Waste Management

Workwise Waste Management - The complete solution to waste management Modules

The system is split up into different modules. In this way the system can be tailored to suit you. This document contains an overview of each of the following modules. Note that the “Customer Details” module is the base module that is required by all the other modules.

Customer Details (Base Module)

Customer Information

Store all your customer details in a secure central database.

 Store any type of data, even photos.  Information is based on a template which

you can change. So you can store the exact data you want.

 Our search system provides quick access to any of the customer information.  Automatically import all the addresses

from the LLPG.

 As many concurrent users as you like. (More than one user can view and change data at the same time).

Reports, Letters and Email

Workwise has an in-depth reporting system that is built around one unified concept, giving you useful information and valuable time saving automation.

 Show contaminated bins and issue letters to the offenders. Workwise keeps track of all letters sent.

 Print out round information, customer details and other various useful things about the customer.

 “Duty of Care” can be issued and posted/emailed to customers using specific services.  Show all businesses without certain services, and send out letters to attract new business.

Invoicing

Keep track of all customer balances and statements.  Invoice services in arrears or advance.  Invoice all outstanding items for a client

(e.g. All Skip empties, Extra bins and Bulky Collections).

 Create part invoices to spread out the total cost for clients.

 You can also perform bulk invoices, in which you can printout invoices for all customers on a certain service. For

example, you could invoice any client who has a skip and the system would printout an invoice for each client.

Tasks

Set tasks for staff and vehicles. For example, a typical waste management task would be a “Sacks delivery”. This task can be assigned to member staff or a vehicle for a specific date and time.

 Assign tasks to staff in an easy-to-use Diary.

 The Diary can show day, week and month views

 The diary can be set to warn the user when someone’s workload becomes too great.  Print out a list of work for a day or week.

 Automatically send tasks to mobile devices (requires the mobile module).  Report of tasks completed.

 All task types are built on dynamic templates, allowing you to add/remove data fields as you see fit.

Mobile Module

The Mobile module allows staff and vehicle crews to receive their tasks remotely. In a full waste management system you are likely to want mobile devices in Dustcarts and Delivery vehicles. You may also want hand-held devices similar to mobile phones for mobile workers.

Dustcart Mobile Devices

We provide a rugged simple-to-use device in which the operator simply pushes the “On” button to start. It has both a touch screen and physical buttons for tactile feedback.

Features

• Shows the current round. This can be switched on the fly, allowing vehicles to change rounds at any time.

• Record not-out and missed bins with a single button push.

• Record contaminated bins, and what was action was taken using simple on-screen prompts. • Record damaged bins. When a damaged bin is reported, a replacement bin task is

automatically issued and sent to a delivery vehicle.

• As soon as an operator ticks off a house or street as collected, the office staff will know about it. So if the customer rings up, the office staff can deal with the customer knowing exactly what the crew have done.

• Crews can be sent extra work such as “extra bin collections”. This will appear as a message icon on their device (much like what you have on your mobile phone)

Handheld Mobile Devices

Your waste management system may require handheld devices for jobs like street cleansing. In these cases we provide a handheld device. Our software works with any windows operating system, so you literally have hundreds of devices to choose from. Some of the devices are available free on a monthly contact. Most modern devices come equipped with an in-build camera which our software can

GPS Tracking

Always know exactly where your vehicles are with live streaming GPS data.

 Shows where your vehicles are.  Shows where your vehicles have been.  Shows the routes taken by showing a line

on the map.

 Shows the speed of a vehicle at any point.  Shows historical routes taken on a selected

date.

Vehicle Information

Keep track of all the information about your vehicles in our quick access vehicle data store.

 Current mileage, driver and task.

 Tax renewal information with automatic alerts

 Vehicle size, weight etc.

Task Management

Send tasks to your vehicles.

 Tasks can be of any type such as “Delivery to 123 London Road”.

 Vehicle crews immediately see new tasks when issued.

 Office staff will immediately see when a task has been completed.

 Office staff can see where vehicles are maybe overloaded with tasks.

 Tasks can be prioritised and issued for future dates.

 Large amounts of information can be captured in a task such as signatures and pictures

Vehicle Defects

The vehicle crew will be automatically presented with an on-screen defects sheet at the start and end of every shift.

 The on-screen defects sheet can exactly match any existing paper based method.  Capture Signatures.

 Any defects reported by the crews will instantly appear on the office-side system and a fitter will automatically be emailed.

 Printouts from the office-side system can exactly match any existing paper based methods.

In-Vehicle Routing

 Built on the Tom-Tom mapping system  The software interacts with the driver’s tasks

sent via the office staff, so the driver never has to lookup postcodes.

 The software can also calculate the best route for a series to tasks. So at the start of the day the driver can set the best route for all of the day’s tasks.

Task Mapping

If a task has been completed on a mobile device, it will contain GPS data. This allows the following features:

 Show on a map where a task has been completed.

 Show all the contaminated bins on the map, to quickly identify which areas are the worst offenders

CRM - Customer Relationship Management Module

The CRM Module is the front-end to your customers. It contains a Hotline system where customer calls are collated into categories, like “Missed bin” and “Graffiti”.

If a customer phones up to say that their bin was missed, the system would bring up the details of the customer and automatically inform the operator of what the crew reported, for example, “The bin was contaminated with Food waste”. The operator can then look at the properties history to check if this is a common occurrence.

Each hotline category is dealt with in a unique way, for example, if someone phoned up to report an “Abandoned vehicle” the operator will be prompted to enter the Make and Registration of the vehicle. In this way mobile staff following up on the call can quickly identify the vehicle.

The follow up tasks are fully automated. They are automatically sent to a mobile device and/or emailed to other staff members. They can also be printed out when necessary.

The hotline system also has a clever auditing system. Audits are automatically created when a task is open, close and sent to a mobile device. User notes can also be added to the audit trail and these can be seen by the mobile device users.

Stock Control Mobile

The stock control module monitors stock and automatically informs the appropriate people when stock in running low. Stock items are also automatically adjusted according to any new tasks raised on the system. For example, if you were to issue someone with a new 240 bin, the 240 bin counter would automatically adjust.

When settings up a “Stock item”, you can specify the minimum level it can be and who should be notified if the item drops below the level. This allows for automated nightly checks to email the staff responsible for buying when an item falls below its minimum level.

The stock control module also comes with some useful in-built reporting and charting. This makes it simple to identify any trends in item usage.

Skip Management

The Skip management module allows skips to be allocated within a diary. This way the user can see exactly what skips are available and what times the skip lorry is free to deliver and retrieve the skip.

Features:

 Simple drag and drop editing.

 A task popup display makes it easy to edit the task.

 Auto cost calculations (Base on price per ton, tonnage and extra charges such as lights and DOCs)

 Reporting that calculates waste quantities and profit.

 Weekly/Monthly bulk invoicing allows you to print off invoices for everyone using the service.
