1. General Information

What the Office for Cultural Affairs (Kulturamt) of the city of Freiburg does?

In the spirit of partnership the Office for Cultural Affairs (hereafter Kulturamt) advises and supports artists, groups and institutions in all aspects of their work pertaining to arts and culture. Moreover, the Kulturamt organizes its own series of events and festivals. The Kulturamt runs the House of Arts ("L6"), including its local gallery and is responsible for renting out the town halls in Freiburg. The City Archives is also part of the Kulturamt.

Cultural institutions as well as annually recurring events can receive an annual grant (institutional support). This is decided upon by the Municipal Counsellors of the City of Freiburg every two years.

The Kulturamt funds and promotes projects

Financial support (Project Grants) for arts and cultural projects may be applied for. They include individual projects with one-time grant possibilities or long-term support for concept development and implementation. In matters of decision-making regarding the award of grants the Kulturamt is a stakeholder under the supervision of a professional jury.

In which areas does the Kulturamt funds projects?

Funding areas include on the one hand, the various art genres (music, fine arts, movie, theatre and dance etc.) and on the other hand also in the fields of Cultural Education, Intercultural Arts & Culture, Sub-urban

Neighbourhood Culture and Historical Education Work. The Kulturamt has its own budget available for each of the various areas to be supported.

What should I know if I would like to get a project funded?

In order to receive grants for a project, such as in the area of Arts and Culture, an application form must be filled out and submitted to the Kulturamt. If a project is granted the applicant will receive a written notice with the approved amount stated on it (grant notice). The answers to the following questions below can be found on the following subsequent corresponding pages as indicated in brackets:

At www.freiburg.de/kulturamt there are files which are application forms to be downloaded such as: "Grant

Request" (Word format) and "Financial Plan' (Excel format) - both in the German language.

There you will also be able to find for each of the project areas the necessary guidelines and eligibility criteria and the respective factsheets in English. The project application forms must be completed in the German language.

2. What should I know when applying for a grant?

How can I apply for a grant?

With the Grant Application Form 'Zuschussantrag' you can apply for grant for your project through the Kulturamt of the city of Freiburg. This could be projects covering areas such as art genres (music, fine art, movie, theatre and dance etc.) or in the fields of cultural education, intercultural arts and culture, sub-urban neighbourhood culture and historical education work.

What kind of projects can be funded?

Applicable to the promotion of: choir-groups, theatre and dance, cultural education, inter-cultural art and culture as well as sub-urban neighbourhood cultural activities.

In terms of decision-making on the above stated areas the Kulturamt follows guidelines or eligibility criteria as laid down by the municipal council of the city of Freiburg. It is therefore essentially recommended to first read through these guidelines and eligibility criteria before submitting the application (download at

www.freiburg.de/kulturamt).

When should I submit my application?

Applies to the choir groups, theatre and dance, cultural education and intercultural arts and culture

Budget is made available to the Kulturamt for the award of grants to these areas, which is done with the help of an external jury. There are deadlines for the submission of the applications (see 5.). For all other areas of support applications can be submitted at any time in the year.

I would like to apply for a one-time funding

Basically you can apply for project funding for the year in which your project is to be implemented (one-time funding). The period of implementation for projects with schools can align with the school year which starts in a particular year and extends to the summer of the following year.

I would like to apply for multi-annual funding

Applies to choir-groups, theatre and dance, cultural education, inter-cultural arts and culture as well as sub-urban neighbourhood cultural activities.

In these sectors there is the possibility to receive a multi-annual project funding. Detailed information on multi-annual funding can be found in the respective guidelines and eligibility criteria.

3. From whom can I seek individual advice before applying for a grant?

It is recommended you contact the competent employees in the Department for Cultural Work at the Kulturamt for individual advice prior to the submission of your application.

4. How can I complete the grant application form and what are the additional

documents needed?

What should I note when completing the application?

As a first step, please mark the project/area with a cross at the top of the first page of the application form and indicate whether you wish to apply for a one-time or a multi-annual grant. You can choose only one area per project (i.e. it is not possible to submit a project for several funding schemes). The application can only be further processed when these first steps are taken.

Should you need more space in order to be able to successfully complete your form, no problem with that. The space for texting automatically widens in the form. Attached to the grant application is an appendix which shows a financial plan (an excel file) also to be completed separately. In the case of some projects you may be requested to submit your application in multiple copies (see 5.)

In the case of the areas such as: theatre and dancing, cultural education and intercultural art and culture you need to submit seven copies each. Please do not forget to sign the documents.

How detailed should I describe my project?

In order to avoid creating elaborate information in your application form it is enough to just present a brief content of the project description. You may also want to submit additional information on your project description. But please ensure that it is not longer than two pages.

In addition to the project description of any of the areas such as: cultural education, inter-cultural arts and culture as well as sub-urban neighbourhood cultural activities, you are required to present a basic

conceptual presentation on the aims and objectives of the project, the beneficiaries and project participants involved.

Which additional documents do I have to submit?

The grant application can in principle be accompanied by additional sources of information such as press reviews, highlighting particularly significant concrete examples. CDs and/or pictures or film materials as well as program booklets, flyers etc. are not necessarily required. However, useful information materials like biographies and artistic career history as attachments to the form may be helpful.

How should I submit the application?

Please submit materials in DIN A4 format only and avoid using files or attaching or clipping the papers together.

5. In which sectors/projects are deadlines to be observed?

Theatre and Dance, Cultural Education and Intercultural Art and Culture For these areas an annual call for project proposals for funding is made.

For the coming year 2017 the tender was advertised in the Official local Journal of Freiburg "Amtsblatt" on the 29th of July 2016. The application documents can then be downloaded at: www.freiburg.de/kulturamt The project proposals for the year 2017 must be submitted to Kulturamt latest by the 21st of October 2016. Submission deadline must be strictly complied with. Late applications will not be considered. The

application must be completed in seven separate copies.

In 2016, the planed grant budget Theatre and Dance was about 112.200 Euros, Cultural Education was about 37,000 Euros and for Intercultural Art and Culture about 20,000 Euros. Where necessary, the grant budget for 2017 will even be higher due to specific projects which will be designed for refugees.

Choir Promotion

The deadline for the Choir Promotion for 2017 is the 15th of August 2016.

The application must be completed in eight separate copies (in the case of additional documents like program booklets and reviews only one copy of each can be attached). For each project a separate application form needs to be completed.

Project funding budget for award for the year 2017 is approximately 35,000 Euro. Information about applying for a four-year basic support for the period (2017 – 2020) can be found in the guidelines.
