Voice Broadcast “Opt Out Feature”
Amendments to the "Telemarketing Sales Rule" require new compliance measures for sales and telemarketing broadcasts as of December 1st, 2008. To assist you in complying with the law,
Ifbyphone has a built-in opt out feature that allows you to have people press 9 to opt-out of your calling list. Pressing 9 during a broadcast will flag the recipient’s phone number so that if you upload their number again it will be highlighted in the call list in your account and you will be given the option to delete all opted-out numbers. Additionally, Ifbyphone phone numbers can be configured so that people can opt out of your call lists by making an inbound call after having received your message on their answering machine or voice mail.
STEP 1 – Log in to your Ifbyphone account and select Voice Broadcasts from the
Services menu bar. Select to Schedule a new Voice Broadcast.
STEP 3 – Configure a Basic Audio Dialog on the Basic Audio Dialog – Options
page
- Basic Audio Dialog Name: Give the Dialog a name.
- Type of Message (for live person): Select to upload a WAV file or record an audio
message now. If you record an audio message now, after you click save you will be taken to a screen where you will be prompted for your phone number. Ifbyphone will call you to record your audio message(s).
- Option to Transfer: If you check this box, you will be asked to enter in a phone number. When a recipient of your broadcast presses any key except 9, they will be transferred to this number.
- Different Answering Machine Message: Check this box to use a different message if your
broadcast reaches a live person versus an answering machine. Because you are using the Opt Out Feature, you will most likely want to do this so that you can provide answering machines with a phone number people can call back on to opt out of your calling list. That way, people who answer your calls live and those who get a message on their machines will have the ability to opt out of your future broadcasts if they choose.
Via Built-In Message:will play a pre-recorded message that says “If you wish to opt-out of receiving future voice broadcasts from this company, press 9 at any time during this call.” This will be played at the beginning of a message, before your own recorded message. If you select this, a field titled “Manual Opt Out Number” appears, letting you select one of your registered numbers to be included in answering machine messages which tell people they may call this number to opt out. To add additional numbers to the Ifbyphone system, select Registered Numbers from the Tools menu bar.
Via Your Broadcast Message: enables the Opt Out Feature but requires that you include messaging in your own recordings to let people know about it (call recipients may press 9 to opt out of your list). Note that you should create a unique message for
answering machines which includes a phone number that someone can call back to opt out of your list. Ifbyphone provides a service via Phone Routing and the Virtual
Receptionist to help you manage incoming opt out calls. See below for more information on using the Opt Out Feature via inbound calls.
- Click Save to record your audio messages, load your call list, and schedule your Voice Broadcast. For help with these processes, please see the Voice Broadcast Guide, which can be found on the Tutorials and User Guides page.
STEP 4 – Configure the Opt Out Feature for inbound calls
To help you manage your opt out lists even if your messages do not reach a live person, Ifbyphone has enhanced both the Phone Routing and Virtual Receptionist tools to work with the Opt Out Feature. When someone calls into a phone number that has been configured to handle opt out callers, these numbers will be added to your account’s opt out list and will be highlighted (with the option to delete) anytime you attempt to add them to a Voice Broadcast call list.
To configure the Opt Out Feature for inbound calls via Phone Routing, select Phone Routing via the Tools menu bar. Then Select to configure the number you wish to use for the Opt Out Feature.
On the Phone Routing page:
- Select a schedule if you wish to use one. If not, leave it to say “No Schedule.”
- In the drop down box where you are asked to select where your phone number should route, select “Voice Broadcast Opt Out.”
STEP 6 – Opt Out Feature via the Virtual Receptionist
To configure the Opt Out Feature for inbound calls via the Virtual Receptionist, select Virtual
Receptionist from the Services menu bar. Then select to create a new menu or edit an existing menu.

To allow someone to opt out of a Voice Broadcast call list, click “Add a New Menu Option.-
On the Virtual Receptionist – Edit/Add Menu Item page:Menu Item Tag (voice command): Call this menu option “Opt Out.” (A caller may either say “opt out” or press the keypad number you enter below to opt out of a list).
Keypad Number: Input which keypad number you want someone to press to opt out
Hidden Menu Option: Checking this box makes this menu option invisible to those who do not already know about it; the system will not read this option to the general public. Because you are using the Voice Broadcast Opt Out feature, you should not check this box.
Action: Select Voice Broadcast Opt Out
Click Save. Your Virtual Receptionist is now configured so that one of the menu options allows callers to opt out of Voice Broadcast call lists.
