challenge

Efficient document and case management system was required to automate the workflow and the monitoring of the day-to-day documentation flow in the legal department of Zito Vardar.

The project aimed at establishing a modern document and case management system for small and mid size companies, using Microsoft .NET (ASP.NET, C#) as a platform. The focus was on automating and accelerating the processing of information.

approach EIN-SOF conducted an

extensive workflow analysis of the existing document processing procedures. At that point, over 30 different workflows were defined using UML 2.0. In addition to the existing procedures, EIN-SOF undertook the challenge of designing and implementing new workflows using IT as a

platform.

Pilot Project

During initial implementation, EIN-SOF implemented a pilot project involving users from selected participating departments.

Quality of the solution

Due to the specificity of information to be processed by the offered solution, the highest security standards were required. EIN-SOF provided a guarantee for the safety of the information processed.

User interface and instructions for use

The user interface was written in both English and Macedonian language. The User Instructions were also written in English and Macedonian.

The ability to manage documents is vital to productivity. Case and document management from EIN-SOF addresses every stage of the content lifecycle – from creation and capture, through management and delivery, to archival and storage.

System performance

The solution enables the execution of operations in real time, for quick response to the information generated by the system, to allow for analysis and fast decision making in crisis situations.

The solution enables simultaneous access by all users, without any distortion of system performance.

High level of security based on electronic signatures and digital certificates; authentication and authorization of users baseed on integration with LDAP and encryption of data.

Initial processing of documents provides full support to the legal case management.

It helps to better use, manage, consolidate, share, and protect information, and it tracks and shapes the business process.

Integrated data from multiple systems, departments, users, and business entities are used to increase the firm's business advantage. The work and system administration of the document management system, as well as the content and workflow are carried out from any job post with web based access to the central system. The conversion of hard copies into electronic files is primarily carried out from a central position in each of the institutions, as well as via dispersed scanners depending on the needs of individual institutions.
