Each of these solutions has specific advantages and disadvantages.

• Audio conference call: audio conference call costs scale with the number of participants. as the number of listeners increases to thousands, bridge costs become prohibitive. supporting large numbers of users simultaneously on corporate pBX systems can also be difficult, leading to requirements such as people gathering in conference rooms. and while the use of telephones is simple, easy, and familiar, the inability to see the speaker limits the effectiveness of the communication.

• video conference calls: Video conference calls, even with improved quality due to IP-based connectivity and HD-quality images, still require gathering in rooms and using complex, costly video bridges. Typically, video conference facilities are practical only in larger office locations, resulting in exclusion of some employees.

The ON24 webcasting solution is giving leading firms powerful tools for communicating with their internal, partner, and customer audiences. the following case studies demonstrate how companies are using the ON24 virtual recruiting solution to:

• Produce all-hands, regional, and global staff meetings • Create high-quality training events for employees,

partners, and customers • Support existing configurations

global semiconductor manufacturing company: A leading semiconductor manufacturing firm needed a webcasting solution to support its large group training sessions for its internal sales people, partners, and customers. the company already had an internal production and media distribution infrastructure. ON24 was able to integrate with the in-house production facilities and then redistribute the company’s webcasts to internal and external audiences, resulting in:

• thousands of sales personnel trained simultaneously • Content available to both internal and external

audiences

• Fast implementation and low cost

large international accounting firm: a large accounting firm was preparing to conduct a series of country-wide meetings. The firm needed to enable its professional staffers to participate from their desks at 34 locations across europe. ON24 supported the customer, allowing the event to proceed without stress on the network:

• Supported country-wide attendance for a full day of presentations

• simple setup and implementation

• Secure, inside-only access to presentations

International chemical manufacturer: Managers at a major chemical manufacturing company were planning an all-hands meeting to engage its workforce in a series of announcements and town-hall-style meetings. ON24 was able to support the webcast using the company’s existing network configuration:

• utilized installed facilities to reduce time and implementation cost

• supported internal it crew in new, unfamiliar application of existing capabilities

• provided performance measurement to ensure high-quality delivery and help internal IT staff with support tasks

webcasting events to large groups on enterprise networks can present network challenges because of the limited bandwidth available in even the most robust and well-provisioned enterprises. ON24 supports a variety of congestion-avoidance strategies that are consistent with the approaches preferred by enterprise IT staffs:

• unicast replication: deploying unicast servers in each major segment of an enterprise network, then causing the launch process to provide a stream source url that pulls the media traffic from a local server.

• multicasting: typically, ON24 provides a stream to a multicast source in the client network environment that’s provisioned to utilize the network elements (routers and switches) to replicate the traffic to users scattered around the enterprise.

• transparent proxies: several vendors, including Bluecoat and Cisco, support proxy devices capable of replicating streams from an ingress point to users behind the proxies distributed around the enterprise network. if in place, these networks are simple to use and, as implied by the name, transparent to the launch process.

• peer-to-peer distribution systems: ON24 supports both Kontiki and Octoshape peer-to-peer methods. these technologies rely on a client on the local systems, which allows streaming media to be redistributed among clients on a local network, providing bandwidth utilization similar to a multicast technique for networks that are not multicast enabled. These methods can also be configured to support mixed internal and external clients, simplifying access for travelers and home office users.

enterprise networks are generally not homogenous and often require a mix of media distribution techniques to support all users. ON24 events are configured to detect the client location in the enterprise network. Based on information supplied by the enterprise network engineering staff, each attendee is routed to the media streams by the method best suited to that attendee’s location within the network.
