Exhibition Opening Hours

Thursday, 17 September 13:00 – 18:00

Friday, 18 September 09:00 – 17:30

Saturday, 19 September 09:00 – 13:00

We kindly ask you to follow the exhibition opening times and to make sure that your booth is staffed at all times.

Set-Up & Dismantling

The exhibition area will be available for set up from 08:00 on Thursday, 17 September, everything has to be ready by 12:00. All materials should be removed from

the exhibition floor on Saturday, 19 September between 13:00 and 18:00. The

organiser will not be responsible for any item or material that has not been removed once the event is finished.

How to get to the Wow hotel Istanbul:

By car - Those using the E-5 and E-6 TEM Highways can reach our facilities by following the Atatürk Airport from the airport exit over to the Istanbul Fuar Merkezi road.

Those using the coast road can reach the facilities by following the signs to the Atatürk

Airport. Make an immediate right after passing the World Trade Center blocks and you’ll

arrive at the facilities by entering from our signboard posted at the turn. The loading area is located on back side of the plenary hall.

Exhibition Space Information

The exhibition space fee includes:

 1 table and 2 chairs (if required)

 electrical connection (1 socket 220 V)*

 wi-fi internet access

The internet wifi will be free of charge up to 1mbps. Password information will be given onsite.

 exhibitor badge(s) – as per contract

*for appliances like fridges, coffeemakers or similar it is necessary to order more powerful 400 V connection for the fee of 100 EUR per the entire event (if required please contact us by September 10th)

Exhibitors are responsible for costs related to set up of the space as well as transportation and storage of materials.

If you only use simple butterfly booths or table top booths or only tables and chairs, you don’t need to cover foyer ground. If you have proper stands, you need to cover foyer first with carpet before setup started.

Equipment

Please advise by September 5, if you wish us to arrange tables and chairs.

Exhibitor Badges

The exhibitor badges shows the individual and company name or company name only and provide access to the exhibit hall only and coffee breaks while the exhibition is open. The extra exhibitor badge costs 70 €.

Exhibition Plan

The congress organizers have planned the exhibition floor plan in order to maximise the exhibitor’s exposure to the delegates. To support this, coffee-breaks will be served mainly in the exhibition area.

Catering

Exhibitors can order drinks and small refreshments to be served at their stands. For orders please contact directly Wow Hotel Istanbul:

Shipping

We have selected GRUPTRANS A.S. to help with shipping.

The most important point is that you have to consign your transport document (Air Way Bill or Courier Way Bill) and customs documents (certificate of origin, invoice, etc.) to this company name and NOT to the congress organizer / area provider / hotel or the name of the congress!

**If you write “ESPA 2015 / Istanbul” or any other info as consignee than your shipment

will be stocked at customs (EVEN FOR COURIER SHIPMENT WHO OFFER YOU DOOR TO DOOR SERVICE) and cannot be released till you send embassy approved correction letter !! CONSIGNEE on transport document/AWB and customs document/invoice must be:

Attached permanent import invoice is to be used for your brochures and none returnable shipments.

Please note that food stuff, as well as any items that are getting in touch with food stuff (cup, glass, plate, fork etc.) are subject to health certificate and do have special deadlines and additional charges. Flags, maps and measurement equipment do have special control operation and a special permission must be requested – do have additional charges and

special deadlines.

All goods are subject to customs examination at customs, means that all boxes are to be opened and checked one by one by the customs officers.

Therefore it is very important that you do not pack any item into your package that is not listed on your invoice**THIS IS VERY IMPORTANT**

For delivering goods to stand on September 16, 2015, they need to have your cargo in Istanbul on September 10, 2015 at the latest and the customs documents 2 days before (documentation deadline is September 8, 2015).

3 – 4 days before you pack your shipment they should pre-check your listed goods with

the customs office. Once they give you the green light - you can pack and send out your shipment.

Do not pack or send out any goods for “ESPA 2015 / Istanbul” before getting their green

light.

All exhibits and materials should be properly insured for transportation and for the congress. Please note that ESPA 2015 is not taking responsibility for the transported materials.
