Online Timesheet

A timesheet (or time sheet) is a method for recording the amount of a worker's time spent on each job.

Time-sheets record the start and end time of tasks, or just the duration. It may contain a detailed breakdown of tasks accomplished throughout the project or program. This information may be used for payroll, client billing, and increasingly for project costing, estimation, tracking and management.

Web-based time-sheet software or services that provide a means to track time for payroll, billing and project management. One of the major uses of time-sheets in a project management environment is comparing planned costs versus actual costs,as well as measuring employee performance, and identifying problematic tasks. This knowledge can drive corporate strategy as users stop performing or reassign unprofitable work. Time tracking can lower costs in 3 ways:

1. by making payroll processing more efficient, 2. by making costs visible so you can lower them, 3. and by automating billing & invoicing.

Time tracking can increase revenue through automating billing, which tends to make it easier for a company to get correct invoices out for all hours worked by consulting staff. This speeds up payment and eliminates the hassles of 'dropping' bills.

Project Management 1.1 Project Management 1.1.1. Manage Project

Ø Here one would be able to view the project tracker details as per Service Line. Ø One would be able to export the project details just by clicking the "Export"

button in right hand side column.

Ø Sorting, filtering is very much easier in these project tracker. One can easily filter out the data by clicking on the "Add filter" button.

Ø There various fields available while adding the projects in OMS. Make sure that whatever details is entered over here are truly approved by client and by concern person. Description of each and every fields are given below

Ø Project Code (Internal Code) :- These code are usually provided by the clients itself. Please ensure that the Project Code should be unique.

Ø Service Line & Client :- One must ensure that they should select appropriate option w.r.t to Service Line and clients.

User Management 1.2 Project Management 1.2.1. Manage User

Ø Here one would be able to view all the active and inactive user details.

Ø One would be able to export the user details just by clicking the "Export" button in right hand side column.

1.2.2 Add User

One can easily add the user details in OMS. Description of each and every fields are given below

:-1. Employee Code :- Should be unique and should not be repeated again.

2. User Name :- Usually used for login in OMS.

3. Email :- Please provide the datamatics mail Id.

4. Services:- Please the appropriate option w.r.t to your Service Line.

5. User Type :- There are basically two option

:-I. Admin :- These rights is basically provide to Manager and team leader. Rights to provide to any user would be able to add and manage projects and user details in OMS.

II. User :- These is an normal rights provided to junior level user and trainees.

6. Grade :- Select an appropriate option according to the grade in the datamatics.

7. IsActive :- For active users its always show a check sign. To inactive any user please remove the check sign.

8. FTE :- These check is usually made for the FTE users. To make any users as FTE, please checked it.

1.2.3. Change Password

One can easily their own password by following the below path:- OMS --> Management --> Users --> Change My Password

Time Entry Process

This is an process where users has to fill the time entry on daily basis. Whatever jobs, activities or delivery one has performed for the day should be reflect over here. Its easily tracks the utilization of the users by mentioning the appropriate break-up time. Time sheet details also help the respective SL who work on Time based, so to send the billing to the respective clients. Description about the process of Time-entry and how to fill the time-entry

1. To fill the Time-entry, goto the below mentioned path:-

Project Management System --> Time Management --> Time Entry

2. Once the page been loaded then please select appropriate option w.r.t to your Service Line from the "Team" drop-down box.

3. Once the team selection is done, select respective Date, Shift and total time in office. Once these is done the respective projects details and activity details is been fetch and shown in the drop-down box.

Description about each and every fields is mentioned below :-

o Project code: Select the appropriate project code for which a work has been done or for Non-working project select non-billable as a project code.

o Actual Hrs: Need to mention the actual time spent on that particular task. o Estimated Hrs: Needs to mention the estimated time (i.e. time which will be

billed to clients) given on that particular task. o Activity: Select the suitable activity for that task.

o Events: needs to mention in which working phase the project is assign. o Comments: Add the proper comments for those tasks.

Permutation & Combination in calculating the Billable/Non-billable time There are basically three combination for calculating the non-billable time for any time-entry

1. By Selecting the Project Code as "Non-billable"

1. If any person doesn't work on Live project or basically worked on process-oriented work then one can select "Non-billable" project code for mentioning the time spend in office.

2. If a project code "Non-billable" is select and with respective to this activity like "Break","Idle Time","Training Received","Training Given" is selected then amount of time will be totally considered as "Non-billable".

3. If a project code "Non-billable" is select and with respective to this activity like "Break","Idle Time","Training Received","Training Given" is not selected then the amount of time will be considered as "Non-Productive Time".

2. By Selecting the Activity

"Break","Idle Time","Training Received","Training Given" these activities are always considered as a "Non- Billable" time. For example :- If any person is sitting idle or attended any induction/training then for such time should always select the these activities.

Please Note :- There is a validation where the break time can't be more than the one hour.

3. By Selecting the Events

If any person worked on any respective project but that too as "Non billable". In such scenario, one select the respective project code and can select the Event as "Non billable" or "Break". So for the amount of time spend will be considered as "Non-Productive Time".

There are basically one combination for calculating the Billable time for any time-entry :- 1. Select the respective project code excluding ("Non-billable") project code and select the

respective activity excluding ("Break”,” Idle Time”,” Training Received”,” Training Given") and events excluding ("Non billable" and "Break"). So in such scenario the amount of time will be consider as "Productive Time".

2. There are eight different LOB where Analytics, Data Integration (IOM+TOM) and Survey Programming work on the Time based and others on Volume based. So for the Time Based LOB the Productive Time calculation is done with the "Estimated-Time" and for Volume based the calculation is done with the "Actual Time".

Holiday

This module help to manage all schedule,unscheduled and holiday list for each and every member of the team.

How to apply a leave

Goto Timesheet ---> Holiday -- > Leave Register

Note :- This module is access to all admin rights users in OMS. Step 1 :- Select user name from the drop down list.

Step 2 :- Select Reason from the drop down list. Available Reason are General Leave,Personal Leave and Privilege Leave. One can select any of them w.r.t to their leave.

Step 3 :- Select type from the list and available list are Schedule Leave, Unscheduled Leave and Holiday.

Step 4 :- Comments is not mandatory and one can provide the comments over here.

Once the leave is registered then one would able to view their all schedule, holiday and unscheduled leave in the "Holiday"Calendar.

Goto Timesheet ---> Holiday -- > Holiday Calender

In the above print-screen, the "Green" Marker indicates the Fix holiday which has to provided to all employees.

User-wise Details

To Check the User wise Details:

User wise details report provide the data with many filtration options and it's mainly useful to send the details to the clients or for any billing cycle.

How to get the User wise Details:

· User Name: Need to select User name

· Client: Need to select the Client on which that particular user works. · Start Date: Need to select start date from which the user want report. · End Date: Need to select till date the user want report.

After providing all this information click on submit button and you can see the new window opens with the report. This report hold data like Username, time-entry data, activities, Actual and Estimated hours, Events, Comments, shift and etc.

Export Details allows the user to export all the data currently in the window in a variety of format.
