THE PROBLEM AND ITS SETTING

I. Introduction

As computer technology changes at such fast phase, many businesses sectors try to cope up by upgrading computer system constantly in order to stay competitive. The multi- function ability of technology for its advance system is also an important factor for a company to use software. It makes efficient use of the advance technology and has ambition to discover more. Computers have the great impact on the profession of accounting. With the rapid growth of technology today, there is no doubt that computer will become a common asset in all profession.

The program also allows the monthly payroll schedule to be calculated accurately. Just by having all employees’ info like name, wages etc. to enter in the database. Therefore, payroll can be done with the guide of the program. The system is good in for its specialty in the fields of accounting. It is easy to use, effective and efficient in organizing and calculating the payroll. In addition, this study aims to develop a reliable and manageable computerized payroll system.

The Proposed Computerized Payroll System will give a big relief of the employee and employers as well.

A. Background of the Study

Nowadays all establishment are becoming modernized, they use modern technologies to make their transaction fast, easy, and accurate in order to avoid waste of time and for the sake of safety and security. It also helps human to solve and understand complex problem and analysis such us the computational need of humans. Especially to business establishment or corporation processing enormous data and complex transaction. Payroll is an example of a complex transaction because it is a critical business operation dealing with numerous accounts and produce plenty and confidential files. Payroll is encompasses every employee of a company who receives a regular wages or other compensation due to each.

Applying manual procedure on a Payroll transaction involving the vast beat answer in that problem would be computer because computers can simulate enormous data and can process complex transaction in a fast and efficient way. It can generate numerous accounts and data accurately.

A Computerized Payroll System will not only provide accurate calculation and fast process of Payroll transaction but it will secure data through security

implementation and accordingly arrange files provided by a well-designed database that will produce a paperless environment.

B. Statement of the Problem

1. Time consuming process of payroll preparation

The Nyanmaru Company is still using the manual method of payroll process. A lot of jobs are assigned to the payroll maker and accounting clerk, with cause’s inconvenience to their services. In this method, it will need more time and manpower to complete the payroll of each employee.

2. Laborious payroll process

Nobody could admit the inescapable fact that what makes the manual procedure take a long time to finish the task is due to the many steps and processes to undergo. There is the collection of data such as SSS and individual manual calculation of payroll. Individual data is transferred through sheets, encoding and double checking after calculating. All this process requires labor and effort to complete the task.

3. Misposting and understating of employee’s data

The logical process of manual procedure result to too much time consumption. It often times result in misposting and understating of each employees data of plenty of files that is hard to accommodate.

Objectives of the Study

This study is intended to design and develop a Computerized Payroll System for Nyanmaru Company for calendar year 2013.

Specifically, this study aims:

 1• To minimize the effort of the bookkeeper in processing the Payroll Slip and Payroll Form.

 2• To make an efficient and accurate computation of Payroll.

 3. To create a well-arranged database and to implement strong security of the system for data security.

 Maintain accurate records of employee salaries and wages earned and paid, taxes withheld and other voluntary deductions.

 To improve the existing system’s services, in order to increase employee and employee satisfaction , provide the quality and create a controlled

D. Scope and Limitation of the Study

Scope:

The system This study is designed for to develop a Computerized Payroll System. It covers the enhancement or development process of computerized payroll system.

Functionalities:

 The system can computepreparing the Pay slip of each employee, keeping of records safety and computing the exact wages of each employee.

 The system can keep track Including the stored report list of absences, withholding taxes and other deductions.

 It can add, edit, delete and search employee records.

 The system can update employee’s informationsuch as well as the Monthly Salary, Basic salary, overtime per dayand Deduction such as withholding tax, SSS, and absences.

 It canMedicare, SSS loan, Advances,PAG-IBIG Contribution.The proposed Payroll System is expected to generate Pay Slip of Employees, Report list of employees and printPayroll form for every pay slip of each employeeperiod.

Non-Functionalities:

 The head administrator will be the only one who can manipulate all the records.

 It has log-in and log-out process for security purposes.

On the other hand, this study limits only to the proposed enhancement computerized payroll system.

Limitations: A

Limitation

 The proposed system which can only be access by authorized person.  ItSystem does not support network topology implementation, and

online program or online transaction.

 To find out what is the salary history of an employee.

 To develop a system that will eliminate the problem of insufficient and incomplete information.

E. Significance of the Study

The proposed system benefitswill the Payroll maker/bookkeeper.and the Finance Officer. It will help to lessen the time and effort of the payroll maker/bookkeeper preparing payments of employees. The System develop can accommodate changing figures and produce a paperless environment through well design database.

To Proponents

This study will help the proponents to enhance the ability on how to create an understandable computerized system in an easy way. This will serve to the proponents as a challenge to do a better system.

To the other Researcher

This study gives knowledge to the researcher on how to create a Computerized System in understandable way. This will serve as a fresh ground for the researcher whose study will be related in the field of Information Technology.

Nowadays, technology is highly needed by many companies in order to make certain task in a fast and easy way and manual process should be dominated. . A system that provides financial records, calculations, and information of every employee.

The proposed system is design to produce payroll checks with appropriate salary, overtime, and deductions for employees. The computerized payroll system save time and money, they’re very easy to use and they’re also very practical.

Making an simple system is one of a IT student must have to do. Thus we all know that Cyber Café are very common nowadays, so it’s important to make a project that will help the people operate their Cyber Café or commonly known as Computer shop easily.

Making an Cyber Café system will help them in monitoring the time consume by the customer and also prevent the overtime in using the computers. However in making a system like this there’s a lot to be consider in order to run this System smoothly in almost all of the computers like an Easy User Interface, System Requirements (Minimum / Recommended) and other factors

III. Significance of Study

This System will make the transactions in Computer Shops easy because it’ll not only have the timer but it also computes the amount customer will have to pay for renting the computer . Other than that it’ll have also a feature that will save Data of the past transactions the computer shop does in other words a history.

IV. Scope and Limitation

This system / Study will cover the following a special timer with alarm for monitoring, data saving for the past transactions of the computer shop, Tight user Security and auto computing of the total amount the customer must pay.

This system / Study will not cover the following, other services a computer shop offers such as photoshop, downloading, repairs, cd burns and etc. The System will not be able to control the specific Pc, but it will give warning to the User’s PC if there is an timed PC that is operating.

V. Target Users / Beneficiaries

The target Users or Beneficiary of this System / Study is the small

business that is operating a computer shop or Cyber café. This can help them for better, precise and fast services .

VI. Similarities / Difference to existing studies

This system will implement greater security other than other system because of the admin only can edit the data and documents the system have.
