Software Guide

Universal Access – Desktop

-Polycom Realpresence

This system is regularly undergoing updates; therefore, there may be some variation between this guide and the equipment you are seeing. We appreciate your patience whilst we continue to upgrade the equipment and reflect these changes within this document. Please send your feedback on both the equipment and this guide to [email protected] .

Downloading Polycom Realpresence for Windows .

Staff on campus please contact the Service Desk to assist with your instillation.

Staff off campus please follow the steps below. 1. Go to:

http://support.polycom.com/PolycomService/support/latinamerica/support/video/realpresen ce_desktop/realpresence_desktop.html and download Realpresence Desktop Software available for individual installation.

2. Click ‘Agree’ to comply to the Terms and Conditions. 3. Click ‘Accept Agreement’ of Export Restriction.

4. Click on ‘Run’ or ‘Save To’ to download the installation program.

5. Run the install program. The downloaded install program can be found either on your desktop or in your downloads file if it does.

6. Follow the set-up Wizard.

a. Click OK for English(United States). b. Click Next.

c. Click ‘Accept’ for the terms and conditions and click Next. d. Click Next.

e. Click Install. The wizard will then install the program on your desktop.

f. On the last dialog box, leave the check box checked then click on the ‘Finish’ button. This will start Realpresence to finish configuring the program to the ACU network.

7. Realpresence will start automatically, if this does not happen click on the Polycom Realpresence Icon on your desktop to start the program.

8. Once the program starts, Polycom Desktop you will ask to bypass your Firewall. Please click on

‘Allow Access’.

10. Enter your ACU e-mail address and click ‘Next’.

11. In the server box enter: 203.10.47.136

12. Check ‘Sign in using Network Login Credentials’.

a. If you do not log in using your ACU ACCOUNT to the computer please enter In enter your username: acustaff\username (this is your ACU account).

b. Enter your password: password (this is your ACU account password). 13. Click ‘Sign in’.

14. Click on ‘Yes’ to trust a Server Certificate, if you are asked.

Configuring your headset/camera to participate in calls.

1. Click on the ‘Settings’ icon in the bottom right corner of the window.

2. Click on the ‘Audio Device’ Tab.

3. Select your microphone and speakers. If you do not see any selections here, you may need to connect a headset with microphone. If unsure select Auto, this can be changed during the call using the settings icon.

4. Ensure you have a web camera attached and installed on your computer. 5. Click on the ‘Camera’ tab.

6. Make sure you can see yourself.

7. Click ‘OK’ when finish with your settings.

Joining a Video Conference.

Using a Virtual Meeting Room Number (VMR).

1. Type in the VMR number usually prefixed by an 03, 02 or 61. 2. Click the ‘Call’ button.

Using the Contact Book.

2. Type in the name you wish to find and click ‘Enter‘.

Note: You will only find those names that are available via Polycom including video conference rooms.

3. Click on the Person’s name.

4. A list of devices the client is available on via Polycom will appear on the screen. Click on the

Controlling your Experience within a Call.

At the bottom of the Realpresence window is the Control Bar. This bar gives you a number of options that allow you to control your experience. Below is a list of what each icon does:

- Hide/show self-view from the layout

- Turn your camera on/off

- Mute/Unmute your microphone

- Mute/Unmute your speakers

- Lower and Raise the volume

- Chat with other clients via IM (Instant Message) while in a conference

- Share content

- Dialling Keypad

- Control your camera or that on the far end (if allowable)

- Settings allows you to change your video, microphone and speakers inputs while in a call

- Change to Full screen.

Share your Content.

1. Click on the ‘Share Content’ Button while in a call.

2. Click on ‘Share Monitor’ to show your whole desktop or select an open application to show.

3. A bar will appear on top of the screen or document that is shared.

4. To stop sending content, click ‘Stop’.

Note: When sharing videos from websites please send a link to the webpage via the chat, as you cannot hear the sound.

Chat with users – New Feature.

You can chat with other Realpresence users while in a call by using to IM icon. 1. Click on.

2. Search for a contact. 3. Click on the contacts name.

4. Type in the message you wish to send and click on Send Message.
