The Booking Process
I-ACT Booking allows shippers and freight forwarders to create booking requests. Carriers can respond to a booking request by confirming or declining the request. Following a carrier confirmation, a booking request can be
amended. A booking may go through several confirmation and amendment cycles. At any time, unless a booking has been declined, booking requests can be cancelled.
After a carrier declines or the booking party cancels the booking request, no further actions are allowed. Note that the booking party can cancel a booking at any time, unless it has been declined by the carrier.
I-ACT Booking General Conventions
The table below describes the general conventions used on the various pages of I-ACT Booking. Convention Description
Top right corner of the page. Displays your company and your name in the top right corner of the page.
Some sections of the Booking - Request page can be expanded to reveal additional fields. To do so, click the + Show Details button that appears in the lower right corner of the section.
After you have expanded a section on the Booking – Request page, you can click – Hide Details to collapse the section.
Convention Description
* (next to a field label) Indicates a required field.
(next to a field label) Indicates recommended fields. Roll over the icon to display hint text.
(next to a field label) Indicates hint text is available for that field. Roll over the icon to display the hint text. Date format Dates are entered in the DD-MMM-YYYY format. You can enter dates manually or use the
calendar tool.
Decimals Decimals are indicated using a period. Commas cannot be used to indicate a decimal point. For example, 100.1 is valid, but 100,1 is not valid.
Auto-suggest lookup Some fields (primarily location fields) employ an auto-suggest tool that allows you to easily make a selection.
For location fields, after you type three or more letters (of either the city name or the UN Code for that location), you can choose from a list of matching items.
Auto-suggest fields are identified by a small orange triangle in the lower left corner of the field.
In addition to location fields, auto-suggest is also employed by the Container Type and Package Type fields.
Add/Remove (+ - ) buttons For some parts of the Booking Request form, you can click a + or a – button to either add or remove line items. For example, in the Container section, you can click + to add a new row that allows you to enter a new container type and count. To remove a container type/count, you would click the – button.
Error Handling If I-ACT Booking finds errors on your booking, the Booking Request page appears with a corresponding error message displayed just above the General section of the booking form. A red X appears next to any field that need to be corrected.

Creating Bookings
Creating a Standard BookingTo create a standard booking request, you need to provide, at a minimum, the following required fields: Carrier
Place of Receipt and Place of Delivery Move Type
Port of Load and Port of Discharge (unless the Move Type is "Door to Door") ETD (Departure Date) or ETA (Arrival Date) or Vessel and Voyage
Cargo Description
Number and Types of Containers
POL/POD requirement. The Port of Load and Port of Discharge are required whenever the move type is anything except Door to Door. Including a Port of Load and Port of Discharge is strongly recommended for all bookings. Correcting Errors. If errors are found when you submit a booking, the Booking – Request page appears displaying error messages (at the top of the page). The page also displays a red X next to the fields in error. Correct the booking data as needed and resubmit.
INTTRA Reference Number. A booking transaction is successfully processed upon receipt of an INTTRA Reference Number. If your booking qualifies, you will receive a Rapid Reservation number upon submission. The number is indicated as the Carrier Booking Number.
Selecting a Carrier
Field Definition
Field M/O Type Maximum Length
Carrier M Dropdown The dropdown lists the carriers partnered with the booking party on the INTTRA network.
Using Carrier Provided Booking Numbers
There are two types of booking numbers carriers may provide for your use when submitting a booking request: (1) Shipper-Managed Booking Numbers or (2) Rapid Reservation Numbers.
Shipper-Managed Booking Numbers
If you are using Shipper-Managed Booking Numbers (SMBN), your carrier has provided you a series of booking numbers for you to assign to your bookings. When you are creating a booking, you can supply this number in the Carrier Booking Number field, located in the General section of the Booking – Request page.
To use SMBN, you must be assigned to the Platinum Booking role. If you are not authorized, the Carrier Booking Number field is disabled. To obtain authorization, please contact INTTRA Customer Service
(http://www.inttra.com/customer_service).
Dynamic Rapid Reservation Numbers
Some carriers provide "Dynamic Rapid Reservation Numbers" for some of their bookings, depending on the country, region, or customer. The rapid reservation numbers are provided by carriers through INTTRA and applied to booking transactions based on pre-defined criteria set by the carrier.
If your booking qualifies for a rapid reservation number, your booking transaction is automatically assigned a booking number upon submission. Once confirmed by the carrier, the rapid reservation number becomes the carrier booking number and is returned in the booking confirmation.
Note: INTTRA issues rapid reservation numbers as temporary confirmation, for documentation purposes only. The carrier will send an actual confirmation through normal channels and will be available via I-ACT or email.
Adding Parties to a Booking
Party information can be supplied in 2 ways: (1) Using the My Partners lookup or (2) Entering party information in free format text.
Shipper or Forwarder required. Either the Shipper Name or the Forwarder Name is required for a booking. When a Shipper Name or a Forwarder Name has been entered, at least one of them must be an INTTRA registered company.
My Partners. The "My Partners" lookup displays your business partners that are registered at INTTRA.
When they are registered at INTTRA and included in a booking request, your partners will have access to status updates for the booking (including amendments, cancellation, confirmation, or declination). Additionally, if they are subscribed to I-ACT Track & Trace, they will also have access to container status events.
If you have business partners that are not registered at INTTRA, we recommend that they be registered. To register new partners and partner them with you, please contact INTTRA Customer Service.
I-ACT Booking only recognizes a registered company when you use the My Partners lookup tool to enter that company. If you manually enter the company name, I-ACT Booking will not recognize it as a registered company. Removing a party. To remove a party you have entered, use the Clear link, which appears next to the My Partners icon.
My Role. This option allows you to indicate your role in the booking. Typically, this will apply to shippers and freight forwarders. You must indicate your role accordingly – checking a particular party type automatically inserts your company information into the Shipper Name, Forwarder Name, Contract Party Name, or Consignee Name fields.
Designating My Role for a particular party type will make you the booking party in the booking request. Note that the booking party is not shown on the I-ACT Booking but it is sent to the carrier.
Add Contact. Contact information such as Contact Name, Phone Number, Fax Number, and Email can be optionally supplied for any party in the booking.

You cannot cancel a booking that is in a Cancelled, Declined, or Replaced state.
If you’ve placed a booking via Desktop or Booking Link, you may choose to cancel the transaction via I-ACT Booking.
Using Templates
You can quickly create a large number of similar bookings either by (1) Creating and using templates or (2) Reusing bookings.
Using Booking Templates to Create a Large Number of Similar Bookings
Templates are useful if you create a large number of bookings that are very similar. You can create templates to save all of the common information that is repeated for each specific type of booking that you create. You can then use the templates as a basis for new bookings, thereby eliminating the need to re-key common details.
There are two types of templates:
My Templates: These are the templates that you have created.
Company Templates: These are the templates created by any user within your company. Note that templates that you create are visible to users at your company who choose to view "Company Templates".
When you display templates, you can choose to display all of your company’s templates or just your own templates.
Creating a Booking Based on a Template
You can create a booking based on a template. You can use one of your own templates or any template created by users in your company. To do so, use the Templates search to display your templates, click the template name, modify the details as needed, and then submit your new booking.

Deleting A Template. You can delete one or more of your templates.
Reusing Bookings
Reusing a Booking
In many instances, you may want to request a booking that contains much of the information that had already been entered in a prior booking. Rather than re‐enter the same information each time, you can simply use the
Reuse feature.
Where is the Reuse feature available? The Reuse feature is available on the following pages: Successful
Notification (appears when you complete a booking), Booking Cancelled Successfully (appears after you cancel a booking), Booking Search Results, Booking View.
Only partners are carried over. If the carrier or any of the parties from the original booking are not registered at INTTRA as your business partners, they are not carried over to the new booking.
Verify all pop-up details. When reusing a booking, make sure that all of the information found the various pop-up windows on the booking form are correct for your new booking. For example:
Reefer details. If you are reusing a reefer booking to create a standard booking (that is, a non-reefer booking), make sure that you reset the reefer values.
Out-of-Gauge details. If you are reusing an out-of-gauge booking to create a standard booking (that is, a non-out-of-gauge booking), make sure that you reset the out-of-gauge values.

Haulage details. If you are reusing a door to door booking to create a port to port booking, make sure that you clear the haulage settings.
Party Contact Details. If you change any of the parties on the booking, make sure that you update the Add Contact details.
