Overview

The IBM® Information Lifecycle Governance (ILG) portfolio delivers capabilities that legal, IT, records, and business users can use to help manage legal risk and reduce data management and discovery costs. The ILG portfolio includes solutions for electronic discovery (eDiscovery), archiving, disposal and governance management, and retention and records management, which are designed to help organizations manage enterprise information based on its business value, comply more efficiently with litigation and regulatory duties, and dispose of information when it is no longer needed.

Description

IBM Information Lifecycle Governance (ILG) portfolio is comprised of four specific solution sets: Electronic Discovery (eDiscovery) Management, Retention and Records Management, Smart Archive, and Disposal and Governance Management.

What is new

Retention and Records Management solution enhancements help automate the syndication of global retention schedules to information repository systems capable of implementing or executing the retention. This capability helps

organizations consistently apply the retention schedule to a broader set of systems and information to help them meet compliance regulations and reduce costs. Organizations can identify that the information is past its retention period. IBM Retention Policy Federation Framework V6.0 syndicates retention schedules to other data sources for application in their environment. Retention schedule syndication helps organizations manage retention and disposition policies for all information not just records, including structured and unstructured data in the location in which they reside. For example, IBM Retention Policy Federation Framework V6.0 included the capabilities to automatically syndicate retention schedules to IBM Enterprise Records, which, in turn, manages content that resides in IBM FileNet® Content Manager and other repositories supported through IBM Content Federation Services.

IBM Retention Policy Federation Framework V6.0.1 includes enhancements that help automate the syndication of retention schedules to other systems:

• Includes a built in connector to automatically syndicate policies to IBM

InfoSphere Optim Data Growth Solution for enforcement of value-based retention on archived structured data. InfoSphere Optim software level requirements for this integration can be found at

• Includes a new Software Development Kit (SDK) that enables IBM Enterprise Content Management Lab Services to create new connectors to other systems that are able to execute the retention schedule, such as Microsoft SharePoint. These enhancements help manage the retention of content in place and in accordance with the organization's global policies while streamlining retention

schedule syndication and distribution. Organizations can seamlessly and efficiently retain information of value and routinely dispose of unnecessary information. You now get a broader platform support, for all the products listed below, including: • IBM WebSphere® Application Server V7.0

• Microsoft WindowsTM Operating System 2008 R2

• Oracle WebLogic Server 11g (10.3.1, 10.3.2 or 10.3.3) • JBoss Application Server 6.0

• Browser support for Firefox 3.6 and Microsoft Internet Explorer 9

• IBM Atlas eDiscovery Process Management V6.0.1, which can help attorneys, paralegals, and discovery directors in organizations to manage their legal cases, work on legal holds, employee virtual interviews, data collection, exception monitoring, and evidence tracking.

• IBM Atlas eDiscovery Process Management MidMarket Edition V6.0.1, which can help attorneys, paralegals, and discovery directors in organizations that have less than 100 active legal matters at any time to manage their legal cases, including legal holds, employee virtual interviews, data collection, exception monitoring, and evidence tracking.

• IBM Atlas eDiscovery Cost Forecasting and Management V6.0.1, which can help attorneys and legal controllers to project estimated eDiscovery costs in future fiscal quarters for a matter or for a larger portfolio of matters. With this information, organizations can improve expense management and conduct more effective negotiations.

• IBM Atlas IT eDiscovery Process Management V6.0.1, which can help IT staff in large companies who manage or conduct evidence collection via distributed teams from disparate data sources to delegate work, reduce redundant record keeping and any risks associated with redundancies, reduce duplication of large data volumes, and enable the organization to make reasoned decisions about evidence disposal.

• IBM Atlas IT eDiscovery Process Management MidMarket Edition V6.0.1, which can help IT staff in organizations that have less than 100 active legal matters at any time, and that manage and conduct evidence collection from disparate data sources using different teams to delegate work, reduce redundant record keeping and risks associated with redundancies, reduce duplication of large data volumes, and enable the organization to make reasoned decisions about evidence disposal.

• IBM Atlas eDiscovery Policy Federation Framework and Software

Development Kit (SDK) V6.0.1, which can help the organization to propagate legal hold and evidence collection requests to disparate data sources. By

connecting to the data source systems and communicating in native operating instructions, the Atlas Policy eDiscovery Federation Framework and SDK connectors are able to perform the tasks that previously required IT manual effort.

Retention and Records Management products

• IBM Global Retention Policy and Schedule Management V6.0.1 helps companies manage corporate taxonomies, law libraries, and master and business unit schedules, conduct departmental information value inventories and map information to the locations in which it is created or stored, and manage schedule change requests from the employee base, and coordinate approvals.

• IBM Retention Policy and Schedule Management MidMarket Edition V6.0.1, which can help companies processing retention schedules for only one country manage corporate taxonomies, law libraries, and retention schedules

for the country, conduct departmental information value inventories and map information to the locations in which it is created or stored, and manage schedule change requests from the employee base, and coordinate approvals.

• IBM Retention Policy Federation Framework V6.0.1, which provides integration to specific structured and unstructured data sources.

Disposal and Governance Management products

• IBM Disposal and Governance Management for IT V6.0.1 provides capabilities for IT staff to categorize and catalog disparate data sources and the data source attributes including data type and structure, backup protocols, stewardship, business use, successor and predecessor systems, and organization affiliations. This product can help portfolio managers to sort through data source inventories by type, structure, location, stewardship, business affiliation, data content, age, or other profile information, and by system (or user) defined ratings of the data sources. When used in conjunction with the other ILG solutions described above, IT can have real-time visibility to the company's established legal hold obligations for each data source as well as the possible value or retention obligations associated with information contained in the data sources.

IBM Disposal and Governance Management for IT V6.0.1 complements IBM Retention Policy and Schedule Management and IBM Atlas eDiscovery Process Management.

Deprecated feature

The following feature has been deprecated from the IBM eDiscovery Process Management V6.0.1, IBM Global Retention Policy and Schedule Management, IBM Disposal and Governance Management for IT products. Support for this feature may be removed in a future release.

Charge metrics definitions User Value Unit (UVU)

UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers you price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, contact your IBM representative.

VU Value Unit

VU Value Unit is the unit of measure by which this program is licensed. VU Value Unit entitlements are based on the quantity of a specific designated measurement, either users or resources, for the given program. A PoE must be obtained for the appropriate number of VU Value Units required for your environment as defined by the specific program terms. User Value Units (UVUs) Two types of UVUs are available:

organization. It replaces Enterprise License Agreement (ELA) employee licensing. Install

Install is a unit of measure by which the program can be licensed. An install is an installed copy of the program on a physical or virtual disk made available to be executed on a computer. Licensee must obtain an entitlement for each install of the program.

Connection

Connection is a unit of measure by which the program can be licensed. A connection is a link or association of a database, application, server, or any other type of device to the program. Terms and conditions

The information provided in this announcement letter is for reference and

convenience purposes only. The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.

Licensing

IBM International Program License Agreement including the License Information document and PoE govern your use of the program. PoEs are required for all authorized use.

Limited warranty

IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.

IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. For further information, consult the IBM Software Support Handbook found at

IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).

Program technical support

Technical support of a program product version or release will be available for a minimum of three years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates (modifications or fixes), releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee

For clarification, note that if for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.

Software Subscription and Support (Software Maintenance)

Yes. Software Subscription and Support (also referred to as Software Maintenance) is included with licenses purchased through Passport Advantage and Passport Advantage Express. Product upgrades and technical support are provided by the Software Subscription and Support (also referred to as Software Maintenance) offering as described in the Agreements. Product upgrades provide the latest versions and releases to entitled software and Technical Support provides voice and electronic access to IBM support organizations, worldwide.

IBM includes one year of Software Subscription and Support (also referred to as Software Maintenance) with each program license acquired. The initial period of Software Subscription and Support (also referred to as Software Maintenance) can be extended by the purchase of a renewal option, if available.

While your Software Subscription and Support (also referred to as Software Maintenance) is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, 7 days a week. For additional details, consult your IBM Software Support Handbook at

Software Subscription and Support (also referred to as Software Maintenance) does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under the applicable agreements.

Electronic Services is a web-enabled solution that offers an exclusive, no-additional-charge enhancement to the service and support available for IBM servers. These services are designed to provide the opportunity for greater system availability with faster problem resolution and preemptive monitoring. Electronic Services comprises two separate, but complementary, elements: Electronic Services news page and Electronic Services Agent.

The Electronic Services news page is a single Internet entry point that replaces the multiple entry points traditionally used to access IBM Internet services and support. The news page enables you to gain easier access to IBM resources for assistance in resolving technical problems.

The Electronic Service AgentTM is no-additional-charge software that resides on

your server. It monitors events and transmits system inventory information to IBM on a periodic, client-defined timetable. The Electronic Service Agent automatically reports hardware problems to IBM. Early knowledge about potential problems enables IBM to deliver proactive service that may result in higher system availability and performance. In addition, information collected through the Service Agent is made available to IBM service support representatives when they help answer your questions or diagnose problems. Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
