The Remote Indexing Assistant (RIA) application provides a web folder/file based indexing interface that allows remote users to participate in the processing of documents generated by an EzeScan workflow. Simply scan your documents with EzeScan and send those documents to the EWA Web Server. When new files are detected the EWA Server sends automated email notifications to the workflow users. They simply click on the secure URL link in the notification email, view the documents in their web browser, add/modify any metadata and then submit each document to the next stage of processing. The processed files with updated metadata can then be picked up by EzeScan Server or EzeScan PRO and automatically uploaded to a supported EDRM system.

With EzeScan’s Barcode Coversheet Generator (BCG) application anyone in your organisation can generate a barcode coversheet with metadata that enables them to scan a document from your MFD’s directly to the desired location (network/supported EDRMS), in the required output format (e.g. TIF, PDF, JPG), with the correct metadata. Users need only specify a project number, identify a person, select document type to print the barcode coversheet they need to scan and file documents effortlessly. Information and Record Managers can configure unique lookup databases or utilise existing databases for users to select the desired information. Additional custom fields can be configured for users to type additional information such as file name or comments or select a value from a pull-down menu.

The EzeScan File Upload Assistant (FUA) application enables anyone in your organisation to select and upload electronic files from a computer or mobile device to the desired location (network/supported EDRMS) with the correct metadata. Information and Record Managers can configure unique lookup databases or utilise existing databases for users to select the desired information required to file their electronic documents. As with the Barcode Coversheet Generator additional custom fields can be configured for users to input custom values via the applications web forms interface.

The EzeScan File Approvals Assistant (FAA) provides a web based approval/validation processing interface for documents such as invoices requiring approval for payment. Users receiving email notification of documents requiring attention can review documents in a standard browser on any device (including smart phones or tablets), validate, add or change metadata. Now users outside of traditional records environments can assist in document processing workflows requiring specific input.

Each of these applications are delivered via the EzeScan Web App Server to your favourite web browser enabling them to be run from PC’s, Apple Mac’s and mobile devices like tablets and smart phones.

Depending on your invoice volumes and the level of automation you require, EzeScan can be deployed as a Workstation solution, Server solution or a combination of both. EzeScan Email Record Capture (ERC)

EzeScan Email Record Capture (ERC) is an optional EzeScan module which can be added to both desktop and server configurations for operator assisted or automated email capture workflows. Unlike other email capture products ERC addresses the needs of Records Professionals by providing batch processing and power indexing capabilities with seamless integration to all EzeScan supported EDRM systems.

ERC Desktop Solutions

As a desktop solution an operator can import email in batches or process selected emails one at a time. A quick view feature assists in the selection of emails. EzeScan’s power indexing wizard guides an operator through the registration process. In many cases the email header data can be used to automatically register an email. For more detailed indexing requirements additional data can be captured via zonal OCR or use of the OCR pen. Perform database lookups on the fly or select field data via drop down menus. Define and reuse static metadata to limit the number of keystrokes or eliminate them altogether to deliver impressive productivity gains. Output the email record either in its native eml format, preserving the integrity of header data and file attachment or optionally render the email as a PDF/A text searchable file, combining both header data and supported attachment formats.

ERC Server Solutions

Automatically register emails as a record using the ERC module with EzeScan Server. Email header data can be used to register an email automatically. For example the subject line might contain a reference number that corresponds to a filing location in your EDRMS. Output the email record either in its native eml format, preserving the integrity of header data and file attachment or optionally render the email as a PDF/A text searchable file, combining both header data and supported attachment formats. Process large volumes of email as records without operator intervention at speeds previously unattainable.

Native Output vs Rendered Output

When processing emails as a record (preferred option by Records Professionals) the attachments are kept within the eml file in their original native formats. Whereas when selecting ‘output as a rendered PDF’ each supported

attachment type (.doc, .docx, .xls, .xlsx, .ppt, .pptx, .txt, .bmp, .gif, .png, .tif, .jpg, .pdf) is appended to the PDF. This PDF contains the rendered email header page followed by the rendered attachment pages.

Deployment & Licensing

Flexible deployment and licensing options are available to suit your needs. The ERC module can be added to an existing/new EzeScan desktop licence (named or concurrent) configuration or added to an existing/new EzeScan Server licence (named).

Modular Design

EzeScan production scanning and indexing solutions are built on our base product EzeScan PRO (which includes as standard batch separator technology, inbuilt OCR, and FOI/redaction capabilities). It can then be extended through the addition of optional power indexing and automated capture technologies. We have bundled the essential EzeScan modules required to batch scan/import, power index and upload to EzeScan supported EDRMS as a single product we call EzeScan DM Bundle (EzeScan PRO + INDEX + UPLOAD + BARCODE). EzeScan KFI & UPLOAD Case Study

So here goes:

The Business Challenge

A Home Loan Lender was faced with processing loan applications. Each application consists of about 25 separate sections. The Home Loan Lender already had an efficient paper based system, but with the growth of their business the shear volume of paper requiring storage was starting to take over the office floor space.

The company decided to implement an EDMS (Electronic Document Management System) to solve the problem of dealing with paper documents. They soon discovered that they were some issues associated with Scanning that no one had thought of during the EDMS selection process. The main problems were that the scanning solution provided with the EDMS system was a document scanning solution (i.e. scan 1 document at a time), and that in the EDMS system the 25 parts of the original loan application were likely to become 25 separate electronic documents.

The client needed a more flexible scanning solution to work with their EDMS system. Due to the limitations of the document scanning solutions, the EDMS vendor approached Outback Imaging to see whether we could help solve the client’s issues.

The EzeScan Solution

Outback Imaging designed a solution for the client based around its EzeScan PRO, KFI and UPLOAD modules. This new solution uses a new digital copier (with inbuilt copy, print, scan and fax capability).

The new system utilises electronic images throughout the entire process, rather than paper documents.

Incoming documents are now scanned in batches (using PRO), indexed (using KFI) and archived (using UPLOAD) into the EDMS system.

Updates or additions to loan applications awaiting approval can now be electronically pre-pended or appended to existing documents in the EDMS system.

If the 25 sections arrive as one document then that document is simply scanned and saved into the EDMS as one document. But if the sections 1 through 25 arrive bit by bit then they are simply scanned and added to the existing document as they arrive.

In either case 1 home loan application (consisting of 25 or more separate sections) is now stored in the EDMS system as 1 electronic document.

The client now has a system that closely mirrors how it’s original paper based system worked yet it is now all controlled by the EDMS system.

The Value

Once the loan applications have been scanned there are numerous benefits to the client.

Document security is improved since access to each home loan application is now tightly controlled by the EDMS system. This is much more secure than placing the documents in filing cabinets or archive boxes.

Multiple loan approvers can view the documents at the same time (if required) without having to make copies.

Scanned loan applications are saved into the EDMS system in PDF format. They can then be readily viewed on any PC loaded with Acrobat Reader.

The time taken to process loan applications has been dramatically reduced (no more time spent looking for files, misplacing files)

The servicing of loan application telephone enquiries is vastly improved as the Customer Service Reps can now deal with an enquiry in real time (since the loan application paperwork is now online) without the need to locate the hardcopy and then call the client back.

Expensive office floor space and storage has been reclaimed. Once loans have been approved the physical hardcopy documents can be sent off site for cheaper long term storage.

For this client the EzeScan Solution provides tangible benefits with regards to cost savings and productivity increases.

EzeScan ROUTING Case Study

So here goes:

The Business Challenge

A large Hotel Chain was faced with processing 250+ reservation faxes and 250+ reservation emails per day. Incoming faxes and emails were printed and then processed using a manual system of in trays and boxes. Processing each document included physically rubber-stamping documents as received and then faxing that hardcopy back to the sending party. Hardcopy documents were moved around by hand during the process. The final step in the process involved scanning (using flatbed scanners) the hardcopy faxes and emails back into electronic images that were then attached to the booking record in the Hotel reservations system. Although this manual process was tried and proven, it involved a large duplication of work effort.

The catalyst for change was provided by the fact that the fax machine needed replacing. As part of a review of it's IT Infrastructure (fax machines and copiers) the Hotel went looking for an automated solution that could help streamline this process.

Outback Imaging was introduced to the client by a Photocopier company. They had initially contacted the client about replacing the Hotel Chain's aging fax and copier machines. They realised that simply replacing the fax machine alone, was not going to solve the problems facing the client.

Outback Imaging designed a solution for the client based around its EzeScan ROUTING module and EzeScan KFI module. This new solution would use a new digital copier (with inbuilt copy, print, scan and fax capability).

The new system utilises electronic images throughout the entire process, rather than paper documents.

Incoming faxes are now received electronically, analysed by the EzeScan ROUTING module and automatically forwarded to the reservations operators for action. Incoming emails received by the reservations operators are now converted to TIF files using a TIF printer driver, rather than being printed and scanned back into the system.

A small number of hardcopy reservation documents are still generated by other departments, but these are now scanned in using the 22ppm scanner in the digital copier.

Workflow queues for the various processing steps have been implemented electronically. The reservations operators use the EzeScan KFI module to access/process their workflow queues. As each step is performed by the reservations operator, the item is moved to the next processing queue.

During processing the EzeScan KFI module provides a simple fax back solution by using the digital copiers print/fax driver in conjunction with EzeScan’s electronic rubber stamps to send customised acknowledgements back to the fax sender.

During the final processing step, all electronic images relating to reservation faxes and emails are stored in a Windows file system directory structure based on Hotel Chain\Year\Month\Day\Client Name and Booking Number. The client selectively imports these electronic images into the Hotel Reservations systems as required.

A simple web based application was proposed to allow other hotel staff to view electronic images that are in any of the 3 workflow queues (Incoming, Confirmed or Booked).

The Value

With the implementation of electronic processes there are numerous benefits to the client.

Reservation operators no longer spend time manually sorting faxes or manually delivering them to the recipients. EzeScan Routing performs this task 24 hours per day, 7 days a week. This time (estimated as 15 minutes per day per person) can be spent performing other tasks.

Reservation operators can access their different electronic work queues and process incoming documents as required, without having to walk to the fax machine, or copier to perform the tasks they used to do manually. If a fax was delivered to the wrong operator by mistake, that operator can now simply re route the fax to the correct operators input queue. This time (estimated as 15 minutes per day per person) can be spent performing other tasks.

The enormous time wastage associated with generating printed hardcopy of faxes and emails, and then re scanning them has been removed. All files remain in 100% electronic format whilst processed by the system. This time (estimated as 40 minutes per day per person) can be spent performing other tasks.

The client is saving on the physical cost of consumables used by the digital copier machine. Up to 1000 pages per day were being printed on the old fax machine and printer. These are now all generated in electronic format. This represents a saving of over 300,000 sheets of paper in a year, and a substantial reduction in toner usage, and copier service charges. This could save as much as $3600 on paper (600 x 500 sheet reams at $6 ea), and $9,000 on service costs (based on an average 3c per page)

The client is also saving on the cost of physical storage. The electronic images no longer require storage in file cabinet and archive boxes. In this client’s case this means that 3 filing cabinets can be reduced to 1, and that no more offsite storage for new hardcopy faxes or emails is required.

Based solely on the anticipated cost savings in copier consumables (paper, service charges), the system could start paying for itself in 18 months. Then when you also take into account an anticipated worker productivity increase equal to 1 hour 10 minutes per day of an 7.5 hour day for 4 operators (which equates to almost 1200

hours per year, at a cost of $25 per hour) this represents a cost saving of $30,000 per year. In this scenario the ROI could be reduced to around 6 months (Please note the ROI calculations shown are specific to this client, and may not apply to other installations)
