Dear exhibitor at DSE Fair Lyngby 2016

First of all I am happy to welcome you to DSE Fair Lyngby 2016 – the absolutely largest job and career fair in Denmark!

Th e preparations for the fair are under way, which is why we send you this exhibitor’s booklet which contains everything you need to know as an exhibitor at the fair. It includes deadlines and important dates, guidelines for set-up and removal of your fair stand, practical information about catering and parking, and a map of the fair areas. Please fi nd the deadlines on page 3.

I strongly suggest that you thoroughly read this booklet in its entirety since it answers all the most frequently asked questions you may have regarding your participation. Should you have questions not covered by this booklet, you are of course always welcome to contact us.

We are proud to be known for our high level of service in connection with our fairs. We are an organization of voluntary students, who also need to take care of our education. It is therefore not always be possible to reach a given person if you call our offi ce. If you need to contact a specifi c person I would recommend sending an e-mail.

It is crucial that we receive the needed information from you in time in order to avoid any in-conveniences for you during the fair.

DSE Fair Lyngby 2016 takes place March 16–17, at the Technical University of Denmark in Lyngby, approximately 10 km north of Copenhagen. As always, the number of participating companies is high and we expect lots of visitors. Th e opportunity for company presentations continues from last year. You can read about this on page 8.

I hope that you will enjoy the fair and make good use of the opportunity to speak with lots of qualifi ed engineering students and graduates from all over the country, and I look forward to visit you at your stand.

What is DSE Fair Lyngby?

DSE Fair Lyngby is the largest job and career fair in Denmark with around 10,000 visitors and more than 135 participating companies and organisations in one location. Th e fair is organised by Students’ Business Relations (De Studerendes Erhvervskontakt, DSE) and takes place two days each spring at the Technical University of Denmark (DTU).

Th e companies att ending the fair get a unique chance to promote themselves in an eff ective way for the next generation of engineers, both at their own stand, through job postings in the DSE Fair Job Bank, and by hosting a company presentation during the fair.

Th e students use the fair to learn about possibilities for employment, internships, trainee pro-grams, bachelor’s and master’s projects, and for gett ing answers to concrete questions concer-ning your company.

Besides the students studying at DTU in Lyngby and Ballerup, students from Lunds Tekniska Högskola (LTH), Aalborg University Denmark (AAU), University of Copenhagen (KU), Uni-versity of Southern Denmark (SDU) and other engineering colleges in Denmark will also be visiting the fair. DSE off ers free transport to students at the above-mentioned institutions.

Rules for stand set-up and take-down

» Set-up of the stands takes place Tuesday March 15, 2016 in the period 10:00 – 20:00.

» Take-down of the stands takes place Th ursday March 17, 2016 in the period 16:00 – 19:00.

» Set-up and take-down may under no circumstances take place outside the given time peri-ods.

» When the fair ends Th ursday aft ernoon all stand material must be removed unless other-wise agreed with DSE.

» Pallet jacks can be used on the fair areas provided that the total weight does not exceed 350 kg. In the Tent only pallet jacks with rubber wheels are allowed. In general, DSE does not lend out pallet jacks.

» On a limited basis, DSE off ers to lend pushcarts for transportation of equipment.

» Exhibitors may not under any circumstances fi x objects to the fl oor, wall or ceiling, or cut into the fl oor carpet. DSE will hold the exhibitor responsible for any damages caused.

» DSE does not lend out any tools for set-up and take-down of stands.

» Some stands may exceed the clearance height depending on their location. If you wish to use this opportunity, it is important that you get your stand approved by DSE before the set-up.

» Because of fi re safety regulations, stands may not exceed the allocated fl oor area, nor may any stand material be placed outside the stand.

» Contact DSE if you wish to set up particularly heavy elements, or have questions to the above.

Electricity and internet

» Electricity requirements have to be provided on salg.studerende.dk no later than February 8, 2016 to ensure that we can match your needs.

» DSE provides a standard three-socket power strip to every stand. If more than three appli-ances have to be powered, you must bring additional power strips yourself.

» 400 V electricity (CEE-plugs) can be provided if ordered in time on salg.studerende.dk.

» DSE provides WiFi for all companies. A single ethernet cable can be supplied if you indi-cate your need for this while fi lling out power requirements at salg.studerende.dk.

» Exhibitors may not make any changes to the installations (electricity and network) provi-ded by DSE.

Storage of stand materials

» Upon request, DSE will arrange for storage of a limited amount of stand material (e.g. stand packaging, fl ight cases) during the fair. Th e material will be stored unatt ended and at the exhibitor’s own risk. Any damage to the stored material will have to be compensated by the exhibitor’s own insurance company. Be aware that it is not possible to access the stored material during the fair.

Distribution of materials

» Handing out material to visitors of the fair is only allowed from exhibitor’s own stand area.

» Placement of any objects outside of the stand area must be pre-approved by DSE.

Th e fair stand

» For the sake of other exhibitors, DSE reserves the right to demand noise from particular noisy equipment reduced, whether the noise is acoustic, electrical or magnetic.

» Because of fi re safety regulations, and to improve the fl ow of visitors in the fair areas, the stand and stand elements must be kept within exhibitor’s own stand area. DSE reserves the right to move any stand elements that is not within the exhibitor’s own stand area.

» Th e fair stand must be manned at all times during the opening hours of the fair.

Miscellaneous

» DSE provides soft drinks, water, coff ee, tea, fruit and other refreshments to company repre-sentatives during the fair. Th is is included in the participation fee. Aft er the fair none of this should be removed from the fair area.

» Storing and serving of any kind of alcohol on the fair stands is prohibited.

Rent of stand equipment and elements

During the fair DSE only provides the empty space for your stand. Th e exhibitor must bring all stand materials such as walls, chairs, tables, roll-ups, lights, etc.

If you need to rent chairs, tables or other materials, we would like to refer you to our business partner LJ-Udstillinger, whose information is seen below.

LJ Udstillinger cooperates with DSE to deliver high grade carpets, walls, lighting and other materials at DSE Fair Lyngby.

Order in time. Deadline for ordering is 2-3 weeks prior to the fair.

Th e breakfast buff et and the lunch buff et is included in the participation fee regardless of the number of company representatives. A prerequisite however is to sign up at salg.studerende.dk no later than February 8, 2016. Here we request the number of company representatives who will att end breakfast and lunch both days.

Security

Between set-up and take-down of the fair, the fair areas will be under constant supervision. Th e night between Tuesday and Wednesday, and the night between Wednesday and Th ursday, the fair areas will be locked and guards will patrol all night.

Th e Fair Dinner

DSE arranges its traditional evening event Wednesday March 16, for company representatives, company hosts, and members of DSE to celebrate a successful fi rst day of the fair. More infor-mation will be included in the invitations which are sent out separately.

Company hosts

A company host is a volunteer DTU student, who assists the companies during the fair. Each company will be assigned one company host, who can answer questions and assist the company in other ways during the fair. Your company host will introduce him-/herself to your company representatives at the beginning of the fair.

Company Presentations

During the fair you have the opportunity to present your company to interested students. Th e presentations are a great way to give a group of students a deeper introduction to your company through a talk of maximum 45 minutes including questions.

Our experience is that between 5 and 45 students show up for the presentations with an average of 15 students. To increase awareness of your presentation we recommend that you mention it in your information page in the catalog, that you give the talk a compelling title.

Practical information

Th e presentations take place in DTU’s conference center. Th e schedule of the talks will be shown on info displays and posters throughout the fair area.

AV equipment

Th e conference rooms are equipped with a projector. Please bring your own laptop. It is re-commended that you test the equipment before the presentation. Your company host can help get access to the conference rooms.

For your pages in the fair catalog we need from you a logo, an advertisement page and other information about your company no later than the December 18, 2015.

Th e fair catalog is in English

Th e general writt en language in the catalog will once again be English. We suggest that text and image advertisements submitt ed by the company follow our example, but the fi nal decision is left up to the company.

Information page

Th e information page contains your logo, a bar with quick facts about the company , a longer text (maximum 2000 keystrokes), and your website address.

Th e company logo should be in a vector format (EPS, AI, PDF) or high resolution PNG, TIFF or JPEG (at least 800 pixels wide).

Th is year the quick facts bar contains the number of employees in Denmark and worldwide, fi elds of study relevant to you, and which job opportunities you off er.

Th e contents of the body text is for you to choose but will typically contain a short introduc-tion of the company, what you seek in potential employees and why the students should visit your stand in particular. Th e data for this page can be fi lled in online at salg.studerende.dk. Th e form will be ready on Wednesday, November 18 2015.

Advertisement page

Th e advertisement must have the dimensions 168 mm x 210 mm portrait size with a bleed of at least 5 mm. All important information should be at least 15 mm from the left edge and 5 mm from the right edge, to ensure legibility.

All pictures should be provided in CMYK, and bitmap pictures should have a resolution of at least 300 dpi. Please send your advertisement and logo to katalog@studerende.dk.

Everything must be delivered to DSE no later than the December 18, 2015

DSE reserves the right to leave out a companie’s catalog pages if the deadline has been crossed, in order to avoid delaying catalog production.

When all materials have been received we will set up your company catalog pages and send you a digital version for proofreading. Th e proofreading will end in mid-January 2016.

Th e Job Bank at DSE Fair Lyngby is a notice board with job advertisements for the students visiting the fair.

Th e Job Bank is a unique opportunity for you as a company to show the students which job opportunities you have to off er at the moment. Th e Job Bank is placed in a strategic position between the Hall and S-huset (see the map on page 9), where there will be a constant fl ow of visitors during the entire fair.

We hope you will help us make this year’s Job Bank bett er than ever before by sending us your advertisement for available positions in PDF format to jobbank@studerende.dk no later than March 8, 2016. A reminder of this deadline will be sent out later.

When sending the advertisement you should indicate in what focus area the advertisement should be listed (for instance Chemistry, Mathematics, Soft ware, Mechanical Engineering, etc.). If you send advertisements for more than one focus area please specify the focus area for each of the job advertisements.

Th e advertisements will be printed in A4 format and posted in the Job Bank under the respec-tive categories before the fair opens.
