Collection Request

This document briefly describes how the add-on service Collection Request is used in

Pacsoft Online. It is assumed that you are familiar with how to use Pacsoft Online without Collection Request.

Pacsoft Online is a web service for printing waybills and labels, electronic data interchange (EDI), follow-up and other services needed to efficiently make use of Posten’s logistics and mail services. The service is available free of charge to Posten’s credit customers and is accessible on

www.posten.se. Operation and development of Pacsoft Online is performed by Unifaun AB on behalf of Posten.

Collection Request is Posten’s new add-on service for returns and for collecting goods at a third party address. The add-on service is available for DPD International Service as well as for the domestic services DPD Företagspaket 09.00, 12.00, 16.00

and Pall.ETT. Please note! “Collection Request” is called “Returuppdrag” for domestic

use.

When using Collection Request a third party address must be stated in addition to

the sender (paying) party and the receiving address. The third party address is where

the goods are to be picked up. Contact information such as email addresses and/or telephone numbers for confirmation and announcements must also be entered. Printing of transport documents such as waybills and labels is not performed by the sender as is normally the case. Instead a booking message is sent to Posten. The necessary documents are prepared and Posten is then responsible for collecting the goods and applying the labels.

One major goal when implementing Collection Request in Pacsoft Online was to make the procedure as similar as possible to the preparing of a normal shipment in Pacsoft Online.

Important! Booking of Collection Request is done in the same way as printing transport documents without a Collection Request. Booking of Collection Request is not done by selecting Booking from the menu. This menu is for ordering

Booking of Collection Request

After logon to Pacsoft Online, select ”Standard Printing” on the Documents menu. Then follow the instructions below.

1. Sender - the orderer of the Collection Request, not the address of the actual pick-up. Normally the sender, with associated customer number, that is used as sender for other services in Pacsoft Online. Choose a sender from your sender register or select “New” to enter a new address.

2. Receiver - the address to where the goods are to be delivered. This could be your own address, i.e. when collection returns, or any other address that is supported by the Collection Request service. Choose a receiver from your receiver register or select “New” to enter a new address.

3. Make sure ”Normal” is selected as Service.

4. The services that support Collection Request are:

a. DPD Företagspaket 09.00 - Domestic (Returuppdrag)

b. DPD Företagspaket 12.00 - Domestic (Returuppdrag)

c. DPD Företagspaket 16.00 - Domestic (Returuppdrag)

d. Pall.ETT - Domestic (Returuppdrag)

e. DPD Utrikes - International Collection Request

Choose the appropriate service and click .

5. Click and choose the address where the goods are to

be picked up. Click ”New” to enter an address not in the sender register. Click .

6. Make sure all three address parties are correctly stated.

Sender - the orderer of the service

Dispatch Address party - where the goods are to be collected

Receiver – where the goods are to be delivered.

If any address party is not correctly entered, click on the corresponding ”Change” button and change the address information.

7. Please Note! If reference is entered, it will be shown in the shipments history in Pacsoft Online. However, it will not be printed on the transport documents. For Collection Request, a special booking number is allocated. This booking number is printed where the reference normally is printed and may be used as a reference when contacting Posten. In the shipments history, this booking number is shown in the column “ShipmentNo”.

8. Ship Date equals Booking Date. Today’s date is suggested automatically and the goods will be collected on the next business day. If you wish a collection further in

Important! The date of collection regarding Collection Request is the next business day after the date of booking. Booking must be completed before 3.30 pm the day before the day of pick-up.

9. State Delivery Instructions if needed.

10.Check the Collection Request box (called Returuppdrag for domestic services).

11.Enter the information specific for Collection Request.

a. Booking Email Address. Email address where confirmation message is to be sent. Usually this is the orderer.

Please note! Several e-mail addresses may be entered, separated by semicolons.

b. Booking Message. An optional text that could be used as a reference for your own bookkeeping. It will be sent to the email addresses stated above.

c. Notification (Dispatch). An email address or a cellular telephone number for SMS, where the notification of collection is to be sent. This is manda-tory. If an email address or a cellular number is already available in the collection address party, it may be chosen from the list. Otherwise, click

on to enter the information.

d. Pickup Instruction. If special instructions are needed for the pick-up. e. Sender Phone. Telephone number to the orderer. Mandatory.

f. Dispatch Phone. Telephone number to the pick-up address. Mandatory. g. Receiver Phone. Telephone number to the receiver address. Mandatory. h. Sender Email. Email address to the orderer. Mandatory.

12.Enter information about the parcels, number of parcels, weight and contents. Weight is mandatory if any address party is outside Sweden. If there is more than one parcel and the weight is entered as the total weight, choose “Specified per row” as ”Goods information”. If the weight is entered per parcel, choose “Specified per parcel” as ”Goods information”. The example above states two parcels weighing 6 kilograms each. If you have more than one parcel with different weights or different contents, proceed to 13 below, otherwise skip to 14.

13.Click if the shipment contains additional parcels of different weights or

with different contents. Repeat step 12 above.

14.Click to send the Collection Request to Posten. The transport

documentation and labels will not be printed at your location, but will be printed and handled by Posten.

Important! The date for pick-up for Collection Request is the next business day. The steps above must be completed before 3.30 pm the day before pick-up. This rule is valid regardless of Ship Date.

Shipments with Collection Request are shown in the history together with normal shipments. As of today no events are reported back to Pacsoft Online for Collection

Request. This means that status will be ”Printed” even when a delivery has been

completed. For the same reason, track and trace of Collection Request may not be performed through Pacsoft Online. Please use the links sent to the email address stated as “Booking email address” above for follow up on your Collection Request shipments.

Cancelling of a Collection Request

before 3.30 pm on the day before pick-up. After that, cancelling is not possible. A confirmation of cancellation is sent to the email address stated as “Booking email address”.

After logon to Pacsoft Online, choose “Shipments” on the History menu. Then follow the steps below.

1. Search for the shipment/booking. This may be done by date and time, by address

or by reference among other criteria. Please note! No status other than Printed

or Cancelled is possible to search for.

2. When the shipment/booking is shown in the result list, click on to the left of

the line to see details.

3. Click at the top of the page.

4. Click to confirm the cancellation.

Please note!

In order to simplify usage of Pacsoft Online, you may create a ”Printing Favourite” where the service and add-ons are fixed values.

Choose “Print Favourites” from the Maintenance menu,

A favourite is a form of template where default values and fixed values may be determined in order to minimize user input. You may select a fixed sender address party and a fixed receiver address party, a transport service and the add-on service “Collection Request”.

When using a favourite, you only have to state the pick-up address and information regarding the parcels. It simplifies the working process and unnecessary errors might be avoided.
