DAUPHIN DOG TRAINING CLUB BOARD MEETING January 5, 2021

Cindy Miller, President called the meeting to order at 6:31pm
December Board Meeting Minutes – Carolyn Dumaresq made a motion to accept the December Board Meeting Minutes and John Delescavage seconded. Motion carried.
Cindy Miller, President called for an Alternate Order of Business – Jane Frantz made a motion to accept alternate order of business and Carolyn Dumaresq seconded.
Cindy Miller welcomed Linda Weidel to the Board and stated she is helping Carolyn Dumaresq with her jobs and cross-training. Cindy noted that we need to do more cross training of jobs.
Reports – President – Cindy Miller –
New Job Description – IT (attachment) – Cindy stated the document she sent to all board members
summarized the information that she has received. A roll call was done to address any additional questions or comments. Wendy Basehore, Carolyn Dumaresq, Jane Frantz, Karen Frese, Jen Tetkoskie, Linda Weidel, Lauren Zagnit, and Terry Barnaby had no comments and Lori is absent. Su stated she has many comments and is perplexed in what this position is to do because it is not nearly what she is currently doing. Su feels if you are putting a role together to start with what is being done today and if not, who will pick up those tasks. Su stated when she sent the document to Cindy, she has written many job descriptions in 40 years and her document is an example of one of a system support specialist and that she is doing for the club. She stated Cindy’s modified job description is not what she does and wanted board to know there are things missing in that job description. John Delescavage stated that this is a dog training club not a formal business and we have to take people as they come to do these jobs. He feels that we have to have the description a little loose so that we can have someone to pick up this job. He also feels we have a lot of people in club who can handle this position. Su stated to John that what she included isn’t formal, it’s exactly what she does for the club and she feels this is a skilled position. Terry asked what the process is and will we have a say on what we think, but if discussion goes on do we need a motion. Cindy wanted to get everyone’s input on the current coordinator job description we are working on and then if there seems to be someone who wants to call a vote or make a motion to approve this job, we will make a motion to approve and Cindy would look for someone to fill job. Cindy wanted to note that she went through Su’s responsibilities and everything on the current IT coordinator description was cross referenced to what Su had on her form. The only items not included from Su’s description were FOBs, security cameras and printer. Terry supports John on keeping description on the broader side and hoping we find somebody to fill with skill set. Su stated that if there are problems with the FOB system that would be the IT’s responsibility and also the printer isn’t Su’s job as the corresponding secretary. Su stated she would like position put out to all members to see who is interested. Carolyn stated that this is not a board position and will go to club members who might be interested in helping and be a resource person. Cindy stated we are a club of volunteers. Cindy asked if board wants to move forward with this position. Su stated she doesn’t want to be responsible for the printer that it also needs to go to IT position.
Electronic Balloting (Emailed 12/29 – reminder need confirmation/signature of name and email address) – Cindy stated she is waiting for one person’s signature.
Refund Policy - Carolyn needs to research what AKC requirements are for people withdrawing before or after closing date. Her question is this the only thing we can do or have some flexibility on what we do on refunds. If we have a wait list from now on, we can refund money and add someone on wait list. Cindy stated with the scent work trial, she thought there would be a wait list and there should be a wait list for obedience trials for people who have to pull but that isn’t being done. Carolyn stated we should inform our trial secretaries to keep a wait list and work on updating refund policy for all our events. Cindy stated anything you put in the premium is the “bible” for that show. Cindy also noted that we should charge an administrative fee for someone pulling their dog.
Instructor’s Contract update – Carolyn Dumaresq made a change to the instructor’s contract on page 3 giving them a FOB and suggests we add “your FOB will also give you access to the office and copy machine to make copies of class handouts and will receive information on how to use copier.” Jane Frantz made a motion to give obedience/agility instructors access to office and printer and John Delescavage seconded. Motion carried. DDTC Award Committee Update – The Committee is working on forms to be completed by a club member to nominate other club members, i.e., honorary members, mugs, and certificate of awards nominations. Forms will be posted on the website, club bulletin board and Barker.
Bylaws edit – Carolyn went through the bylaws to confirm that all of the revisions made at the annual membership meeting were incorporated. She found just two items that needed to be updated – Under
membership dues, junior membership, June 1 was changed to December 31. Article IX Section 4 was missing a reference -Article IV Sections 1 and 2 – was inserted.
Liability Insurance Update – Carolyn stated that the liability insurance (required when we rent outside facilities) had an age limit on the policy. She updated the policy to include volunteers over 65.
FOB Issues - Signing in, use of agility equipment and review of security tapes for FOB issues – Carolyn discussed with Sharon that her help to review the security cameras whenever there is a FOB related issue was needed. Any complaints would go to Carolyn, who would work with Sharon in narrowing the timeframe. Carolyn Dumaresq made a motion to return responsibility of reviewing security tapes for FOB issues to the FOB coordinator and Karen Frese seconded. Motion carried. Carolyn asked if you have a FOB to open train must you sign in and Cindy stated no. Carolyn commented that a member used the dog walk and it wasn’t put away properly. Carolyn suggested that if someone is warned and it happens a second time that we suspend their FOB without a refund for a number of days. If there is a third time, they lose FOB privileges forever. Carolyn will draft a FOB policy regarding warnings.
Second Vice President – Karen Frese –
ACTION ITEM: Purchase of ribbons for classes – Karen stated we have available flat ribbons, one for perfect attendance and one for class graduate which are given out for KPT, beginning level classes and Rally 1 classes – She would like to have approval to purchase 500 of each ribbon which would be $.27 each. Total cost of $286 with shipping not included. Jen Tetkoskie made a motion to approve purchase of ribbons and Terry Barnaby seconded. Motion carried.
ACTION ITEM: New Policy: Obedience Registrar Compensation – “The obedience registrar shall receive one class at DDTC free of charge (or equivalent Dauphin Rewards) during each session that the person serves as registrar. Free training class may not be used for future sessions or transferred to other. – Karen stated this could be for agility and obedience. At this time, there is no compensation for the registrar who is not serving on the board, so this is a policy to give the person who serves as registrar a class to attend free or Dauphin Rewards if the registrar is not a board member. Other people get rewards for obedience or agility matches, committees for agility and obedience trials, etc. Terry wants to make sure everyone is getting the same rewards. Karen Frese will revise job description to state will receive one class at DDTC free of charge of equivalent DR and only if this is not a board position. Jen Tetkoskie made a motion that the obedience or agility registrar will receive a free class per session or equivalent dauphin rewards only if this is not a board position and Jane Frantz seconded. Motion carried. John Delescavage and Wendy Basehore opposed. ACTION ITEM: Updated Obedience Registrar Job Description (attachment)
- Transferred duties related to instructor credits to the Obedience Director (if approved -Obedience Director Job Description will automatically be updated)
- Delete all references to toys, harnesses and leashes
Jen Tetkowski made a motion to approve removing items from registrar job description and Carolyn Dumaresq seconded. Motion carried.
ACTION ITEM: Purchase of 10 28” safety cones for obedience figure 8s (Change in AKC requirements for trials) – Karen Frese stated prior to COVID, two individuals were used as figure 8 posts and now AKC requirement has changed to cones only as posts for figure 8. Terry Barnaby made a motion to purchase ten 28” safety cones for up to $300.00 and Jen Tetkoskie seconded. Motion carried.
Karen stated we are planning to have rally run throughs with people signing up for time slots on Sunday, March 7th. Depending on success, there is a possibility of having run throughs 2-3 times a year.

Karen Frese made a motion to accept the six new members and Linda Weidel seconded. Motion carried. Total Membership – 263
Su would like to request the $5 late fee for members renewing late not be charged and also like to ask that the person who joined in October to let her renew through 2021 since her husband is losing his job. Jen Tetkoskie made a motion to not charge the $5 late dues fee for 2021 and Terry Barnaby seconded. Motion carried. Jen Tetkoski made a motion that all members who joined in October will be renewed through 2021 and Terry Barnaby seconded. Motion carried. Karen asked if it was only one person who joined in October or if there were more people and should be applied to them as well. Cindy asked Su to contact other 3 people to see if they renewed.
Treasurer – Terry Barnaby – November and December Monthly Report
Carolyn Dumaresq made a motion to approve the November and December Monthly Report and Jane Frantz seconded. Motion carried.

Barker Information & Communications – Jen Tetkoskie –
- Bios for 2021 – Jen Tetkoski stated we need 4 bios for 2021 – Suggested Linda Weidel since new on the board, Karen Frese as rally instructor and new board member, and possibility of Chris Eicher, Gina Lutz and we could pick someone in club who was high in trial. Jen wondered if we could do a bio every two month and recognize 5 people a year.
Building & Grounds – John Delescavage –
John stated that someone has been picking up the mail and distributing it to board members’ inboxes in the office. John doesn’t get to see mail and worried about bills being paid late. Cindy Miller will post a notice on the office door to place the mail on the desk.
Events – Carolyn Dumaresq - Carolyn Dumaresq stated that Chris Eicher will be doing another scent work seminar on February 7th. Jen asked if we could do a dumbbell seminar. Carolyn Dumaresq stated there is a modification to Judy Kolva seminars because we had cancelled and rearranged a backlog of people so she agreed to take ten per session in morning and afternoon but they will be 4-hour sessions.
Obedience Registrar/Director – Jane Frantz – Cindy asked Jane Frantz if there were any rings available on a Tuesday night for board meetings. Cindy stated we could move our meeting until 7:00pm. Jane stated classes started and went to watch classes last night and all went fine with classes. We had a few people cancel before classes started due to the virus.
Agility Registrar/Director – Carolyn Dumaresq/Judy Kolva – Carolyn Dumaresq stated that she had a meeting with Judy Kolva for equipment needs and she reminded Carolyn a while ago board approved a 10’ tunnel that we have not yet purchased. Carolyn stated they are also looking to buy a fit disc, a round disc and dog bone and will have cost of those for next meeting.
Supplies – Lauren Zagnit – If you need something please write on board with name and date of request. Website – Wendy Basehore - Wendy Basehore stated that she and Su McKee had a meeting with Susan, web designer and they went over changes that were requested for the site and it looks like she made changes. The remainder of updates will be made when Su and Wendy complete training with Susan.
Old Business:
Flooring Report – Terry Barnaby – Terry stated that the flooring will be a major investment. Due to the elapsed time, we will now have to get new quotes.
New Business:
Cindy asked do we want to meet in person at club or conference call in February. Karen Frese made a motion to meet at club at 7:00pm and Lauren Zagnit seconded. Motion carried. Su McKee opposed.
Cindy will table the IT job description for February meeting. Please send comments to Cindy via email. Jane Frantz made a motion to adjourn at 8:15pm and Lauren Zagnit seconded. Motion carried.
