Online Credit Card Storage Processes
Overview
This article is a summary of the Online Credit Card Storage Process options available to you in your RMS system.
The RMS Vault, allows you to store credit card information from Online Bookings (both from Channels and from your RMS Book Now Button) offsite in a secure location ensuring that your RMS system remains PCI Compliant.
Processes
Online Bookings from Channel Managers
(Channel Mangers include but are not limited to, Booking.com, Wotif, Expedia, Agoda etc).
Reservation with CC details are sent to RMS
CC details are taken and stored in the RMS Vault as a Token Reservation with Vault Token are saved to RMS
Edit reservation in RMS9
Select RMS Vault Button (displayed in green if Token exists)
First Time Setup
Enter RMS Username and Password Enter your desired Vault Password
Confirm your desired Vault Password Select Create
Second Time Onwards
Enter your Vault Password Select Retrieve
You will now see the guests CC information.
NOTE: The CVV will show as a unique code, this will match the CVV email sent to your property, where your client id
will unlock the protected PDF to reveal the customers CVV number. SeeHow do I get Card CVV Numbers.
RMS Book Now Button > Deposit Taken via RMS Payment Gateway
Reservation is processed and Payment is taken by the RMS Payment Gateway
Reservation is saved to RMS and Receipt for the payment taken is created on the account
NOTE: No CC details are passed into RMS No Token information is passed into RMS
RMS Book Now Button > Deposit Taken via Own Gateway
Reservation is processed and Payment is taken by your Own Payment Gateway Reservation is saved to RMS and Receipt for payment taken is created on the account
Select CC Token Button (displayed in green if Token exists) to see Token details
Further Receipts can be processed using this Token
RMS Book Now Button > No Deposit/Payment Required > No CC Capture
Reservation is sent to RMS
No Credit Card details are taken at the time of booking No Token information is passed into RMS
No Payment is taken for the online booking
RMS Book Now Button > No Deposit/Payment Required > RMS Vault
Reservation with CC details are sent to RMS
CC details are taken and stored in the RMS Vault as a Token Reservation with Vault Token are saved to RMS
No Payment is taken for the online booking

Reservation is taken and Token is processed through your Own Payment Gateway Reservation is saved to RMS
CC Token is saved against the Client record of Reservation No Payment is taken for the online booking
Select CC Token Button (displayed in green if Token exists) to see Token details.
Further Receipts can be processed using this Token
User Access to the RMS Vault
In order for your staff to access the credit card information contained in the RMS Vault you will need to give them access in their Security Profile.
