Payment & travel conditions

GENERAL CONDITIONS

These general conditions apply to agreements concluded by you personally, or via a proxy, and Siljan Turism AB via Visit Dalarna AB (VDAB) in accordance with the provisions in the confirmation. This agreement may apply to accommodation, transport, the purchase of other goods and services or any combination of these.

Who is responsible?

Visit Dalarna AB, arrangements. Special conditions may be applicable in regard to travel with scheduled means of transport. The booking agent is responsible for ensuring that you are involved in the compilation of the reservation, and that you are in possession the necessary travel documents and are

informed on all significant changes that may affect your reservation. In the event that products are booked by a retailer, it is incumbent on the latter to ensure that the tour operator’s conditions and payment terms are observed by their client.

When is my reservation considered to be binding?

The reservation becomes applicable for both VDAB and you as soon as VDAB confirms the reservation and that you have paid the agreed booking fee (or full amount for the reservation) within the given period.

How much, when and whom shall I pay?

You shall pay the published price for the booking, plus or minus any changes in taxes or travel costs that may have been levied after publication. The time of payment and the recipient appear in the Special Conditions.

What happens if I do not pay on time?

In the event that you have paid a booking fee (paid when reservation was made), ONE reminder for final settlement shall be sent. The reservation shall be cancelled if the full settlement has not been deposited with VDAB within the final date given on the reminder. Failure of punctual payment shall be considered as a cancellation, whereupon the regulations concerning cancellations shall apply.

What becomes applicable if I wish to cancel my reservation?

You may either cancel your reservation with Siljan Turism orally on phone: +46 (0)248-79 72 00 or in writing by e-mail to: valid once you have received a written confirmation from Siljan Turism. Where other cancellation possibilities exist, these shall appear under the Special Conditions below. Cancellation invokes a fee as per the Special Conditions. NB: Changes to the date of arrival or departure are considered as a cancellation.

What becomes applicable if I only wish to change something?

In the event that the possibility exists to change portions of the reservation, the appurtenant fees appear under Special Conditions. N.B.: Changes to the date of arrival or departure are considered as a cancellation; however, this is not the case in the event of extending the existing reservation.

What if something happens to me?

You indemnify yourself against cancellation expenses by purchasing cancellation protection cover. The rates appear under Special Conditions. The fees for cancellation protection cover,

changes in reservation as well as the booking fee are non-refundable. In certain cases with cancellation protection cover, you may cancel up until the day before arrival, later cancellation invokes the full fee. A service charge of SEK 200 will be added to bookings over SEK 5000. Cancellation protection cover applies to the following events:

A. Death, illness or serious accident that has befallen yourself, spouse, partner, your parents, children, siblings or fellow traveller.

B. Mobilisation in armed forces or civil defence.

C. The occasion of some serious event beyond your control, e.g. extensive fire or flooding at your residence that precludes any reasonable expectation that you should honour your reservation. You must be able to justify any claim of hindrance by a document from your doctor, local authority or insurance company. Any documents arriving later than 7 days of the date of cancellation shall not be considered.

What happens if something goes wrong?

In the event that the entire or part of your reservation cannot be delivered as per the

confirmation of reservation and if no alternative arrangement, e.g. a hotel or cabin in the same class whose difference from your original booking you consider insignificant, you have the right to cancel. You shall then be refunded all that you have paid, minus the value of those portions of the reservation that you may have already used. In the event of a complaint, you must forward this to us within 3 days of your date of arrival. Any faults that arise during your stay must be reported immediately. This must initially be addressed to your hotel or cabin caretaker. You relinquish any right to subsequent compensation if you fail to seek remedy from the hotel / caretaker, thus negating them the opportunity to rectify any possible defects during your period of stay. In the event that you still remain dissatisfied with the compensation / reimbursement offered, you are to forward any written complaint within 60 days of the date of departure, at the latest.

What happens if the tour operator and I fail to reach a settlement?

Address any possible complaint directly to us, and if you fail to reach a settlement, you may then direct it to the National Board of Consumer Complaints. This consists of an independent chairperson and representatives of tour operators and consumers. The Board’s address is: Box 174, 101 23 Stockholm.

As tour operator, we are obliged to ensure that:

• You receive a written confirmation of your booking.

• You receive early notification of events and sundry information.

• Services that have been purchased accord with their description. We are not liable for undertakings made directly to you by the owner or their contact person in the absence of our prior knowledge. (You are to request a written and signed undertaking from the owner or their contact person for anything that you have agreed upon that falls beyond the remit of the tour operator’s agreement).

• You are informed about any significant changes that affect your reservation. • You have access to the room / cabin / apartment from the time provided on your

confirmation of reservation.

• We are to be addressed in the event that you are wholly or partly dissatisfied with your reservation.

What are my obligations?

• You are responsible for checking the confirmation of reservation as soon as it is received. Any possible errors must be reported immediately. Undertakings of significant

importance to you made by the booking staff should be noted in the travel documents in order to enable subsequent referral.

• You must abide by regulations, instructions and stipulations applicable to the room / cabin / apartment, means of transport etc. You are liable for any damage that occurs to the property and its fixtures, through your negligence or that of somebody in your group. You may not use the room / cabin / apartment for any purpose other than that agreed upon when booking (normally leisure purposes), and you may not allow more people than you had declared upon booking to stay overnight in the room / cabin / apartment or grounds. All persons shall be declared upon booking, and we assume that at most 1 child under the age of 2 is not the sole occupant of a bed, unless otherwise specified. • If grievances concerning disorderly behaviour are directed to the lessor, the latter has the

right to promptly expel guests who do not immediately comply after the complaint has been laid. The same regulation is also applicable when it appears that there are more people than the number specified for the accommodation in question. In such an event, there shall be no reimbursement for the remainder of the rental period, and conversely it is you as the guest who is liable to compensate the lessor for expenses incurred by the aforementioned.

• If you have any grievances concerning the accommodation, you are initially to address these to the caretaker so that uncertainties may be remedied during your stay.

• You should declare whether you suffer from any type of allergy upon booking in order for us to be able to find suitable accommodation for you.

• You are to clean up before departure unless another arrangement has been made. A minimum of SEK 1000 shall be debited for failure to clean up.

• We reserve the right to any legal or price modifications that are beyond our control. Other matters (not applicable to hotels)

The current checking-in and out times are stated in the confirmation. Unless otherwise specified in the confirmation, the accommodation rates do not include cleaning, bed-linen, towels, baby’s cots/chairs, toilet paper etc. Remember to bring these for your stay!

Data Protection Act

By paying, you are consenting to VDAB handling your personal data. The purpose of this is to facilitate routine guest administration and to ensure that VDAB has access to reliable personal documentation in the event of an accident, and to fulfil the cancellation protection cover as well as the administration and management of any possible damage. The data may also be used to provide information concerning insurance and financing services as well as travel related offers. Guests may even be contacted by market research surveys. Online booking customer receives email confirmation, and after leaving a follow-up email with questions. Guest comments and responses are very helpful for us. Answers to questions is shown in percentage on our site and

become a tool for other travelers at their choice of lodging. Your comments may be published

anonymously on the web or in print. As a guest, you can at any time choose to opt out of mailings by post and unsubscribe from the newsletter, this should be done in writing to VDAB.

SPECIAL CONDITIONS

Publisher and tour operator: Visit Dalarna AB Minimum age for booking

You must be at least 18 years old in order to book / enter into a contract with us. At least two people must be 18 years of age in accommodation for a large group, and where no higher age limit has been stipulated in the establishment’s literature. Proof of identity occurs upon arrival, and age limit compliance is a requirement for admission to the accommodation.

Admission fee and final settlement

• For reservations that are booked prior to 40 days before arrival, an admission fee (part-payment) of 10% of the price of the reservation shall be promptly remitted to VDAB. • For reservations that are booked 40 days or sooner of the date of arrival, full settlement is

to be made promptly to VDAB.

• You will not receive a confirmation that payment has reach us, but you can via "My

your payment status is.

Cancellation Protection Cover

This may only be purchased upon booking. Cancellation protection cover is valid for all persons named during the booking. Cancellation protection cover is only valid when accompanied by a doctor’s certificate. In the event that the client chooses to make use of cancellation protection cover, then all persons are simultaneously cancelled. No partial reimbursements may occur if others wish to take advantage of the travel offer.

SEK 300 per booking.

Fees for cancellation protection cover, changes, invoicing and booking fee is non-refundable if canceled and a fee of SEK 200 will be added to bookings over SEK 5000.

Cancellation fees (When no cancellation Protection Cover is purchased or valid) for hotel/B&B/Youth hostel/pensions

21 days or earlier before arrival: 10% of the price of reservation. 20- 8 days prior to arrival: 25% of the price of reservation 7- 2 days prior to arrival: 50% of the price of reservation 1-0 days prior to arrival: 100% of the price of reservation

Fees for cancellation protection cover, changes, invoicing as well as booking fees are non-refundable.

Special rules for event packages and major holidays.

Cancellation fees (When no cancellation Protection Cover is purchased or valid) for cottages, room/apartment, camping and holiday villages

21 days or earlier before arrival: 10% of the price of reservation. 20- 8 days prior to arrival: 25% of the price of reservation 7- 0 days prior to arrival: 100% of the price of reservation

Fees for cancellation protection cover, changes, invoicing as well as booking fees are non-refundable.

Cancellation fees for specific accommodation associated with Vasaloppet,

21 days or earlier before arrival: 10% of the price of reservation. 20-0 days prior to arrival: 100% of the price of the reservation.

Cancellation fees for package holidays incl. accommodation and activity

For accommodation in cottage/cottage village in a package, see ordinary cancellation fees. 30 days or earlier before arrival: 10% of the price of reservation.

29-15 days prior to arrival: 15% of the price of reservation 14-2 days prior to arrival: 50% of the price of reservation 1-0 days prior to arrival: 100% of the price of reservation

Fees for cancellation protection cover, changes, invoicing as well as booking fees are non-refundable.

Event ticket in package is not refunded 30 days or less before arrival.

Change fees

SEK 150 per booking and occasion. Note that changes to the date of arrival or departure are considered as a cancellation; however, this is not the case in the event of extending the existing reservation. Supplementary fees for changes to tour tickets may be levied in addition to this fee. Conditions for transfer

Transfer for accommodation and events may occur before the date of departure; and where the transporter’s conditions allow, the transfer of transportation tickets must occur with the

transporter’s knowledge of the individuals involved. Booking fee

We levy a booking fee of SEK 100 for bookings made via a call centre. Invoicing fee

We levy an invoicing fee of SEK 75. Invoiced payments may only occur for bookings made via a call centre.

Tickets for events

Prompt payment is required for booking tickets for events. A ticket that has been purchased may not be exchanged or bought back.

Force Majeure

In the event that a trip may not be realised because of conditions beyond the tour operator’s control, and where the tour operator could not reasonably have been expected to predict when the agreement had been concluded, and whose consequences could not reasonably have been avoided or overcome, this indemnifies the tour operator against any liability to compensation or other consequences. The same applies even if the journey is cancelled because of someone in the tour operator’s employ or a factor that had arisen at an earlier stage. We reserve the right to any legal or price modifications that are beyond our control.
