BOXI Tips: Scheduling
1. Viewing successfully scheduled report results
You must click the refresh button of a scheduled report in order to view the updated status.
2. Saving results of scheduled reports
When viewing the results of a scheduled report as a Web Intelligence document, save the report by clicking the Document dropdown then choose “Save to my computer”.
(“Save report to my computer as” will display your data in multiple tabs if the BOXI report has multiple tabs.)
3. Setting results to open automatically in Excel When you schedule a report, click on Formats and Destination in the left toolbar. Check off Microsoft Excel. Now click the Schedule button at the bottom of the screen to schedule the report. When the report is done running, click on the instance link and a pop-up will appear with opening/saving options.
4. Entering information into prompts when scheduling
When updating the prompts in a scheduled report, make sure you enter the information into the prompts and then click Apply at the bottom of the prompt box. This will update the prompt
5. Use NATEVNTS login for Dues Balance report
To view results when running the report called “MB-AP with a Dues Balance prompted for Section ID & Invoice Date” in the General Folder, you must log into BOXI using the username: NATEVNTS and password: za18157 and then schedule the report.
6. Deleting a recurring report instance
Recurring report instances can not be edited. If you need to make changes to the recurring instance, delete the instance and create a new recurring report. To delete a recurring report, click on the instance time of the recurring report in the report’s History, then click on Organize in the History toolbar, then click on Delete.
(If your recurring report is not working, check that you entered the correct times, days, and years in the date range.)
7. Receiving report results in your BOXI inbox
BOXI Tips: Building the report
1. Searching the list of objects
To search for an object in the list of objects when editing a query, click on the button next to Display by hierarchies at the bottom of the Data tab. The search field will appear at the top of the list. Click on the button by Display by objects to return to the list of objects; the search field will continue to be displayed.
2. Mapped/Unmapped Attributes
In the BOXI Universe, there are 2 types of attributes - Mapped Attributes and Unmapped Attributes. Mapped attributes are attributes that you can find as fields to pull into your report in the different folders on the left hand side (Example: Chapter Code can be found in the PGA Membership Info folder or the PGA Facility folder).
Unmapped attributes can be pulled into your report by using the UnDimensioned folder found in the Customer Attribute Folder or in the Facility Related Attributes folder.
Within the UnDimensioned folder are additional folders (Customer Attributes 01-10). You will see there is an Attribute Type (CA01) field and also an Attribute Type (CA01) Outer field. Attribute Type (CA01) should be used when you want to pull ONLY customers that have that particular attribute on their record. Attribute Type (CA01) Outer should be used when you want to pull customers with and without that particular attribute.
For example, let's say you want a report of only customers that have the attribute RGN (Region). You would pull in your filter Attribute Type (CA01) and set it equal to RGN. Once you run your query you will get only customers with the RGN attribute on their record in SMS. If you used the Attribute Type (CA01) Outer in your filter setting it equal to RGN you will get all your customers who have RGN on their record in SMS and all your customers that do not have RGN as well.
* Please note that not ALL attributes we use in SMS will be able to be pulled from BOXI. If you do not see your attribute in any of the folders on the left hand side, try using the UnDimensioned Attributes folder. (If you can not find it listed as an UnDimensioned Attribute then it may not exist in the BOXI Universe. Please put in a support issue and we will help you with the report).
3. What to check if no data or the incorrect data is appearing
1. Make sure you pulled the object from the correct folder. There are objects that have the same name, but display different information depending on which folder it’s in. In Edit Query mode, click on each object name that you pulled into the report to see which folder it is coming from.
If you are trying to pull in a member’s current information, but the member’s history is also being pulled in, you may be using an object from an incorrect folder. For example:
Problem: You want a report of member names and the names of their current employers. The results are displaying the names of all of the member’s current and past employers.
Solution: Most likely, the object you are using to pull in the employer’s name is called Facility Display Name (found in the PGA Facility folder). Objects in the PGA Facility folder will pull in history. Instead, choose the object named Employer Name (found in the Customer folder).
BOXI Tips: Results
1. Count Tool
Count displays the total of unique data. In this example, count was used on both the Customer ID and Employer Name column. The Customer ID count is 4 because there are four unique customer IDs listed in the results. The Employer Name count is 1 because the count tool does not include duplicates in its total; it only looks at unique data so PGA of America Nat’l Office is counted once. To get a true count of your data, it is best to use the count function on objects that contain unique data, such as Customer Id.
2. Insert/Remove a Column/Row
To insert a column/row, right click within the column or row next to where you want to insert the new one and hover over Insert to view the insert options. You can also use the Insert Row button on the toolbar.
To remove a column/row, follow the same steps but hover over Remove to view the remove options.
3. Copy text from a report in Edit Report mode
To quickly copy text from a report in BOXI to paste elsewhere, right click on the cell that contains the data you want to copy and choose Copy as text. This is useful when copying a customer ID number to look a member up in SMS.
