Welcome Aboard!

Thank you for your interest in registering a school team for the 2015 Chevron City to Surf for Activ! We would be thrilled to have you on board as we celebrate the event’s 41st birthday!

What started out as a 500 participant event all the way back in 1975 has now transformed into an iconic event on the WA calendar with an expected 50,000 participants running, walking or wheeling their way from the City to the Surf.

This year we are encouraging all WA schools to get involved in this year’s event to celebrate the introduction of school fundraising through Everyday hero! All school members receive a 15% discount as part of their registration and prizes are awarded to the largest school teams—so get registering today!

Creating a Team

1. Go to www.chevroncitytosurf.com and select your location (Perth, Karratha, etc.) 2. Click on Register—Perth (or your chosen location)

3. Select your distance (12km Run, 4km, etc.) 4. Click on Create a Team

5. Enter your Team Captain details— These will be the details to log on to your Team Captain account 6. Enter your Team details—Team name, Team Member password (optional)

7. Choose your payment option: Payment by Individual (team members pay for their own registration) or Payment by Team Captain (as the team captain you are responsible for payment of registrations) 8. Enter your Team Captain contact details and select your Team category

9. Click Create—You are now on the Team Captain Page!

10. Share the link with your team members so they can register and start training!

Joining a Team

1. Go to www.chevroncitytosurf.com and select your location (Perth, Karratha, etc.) 2. Click on Register—Perth (or your chosen location)

3. Select your distance (12km Run, 4km, etc.) 4. Click on Join a Team

5. Type in the name of your Team and click search

6. Type in your team password to join (If your Team Captain has selected to have a team password) 7. Fill out the registration form

8. If your Team Captain has selected Payment by Individual you will need to pay for your registration and will receive a confirmation email with your e-ticket. If your Team Captain selected the Payment by Team Captain option you will not be asked to pay and will become a queued entrant. Once payment has been made then you will receive your confirmation email and e-ticket.

ONLINE FUNDRAISING FOR YOUR SCHOOL IN CITY TO SURF SERIES

1. Create a leader account for your School Team Page

Visit https://chevroncitytosurf2015.everydayhero.com/au/

get-started

This will create a Supporter Page that the school team page will sit under.

Enter your details to create an everydayhero supporter account (different to your school account login for reporting).

When prompted to chose a charity, select your school.

2. Create your team page

The Team options are visible on the right hand side of your Supporter Page. Select ‘Create a new team’ to begin. Choose a name for your Team Page and continue to create your School Team Page. Whoever sets up the team page will automatically be assigned the role of team captain. This can be transferred to another person if necessary. This can be transferred to another person if necessary.

It’s really easy to setup your school with everydayhero to encourage students to raise much needed funds online for your school as part of their participation in the City to Surf this year. Each participant in the event has the opportunity to receive their very own online ‘Supporter Page’ where they can share their training, tell their story and show their friends and family why raising money for their chosen charity (or school) is so important. Best of all, all of the receipting and administration is taken care of by everydayhero’s online platform.

Once you are set up with an everydayhero school account, we recommend you set up a School Team Page. It’s the quickest and easiest way of showing a collective of your students all raising funds for a common goal.

A Team Page gives your students the opportunity to engage with each other, to showcase what each individual is doing, and what the team is doing together. It motivates them, and makes the experience fun, memorable and something they’ll want to do again.

3. Personalise your Team Page

Once on your Team Page you will need to ensure that you have set up your team page ready for sharing. To do this, click

‘Edit this Team Page’. Make sure you:

Set Team Page Goal ($) - What is the donation target you would like to raise?

Edit your Team Story - Tell your story and mention how your team target will help your school.

Set the Team Page Photo - This photo appears in the top right of your team page.

4. Inviting Team Members

From your School Team Page click on ‘Invite Members’ to invite additional supporters to your Team. A pop up window will appear allowing you to enter the email addresses and personalise a message to your team member invitees. Each invitee will then receive an email with a link to complete their registration, and be ‘Auto-joined’ to the team.

5. Promoting your Team Page

Ask your existing supporters to join your Team Page by sharing sharing the URL in an e-newsletter, or on your school website or intranet.

The wrist band will need to be presented to the Grab N Go service staff on the day to receive your pack.

• Volunteer parents, School Captains and students meet at the oval at the start of lunch.

• School Captains are responsible for collecting the distance card boxes, stamps and pens from the office to bring to the oval each Friday.

• School Captains distribute cards to students. Parent volunteers to assist.

• Students start walking/running. They must carry their distance card during this time.

• Parent volunteers walk with students around the course encouraging students or providing assistance if the need arises.

• School Captains stamp each student’s card every time they complete a lap.

• Walking/running must finish 15 minutes later.

• Students tally their laps and write the number in the “Sub-total” box.

• Distance cards are to be returned to School Captains who will take them to the office.

• Parent volunteers will finish at about 30 minutes after the meeting time.

FRIDAY LUNCHTIME PROCEDURE

Program Outline

Every Friday at lunchtime for ten weeks students walk or run laps of their school oval (500m lap) or school grounds (1km lap). For every lap the student completes they earn a stamp on their distance card. The overall goal is to receive 21 or 42 stamps (depending on the lap distance) over the course of the ten week program, by which stage the student will have completed a Half Marathon distance of 21km.

This health and fitness initiative is a fantastic way to connect the entire school community, generate school spirit, and to improve the health of the students around Western Australia. In addition, Go the Distance acts as a training platform for the 4km Run/

Walk event in the 2015 Chevron City to Surf for Activ on Sunday 30th August 2015.

Go the Distance is run in association with StepUp4Kids, which was successfully conducted at Our Lady of Grace Primary School in 2010.

In order for this program to be run successfully, it requires involvement from all areas of the school community. Parent volunteers will be required to oversee each training session as the program must be run independently of the Physical Education Program in schools. School Captains and Prefects are required to assist the parent volunteers and to provide encouragement and support to all participants.

Schools are free to arrange sponsorship with local businesses and to adapt the program to suit individual school needs.

Certificates of Thanks are provided to thank sponsors for their contribution and support.

• Incentives are vital to the success of this program. Examples include having special guests to run laps alongside students, prizes, dress-up laps, inviting grandparents/parents to watch, or having relevant/inspirational guest speakers at assemblies. Based on the success of StepUp4Kids at Our Lady of Grace Primary School we recommend the use of incentives to keep the program’s momentum moving forward.

• A beep-test can be undertaken at the start of the program and again at the conclusion of the 10 weeks to help students to set fitness goals and gives them a measurable fitness outcome.

• Celebrate the final day of the program possibly in the form of a small wind-up party.

• The program requires involvement from the entire school. The canteen could facilitate a healthy eating program or teachers could undertake cooking with their classes to encourage a healthy diet.

• Organisers will require a full school list to be able to merge personal information with the templates, such as certificates.
