Overview

This guide will walk you through the process of building your app, outline the data and the materials we’ll need.

App Name

‣ Generally the shorter your App name the better. The phone itself will display 13 characters (resorting 


to an ellipsis if longer).

‣ You cannot use special characters in your App name.

 

‣ You also cannot start with your App name with numbers.

Media Assets

Next, you’ll want to put together the media assets for the app. Often times, these reflect the branding and theme of the conference.

App Icon

The icon that displays on the phone under the event section screen. 


Pro Tip: The simpler the icon, the better.

It’s typically quite small and fine detail can get lost or muddled.

Header Logo

The icon that displays on the phone under the event section screen. 


Pro Tip: This logo appears best when it is

white or light coloured, and needs to be on a transparent background. It is also a very narrow space, so short and wide logos work best. Dimensions 512 x 512 pixels

Colour Selections

There are three areas where the colours for your App can be customized: header, link text and microApp icons. Colour selections need to be provided as hex colour values (e.g. #E53417).

!

The header colour is used in the header bar on all screens of your App. (Darker colours work best

here, as the navigation buttons are white.)

 

‣ The link text colour is used for internal links within your App - i.e. content items, attendee profiles, etc. (Again, darker colours work best.)

‣ The section icons appear in the menu on the left hand side. Often, their colour is chosen to match the link text colour (Although it’s not required they be the same.)

Configuration Options

Below are a few decisions you will need to make regarding the configuration of your App.

!

‣ App Signup: Is your event private or the content of your App sensitive? 


If so, you may want to disable registration so that only pre-loaded attendees are able to access 
 your App. 


If not, it is recommended that you leave your App open so that attendees can sign up directly and create their own account.

‣ Social Media Connections: Enable attendees to connect and push out to Facebook, Twitter and LinkedIn.

App sections

‣ Status Update: The main screen for attendees to check-in to items (Sessions, Speakers, Places, Exhibitors, etc.) (Recommended)

‣ Activity Feed: The central display for all attendees’ activity. Check-ins and other actions like ratings and bookmarks are pushed to the Activity Feed. (Required)

‣ Agenda: Chronological listing of all Sessions. Attendees can view descriptions, add items to their personal agenda or check-in to items. The agenda can be toggled between the full schedule and 
 ‘My Agenda’. If you have session tracks, it can also be filtered by track. (Recommended)

‣ Attendees – Attendees are matched to other attendees based on interest groups or themes. See the Networking section for more info. (Recommended)

‣ Speakers – Alphabetical listing of Speakers. Attendees can view descriptions and can check-in to the items. Headshots can be displayed in the list view. Images must be saved as 320x320.jpg files.

App sections

‣ Exhibitors: Alphabetical listing of Exhibitors. Attendees can view descriptions and can check-in to the items. Logos can be displayed in the list view. Images must be saved as 320x320.jpg ‣ Profile: Attendees can update their profile, add a profile image, connect to social media

accounts, add new or view Followers and view personal activity. (Required)

‣ Photo Feed: Attendees can view all photos that have been posted. Photos can be added when updating statuses or from the photofeed microApp. (Recommended)

‣ Leaderboard: Attendees can see where they rank against 
 others in points earned. Points are earned for


checking-in, liking, commenting, rating, and adding photos.

‣ Badges: Attendees can view the badges they’ve earned for 
 completing specific actions within the app. See the Badges
 section for more info.

App sections

‣ Bookmarks: Attendees can view items they have bookmarked. Any item in a list (i.e. Sessions, Speakers, Places, Exhibitors, etc.) can be bookmarked.(Recommended)

‣ Surveys: Provides attendees with a series of survey questions. See the Surveys section for more info. ‣ Interactive Map: Allows attendees to locate and view more information on Exhibitors at your event.

‣ Web View: Sends attendees to a single webpage of your choice. You can create multiple web view app sections.

‣ Local Guide: Through TripAdvisor, attendees can look up local restaurants & attractions from within your App.

‣ Local Maps: Through Google Maps attendees can look up the area local to the venue.

‣ Custom List: Custom lists can be created to display content within the app. Like the Agenda and Speakers, these custom lists are fully interactive. Attendees can check-in to, bookmark and review the items. Other list ideas include: Products, Videos, Documents or Sponsors.

// Content Items

Now that you have a fully functioning App we’re going to begin to work on the content that will populate it. When you have your content ready to import, please submit it by emailing [email protected]

List Items

We will provide you with content templates for all of the lists within the app. These templates will include columns for things like Title, Description, Speakers, Location, Start Time, End Time - or anything else you’d like to add.

1. Once we receive your templates, we’ll check, format and import into the Content Management System (CMS) for you.

2. After this, you’ll be able to update and manage the content using the CMS in real time. 


Best practice is to have 75-80% of your list content ready to go before we import.

Time Zone Note

When agenda items are imported, the time zone in which the event is taking place will be set. When attendees view the agenda, the time adjusts based on the time zone set by the device. This feature allows attendees to accurately add sessions to their calendars.

Badges

Default badges are already in your App. Attendees can earn these badges by checking-in, adding photos, or rating items. There are also State and Country badges earned for checking-in to different locations.

‣ Custom badges can be created in the CMS and unlocked for checking in to specific items you create. For example, checking into the Keynote could unlock the Keynote badge, or checking into three breakout sessions could unlock the Learner badge.

‣ When creating a badge, you must include a name, description and criteria to unlock (item and number of check-ins)

‣ Badge artwork must be 128x128 pixels; jpg or png file.

‣ Character count limits for badges: 10 characters max for badge name, and 300 characters max for

Networking

Within the Attendees section, attendees can self-select two interest groups or themes from a list of around 8 – 12. Once an attendee selects two, they are then grouped together with other attendees that have also selected one of the two. This helps break down a large attendee list into a realistic networking list. You are also able to filter based on the other networking groups as well as searching from the broader attendee list.

Surveys 


The Survey section allows you to create survey questions and collect feedback directly from within the app. You can create surveys directly from within the CMS, writing the questions, number of responses allowed and the response labels.

App Promotion 


Promotion is critical to the success of your App. We’ve broken down our recommendations for App promotion into two parts:

‣ things to do before your event to drive awareness

‣ things to do during your event to increase engagement

Any time after the kickoff call, we can schedule a half-hour phone call to discuss App promotion best practices and brainstorm some ideas for your event.

Current Platform Limitations 


Although we are working hard around the clock, there are a few things that certain platforms don’t yet allow:

‣ Android: Header logo does not display.

‣ HTML5: Uploading photos, QR code scanner, global push notifications, people matching, splash screen display and rating items.
