Brokerage Services Associate, Charlotte, NC
Reports To:
Managing Broker of Charlotte officeInitial Function: Support the Charlotte Brokerage Teams by providing high level support, including but not limited to marketing, research, and logistical services that allow the brokers to efficiently service, attract, and retain clients. Also, assist the Director of Brokerage Services, Director of Marketing, Director of Communications and support the company-wide brokerage if requested. Responsible for daily tasks, long term projects, and leveraging resources to advance the productivity of the Charlotte Brokerage office while developing individual brokerage skills.
Long-term Function: Cultivate business opportunities, in the form of the sale, lease, capital markets, project management, and property management of commercial real estate.
Education: Minimum Bachelors of Arts or Bachelors of Science
Qualifications: Excellent computer skills, with a focus on databases. Research, writing and marketing skills, as well as proven responsiveness, accuracy and attention to detail. The ideal candidate is a self-directed individual who has a strong ability to effectively plan, organize, multi-task, and prioritize. Must have advanced knowledge of the following software applications: Microsoft Word, Excel, PowerPoint and Adobe Photoshop. Experience with Adobe InDesign a plus.
Responsibilities:
1. Marketing
Assist in the creation and maintenance electronic marketing pieces and distribution. Assist in distributing all marketing materials (flyers) for the Charlotte office
Assist maintaining and updating the lobby “slide shows” with relevant content Assist brokerage associates with marketing presentations, offering memorandums,
proposal responses, tour books and other client requests as directed.
Working knowledge of design elements and strategy, as well as editing skills. Most work within the framework of the brand standard templates and assist associates on a project by project basis.
Assist in the preparation of monthly and quarterly (some weekly) reports of new listings, new signs, leasing and sale activity, and other info as requested by the managing broker for regular staff meetings.
Assist Activity Report – monthly report that lists all Thalhimer transactions for the Charlotte market. Submitted to Thalhimer.
Assist New Listing Report – monthly report that includes all Thalhimer listings in the Charlotte market. Submitted to Thalhimer.
Assist in Production of Quarterly MarketBeat Report – reports a statistical and narrative snapshot of the real estate market in Retail, Office and Industrial. Submitted to C&W.
Research and prepare quarterly Broker List for the Charlotte market.
3. Listing and Transaction Processes
Assist Brokerage Services team in the input and maintenance of all listings and transactions in the following databases: Interchange, SiteIndex, CoStar, and LoopNet.
Support organization with maintenance of office deal files.
Provide research of, relevant statistical data, graphs, and mapping for marketing collateral and other industry information.
Research and prepare quarterly Broker List and mailing lists for the Charlotte market. Prepare for sales meetings – PowerPoint with calendar items, company
communications, educational materials, statistics, new listings, activity, and other info as provided by the managing broker.
Perform analytical property searches utilizing CoStar, SiteIndex, and LoopNet Regular upkeep of industry and submarket stacking plans.
Creation and maintenance of property stat sheets.
4. Technology Applications
SitesUSA, DeLorme, & Google Earth (Demographics and Mapping software) – utilize software to assemble a variety of specialized demographic reports and to plot data sets onto maps and aerial photographs.
Generate Custom Aerials through AE View Program & Adobe Photoshop. Mapping using various sources, including GIS systems
Costar & Loopnet (national on-line database of inventory and recent transactions)
Assist in updating websites (CoStar, Loopnet, and others) with new listings – maintain communication with website contacts and submit all new listings to be updated on their website.
Comps & Availability Reporting – generating reports of available for sale and lease properties or relevant sales and lease transactions.
Assist in creating targeted databases for prospecting and marketing needs.
6. Office Support
Provide assistance with daily office administration duties
Develop a familiarity with documents including Request for Proposals, Letters of Intent, customer and prospect Correspondence, Commission Agreements, lease abstracts, process deal paperwork including account invoices (RTD), etc. with direction from brokers and /or knowledge of company policies, procedures, and best practices
Work with brokers to develop and update Contact Relationship Management systems
Participate in regular administrative and business unit meetings
Support Director of Brokerage Services and assist with special projects as needed All other tasks and duties as assigned, with dates to be agreed upon
Expectations:

Working knowledge of the C&W and/or Thalhimer Brand standards for flyers, mapping, and signage
Working knowledge of input, removal and modifications of agency listings, including signage
Working knowledge of putting a transition to record and invoicing process for Thalhimer
Working knowledge of common documents such as Engagement Letters, Listing Agreements, Commission Agreements, Revenue Transmittal Document (RTD)
Within 3 Months of Hire Date
Working knowledge of Adobe InDesign
Visit Richmond, VA (Orientation) and Raleigh, NC Thalhimer offices
Continue populating the internal system to track Charlotte region office and industrial companies highlighted in the C&W CEO Briefing
Attend a Thalhimer University online course and view a Lipsey Training Video Assist in the preparation of Requests for Proposals (RFPs), Letters of Intent (LOI’s),
and presentations of Thalhimer capabilities and proposed business terms Attend a market tour/showing with each service line
Attend a new business presentation with each service line
Prepare a submarket or service line report to share in an Interchange meeting Attend monthly Charlotte Regional Chamber professional events
Within 6 months of Hire
Complete office stacking plans for Landlord and Tenant Rep teams as directed Assist Industrial team with Institutional Listing Playbook and database
Schedule a lunch with each CWT associate to gain insight on their business Attend CRCBR networking events
Accompany and assist brokers at client meetings
Provide analytical support for cash flow and other financial analyses as well as gather relevant market data and prepare market surveys
Within 12 months of Hire
North Carolina Provisional Broker’s real estate license South Carolina real estate license
Visit South Carolina Thalhimer offices
Network with other Thalhimer brokers to identify best practices and prospects Start to qualify potential clients and conduct research to identify best approach for
Demonstrate strength in building business relationships, strong communications and presentation skills and experience in researching business development
opportunities.
Within 18 months of Hire
Canvass prospective clients and develop leads through a variety of approaches including calls and in person introductions
Arrange meetings with prospective clients in desired service line Obtain at least one new Thalhimer assignment of your own Close at least 2 transactions
