Convention Exhibitor Information

WELCOME!

 Please join TEXAS MUSIC TEACHERS ASSOCATION at the Dallas

Hyatt Regency for our 102nd State Convention, June 16-19, 2016.

 This is a great opportunity to meet and introduce your company to over

500 music teachers from throughout the state of Texas, as well as over 5,000 students and their family members.

LOCATION

 The TMTA 2016 Convention will be at the Dallas Hyatt Regency.

 Convention attendees will enjoy the special rate of $135, plus tax, by

calling the Dallas Hyatt Regency Hotel at 1-888-421-1442

,

before the

group rate cut-off of May 14, 2016. After this date, reservations will be on a space- and rate-available basis.

 Self-parking at the Dallas Hyatt Regency is $5 with no in/out privileges.

Prices are subject to change.

EXHIBIT INFORMATION

 The Exhibit Hall will be located at the Hyatt Regency.

 Exhibit booths ($425) include a fully-draped 8’x10’ booth, two chairs,

one wastebasket, one 6’ table, and a standard identification sign. Booths may be upgraded to 10’x10’ if space permits.

 General lighting will be provided. Other electricity is at the exhibitor’s

expense.

 Each booth purchased will be entitled to two exhibitor badges. Extra

badges will be $25 each.

All booths will be assigned on a first-contracted, first-paid basis. Payment must be made in its entirety before booth space will be assigned.

 For exhibitors purchasing an Incentive Package and three or more

additional booths, the exhibitor may pay for the Incentive Package and half of the additional booths upon submission of the contract and pay the remainder by January 15 to retain their place in line for booth assignments.

TMTA Exhibit Rules and Regulations are posted on the TMTA website.

 Freeman Exhibit Services is the decorator for the Exhibit Hall. They

can be reached at (214) 634-1463. In April, Freeman will email an Exhibitor Services Manual for exhibitors to order and pay for services such as electrical, internet, etc.

 Exhibitors will be allowed to unload on Thursday, June 16. A schedule

for unloading/loading will be distributed before the Convention.

 Parking for large trucks and trailers is off-site and at the exhibitor’s expense. Parking for standard-sized vehicles is also available at the exhibitor’s expense.

Effort has been made in the scheduling of exhibit times to give exhibitors the maximum amount of exposure to Convention attendees. Setup is conveniently scheduled for Thursday and tear-down will be Sunday evening.

Exhibitor Opportunities

Incentive Package $725

(Total value $1,000.)

The TMTA Convention Incentive Package includes the following items:

 One 8’x10’ booth for Convention 2015 (Value $425) Booth sizes may

be upgraded to 10’x10’ if space allows.

 Quarter-page ads in the Spring 2016 and Fall 2016 TMT magazine

and the 2015 Convention Program Book ($255)

 Link to your company website on the TMTA website upon receipt of

payment until January 1, 2017 ($25)

 TMTA membership mailing list with mailing and email addresses (Excel

format) ($250)

 Business listing in 2016-2017 TMTA Handbook ($45)

Limit of one Incentive Package per company. Additional exhibit booths or advertising can be added at the regular rate.

College/University/Professional Organization Tabletops $100

Tabletops are available as an alternative to full booths for colleges, universities, and professional organizations. They will consist of one 6' foot skirted table in a space approximately 4' X 7', and they will be placed in high traffic areas in order to give you a large presence at the convention. The fee does not include any badges, and tabletops are not required to be manned (badges may be purchased for $50). Monetary transactions may not occur at tabletops.

Membership Mailing List $250

Purchase the TMTA membership mailing list (mailing and email addresses) of approximately 2,000 members (Excel format) for only $250; TMTA members $125. The mailing list is included in the Incentive Package.

Exhibitor Showcase $250

Exhibitors may present a Showcase that introduces products or materials to the TMTA Convention attendees. Showcase presenters must also be exhibitors. No order taking or selling is permitted during the Showcase. Limit of one Showcase per contracted exhibit booth. Showcase times are assigned on a first-come, first-paid basis.

Special Exhibitor Showcase $750

A company that does not have an exhibit booth may purchase a special

Showcase for $750. This special Showcase allows a company to make a

presentation of materials with no display booth. Sales of showcased

materials may only be made at the Showcase.

Composer/Author Autograph Party

On Saturday afternoon, all Convention attendees are invited to the Exhibit Hall to meet and greet the composers and authors in attendance and enjoy

a light snack. Inform the TMTA Office if you will have any composers or

authors in your booth during this party. Balloons will be provided to indicate your participation.

Magazine Advertising

Advertising is available in the Convention Program Book distributed to

attendees at the TMTA Convention. The Program will be an 8-1/2” x 11”

booklet with 1/8 page (3-5/8 x 2-7/16 horizontal), 1/4 page (3-5/8 x 5

vertical), 1/2 page (3-5/8 x 10-1/4 vertical or 5 x 7-1/2 horizontal), and full page (7 x 10-1/4 vertical) ads in black and white. Preferred placement ads (Back Cover - color, Inside Covers - color, or Centerfold – black and white) are also available. (A 1/4 ad in each issue is included with Incentive Package.)

Save money by placing ads in the Convention Program Book and the Fall

and/or Spring issues of the Texas Music Teacher magazine at the same

time — 2x and 3x rates are available.

The TMTA logo is the property of the Texas Music Teachers Association and may not be used or reproduced without the written consent of the association.

Donations to defray the cost of any special event at the Convention are gratefully accepted and are also tax deductible. Recognition will be given to all contributors in the Convention Program Book if made by May 1.
