Workers Compensation & Injury

Management Coordinator

This position description should be read in conjunction with the Mission's Policy and Procedures, Chart of Delegations, Organisation Chart and appropriate standards and

regulations which are applicable to the operations.

1.

Responsibilities

Workers

Compensation & Injury Management Coordinator

Provide pro-active risk management, workers compensation and injury management support to Wesley Mission.

 Implement the risk management system across Wesley Mission

 provide information relating to Workers Compensation and Injury Management to increase the awareness throughout the Mission’s Management and staff

 assist in minimising the costs of Workers Compensation to the Mission, through effective claims management and Injury Management strategies

 ensure the Workers Compensation and Injury Management System meets Wesley Mission’s legislative requirements

 facilitate Wesley Mission’s compliance with relevant legislation in the areas of WHS, Risk Management, Worker’s Compensation and Injury Management

 monitor from an administrative perspective, Workers Compensation Claims Costs, all time lost and Wage Reimbursement Schedules as per procedures and processes

 promote Wesley Mission’s Workers Compensation Claims and Injury Management System across Wesley Mission

 act as internal advisor / facilitator to Executive Managers for the development of Risk Management Plans and strategic Workers Compensation and Injury Management strategies

 in consultation with the WHS & Workers Compensation Specialist, facilitate and assist Executive Managers, Centre Managers & Program Supervisors with compliance to WHS, Risk Management programmes and targeted intervention programmes, Workers Compensation Claims Management and Return to Work Plans Incident

Investigations and Analysis

Implement and report on the outcomes of Wesley Mission’s incident investigation process.

 conduct incident investigations for all staff-related compensable incidents to identify root cause(s) and systems failures

 compile reports with recommendations, to prevent similar incidents occurring in the future

 conduct other investigations as requested by WHS & Workers Compensation Specialist

 report on findings and outcome of incident investigations at scheduled WHS Team meetings

Risk Management Ensure risk assessments, task analysis and workplace inspections are conducted in accordance with Wesley Mission’s Risk

Management Procedure

 implement Risk Management procedure, applying the four principles: Hazard Identification, Risk Assessment, Risk Elimination or Control, and Monitor and Review improvements where applicable

 conduct risk assessments, task analysis and workplace inspections at the centre/site where a risk or hazard has been identified, or as requested by the WHS & Workers Compensation Specialist, working with the relevant centre manager, staff and health and safety representatives

 conduct risk assessment workshops with portfolio/ centre where requested. This workshop has to be conducted in consultation with Centre Manager, relevant staff and health and safety representative.

 compile reports with recommendations on completed risk assessments in a timely manner

 report on risk assessments, task analysis and workplace inspections findings and outcomes at scheduled WHS Team meetings

Workers

Compensation & Injury Management

Apply Wesley Mission’s Workers Compensation and Injury Management system and legislative requirements to ensure compliance as well as to minimise the cost of premium-impacting claims to Wesley Mission.

 ensure the administrative activities of the Workers Compensation & Injury Management processes are operated effectively and efficiently, to provide a quality service to our internal and external clients

 undertake the duties of a Return to Work Coordinator as per NSW Legislative requirements for workers compensation claims, Return to Work Coordinators Training and in line with the insurer’s injury management plan to minimise cost of claims

 in relation to Wesley Mission’s Workers Compensation Management System, coordinate all claims management activities, liaise with the WHS & Workers Compensation Specialist, WHS&IM Administrator, Centre Managers, staff, and Insurance Company to maintain accurate and up to date files and effectively manage claims

 advise management and employees on their responsibilities and rights, regarding Workers Compensation legislative requirements, and Wesley Mission’s Workers Compensation procedures and processes

 streamline existing workers compensation claims management processes to improve efficiency within the WHS&IM Team

 maintain records, prepare monthly reports regarding claims costs, financial impact and trends or as requested for general managers and executive managers through Allianz Workbench and WHS

Database

 review, develop and implement case management plans and strategies for all workers compensation claims to minimise the cost of claims to Wesley Mission

 report on case manageemt plans and claims to the scheduled WHS Team meetings

 develop implement, monitor and review individual Workers Compensation Case management plans, workplace assessments, file notes and case reviews for all workers compensation claims in line with internal procedures and the insurer’s injury management plan to minimise cost of claims

 document and maintain all case/file notes in individual workers compensation claim files after visits, meetings, case conferences and phone calls

 maintain all workers compensation hard copy and electronic files to ensure all relevant documentation is up to date, in compliance with procedures, legislative and audit requirements

 conduct quarterly claims and injury management reviews and oversee relationships with Wesley Mission’s workers compensation insurer and rehabilitation providers to ensure compliance to

legislative requirements and service delivery

 prepare case management notes for, and attend, quarterly claims reviews with Wesley Mission’s workers compensation insurer and the Uniting Church

 ensure all workers compensation files are up to date with all relevant documentation every fortnight for the purpose of verification of the workers compensation and injury management timesheet process

 comply with Wesley Mission’s procedures for the processing and checking of the Workers Compensation and Return to Work Timesheets and Timesheet Log

 maintain records of employee absences on Workers Compensation and notify payroll department when an employee returns to work, on either normal duties or a Return to Work Program

 ensure Allianz, Wesley Mission’s Workers Compensation Insurer is notified in writing when an injured employee returns to work on pre-injury duties or permanently modified duties

 Monitor Allianz performance in line with the Uniting Church Service Agreement

 ensure compliance to Wage Reimbursement Agreement between Wesley Mission and with Allianz’s

 regularly report to the WHS & Workers Compensation Specialist and advise on matters relating to the operation of the Service and accept direction from the Manager WHS and/or Executive Manager, Human Resource Services as a representative of the Management

 assist in the implementation of improvements in line with legislative requirements and industry best practice

 keep abreast of any changes to legislation and update policy or procedures as required

 ensure effective implementation of injury management strategies for Wesley Mission employees, including development, implementation and monitoring of return to work plans in accordance with legislative requirements and workers compensation case plans

 monitor, review and report progress of all workers compensation cases against planned outcomes and time frames to the WHS & Workers Compensation Specialist on a fortnightly basis.

 develop and implement remedial actions for cases to meet agreed outcomes

 provide reports on workers compensation claims and injury management performance in accordance with Wesley Mission key performance indicators

 develop and implement strategies to resolve Workers Compensation disputes in a timely and cost-effective manner, in consultation with the WHS & Workers Compensation Specialist, insurance company, solicitors, rehabilitation providers, medical specialists, WorkCover NSW and the NSW Workers Compensation Commission

 compile management and statistical reports on Workers

Compensation and Injury Management performance for inclusion in Wesley Mission Board, sub committees of Wesley Mission Board and departmental general managers’ reports

 maintain cooperative and open relationships with Wesley Mission’s workers compensation insurer, solicitors and rehabilitation providers

 monitor the performance of Wesley Mission’s workers compensation insurer against agreed business performance standards (Uniting Church Service Agreement), injury management plans, and individual case management strategies

 provide reports to the WHS & Workers Compensation Specialist as directed

Training

 Develop WHS, Workers Compensation and Injury Management Training packages

 review and conduct WHS, Workers Compensation & Injury Management, Risk Management and other relevant training programs in consultation with the WHS & Workers Compensation Specialist and Manager WHS

 Conduct Wesley Mission’s Orientation Program

 update training packages to meet new legislative requirements in consultation with the WHS & Workers Compensation Specialist and Manager WHS

General

 travel throughout New South Wales (including some overnight stays) as and when required, to meet the functional and operational

requirements of the Workers Compensation & Injury Management Coordinator’s role

 drive an assigned Wesley Mission vehicle to carry out the role and functions of the Workers Compensation & Injury Management Coordinator

 attend Human Resources Team Meetings as and when required

 attend WHS&IM Team meetings as scheduled or when required

 as an employee, be responsible under the Work Health and Safety Act 2011 for the health and safety of all persons they come into contact with, during employment. All hazards and injuries must be reported through the normal process as set out in Wesley Mission’s Work, Health & Safety, Workers Compensation and Injury

Management Quality Management System.

 promote the understanding and application of Equal Employment Opportunity. Affirmative action and ensure that all requirements of the Work Health & Safety Act 2011 are met.

 in relation to Wesley Mission and the Uniting Church in Australia, attend such functions, meetings, seminars, training courses as directed by your Supervisor

 in relation to Wesley Mission attend worship services as encouraged by your Supervisor

 apply the responsibilities of the Workers Compensation and Injury Management Act of 1998 and the Workers Compensation Act of 1987

 to participate in the review and maintenance of industry specific and ISO 9001 standards, as per Wesley Mission’s Integrated

Management System

 to participate in the Mission’s Orientation program, so as to gain an understanding of the application of the Equal Employment

Opportunity Affirmative Action, Privacy Act , Work, Health & Safety Act and other relevant legislation

 As directed by the WHS & Workers Compensation Specialist, perform other duties not inconsistent with the functions and role of the WC & IM Coordinator

 the WHS & Workers Compensation Specialist for the delivery of Workers Compensation and Injury Management System, procedures, processes and strategies

 Other Wesley Mission staff, e.g. General Managers, Executive Managers, Centre Managers, Program Supervisors.

 Outside Wesley Mission, including Uniting Church staff, government departments, Insurers, solicitors, rehabilitation providers, medical practitioners, industry

organisations, and key stake holders.

 To network with external and internal peer groups, to remain aware of current trends in the field.

Selection Criteria

4.1 Qualifications

 Tertiary qualification in Work, Health & Safety or related discipline

 WorkCover Accredited Return to Work Coordinator

 WorkCover Accredited HSR Trainer

 Certificate IV in Training and Assessment (TAE)

4.2 Skills

 Demonstrated technical skills in Workers Compensation and Injury Management.

 Experience in premium forecasting and claim estimations

 Ability to compile statistical data and analysis of trends.

 Capacity to conduct incident investigation, task analyisis, risk assessments, and Work, Health & Safety & Injury Management training.

 Report writing skills

 Interpersonal skills, negotiation skills

 Effective communication skills

4.3 Experience

 Minimum of five years experience in Workers Compensation & Injury Management and Work, Health and Safety
