mf online Production Changes Implemented 30 May 2014
We are pleased to advise that we have implemented a number of changes and enhancements for mf
online. Below is a detailed list of what has been implemented and some quick step-by-step guides on how the changes will affect the users.
1. Commercial Schedules - Copy schedule:
Previously mf online did not display the copy schedule document when reprinting. This problem
has now been resolved.
2. Personal policies - Additional information:
We have amended the order of the options available and included some additional options:
The 2 new options are explained below:
i) View Claims – this is not a new function. A user can view all claims from within a Policy.
ii) Notify Claim – this function allows a user to complete a claims notification from within a policy without having to use the Top Menu bar. When using this function, the client’s policy number and name will auto-populate accordingly. The Top menu bar function has not been disabled and users can still complete a claims notification via this option.

By clicking on the “Notify Claim” button, the user is navigated from the policy section screen. Once the user is on the notification screen the client details and policy number populate automatically.
3. Personal Claims Notification:
Coupled with the above change, we have also included a “View Policy” button when completing a
claims notification from the main menu option. This function allows the user to view the HISTORY of the policy before completing the notification. This will assist users when completing the full claims registration process.
When the user clicks on the “View Policy” button, the system will navigate to the policy “History” screen:
The user is now able to select and view the version of the policy corresponding to the applicable date of loss. When the user clicks the “Back” button, the system will navigate back to the Claims Notification screen.

4. Premium deduction day:
We have removed the premium deduction day field from the Payment Details:
NB – A client’s deduction day on monthly policies is linked to the client’s renewal date. To amend the strike date for debit order deductions, a user must amend the Anniversary date on the policy. Reminder – When amending Bank Details, please upload the signed debit order authority form which is available under the “Documents and Support” Page. Failure to upload this document will result in a delay with the authorising of the respective referral.
5. Party record changes (contact numbers):
In an effort to improve our client’s contact information, we have redesigned our “Contact
Details” screen. Users will now be required to capture a Country code when capturing contact numbers. If a country code is not available in the drop down list of options, please forward an
email to [email protected] accordingly so that the code may be loaded as required.
When adding a new client, enter the contact details in the Country Code, Number and Extension
tables. For the country code, select the appropriate option from the drop down list. Enter the phone number including the city code but omitting the leading zero, e.g. 118881234. If there is an extension number, enter it into the Extension number table. Otherwise leave it blank. To amending contact details for an existing client, amend the number in the Result table.
6. New Account screens:
Following some concerns raised, we have redesigned the Finance Enquiries screens. We trust
that this change will allow users to complete finance enquires more effectively.
Monthly Policies: The system will navigate to the Payment and Collections screen with the latest account transaction item noted first. Coupled with this, the system will auto-search the payment details and premium split for this account item. These details will be highlighted in yellow. The user will still be able to generate a PDF report if required.

Annual Policies: We have removed unnessecary information. The Report function is still available for users if required.
7. Namibian ID Type:
When the client has a Namibian ID number, the system will not request an ITC score. This
function will impact Namibian users only.
8. Auto Value Tool:
9. Documents and Support:
We have incorporated our Documents and Need Help page into one. When clicking on the
Documents and Support tab, users will now be able to review all previous communications as well as find the assistance they require in one central area.

When clicking on “Need Help?” the following page will open:
If the user clicks on the small drop down arrow next to each question a full explanation will be displayed as indicated below:
Click the arrow again and the explanation will close.
When clicking on the business icons, as per image below, the system will open a new page with the relevant documents displayed.
Training manuals, Underwriting guidelines, SLA’s and Quarterly Newsletters are stored under the Related links section on all pages, as per image below:

Further Changes
TCA Link – due to response concerns we have removed the auto login process for TCA. Users will now have to capture a separate User ID and password for this system. We will be reviewing the access functionality so that we can reinstate the auto login function.
Limited cover discount rules – if the user amends the cover type on Contents, Motor or Motorcycle to limited cover, the system will retain the existing discount which may have applied and the field will be greyed out.
High Valued Vehicle Excess – we have corrected the logic in the system which will default the excess to the respective amount, depending on the RETAIL or Agreed Sum Insured. Please refer to the Allsure Excess guide for specifics.
Claims Registration – The full claims registration process has been implemented, however the role has not been assigned to any users at this stage. If you require access please contact your Portfolio Manager or Onlinesupport for further information.
