TEACHER MESSENGER

Student Information Systems

Overview: Teacher Messenger is a communication tool from a teacher to a student or guardian. Messenger options include Grades Messenger, Missing Assignment

Messenger and Teacher Messenger.

Area of Responsibility: Teachers using the Infinite Campus Gradebook. Procedures:

1. To reach the Teacher Messenger click on the App Menu>Campus Tools. 2. Grades Messenger: Grades Messenger sends grade related messages to

Messenger contacts based on the criteria selected. a. Go to Instruction>Messenger>Grades Messenger. b. User/Group keep as User.

c. Template leave as <new> to create a new Message Template or select a saved template from the dropdown menu.

d. Select Type of Grades

i. In-Progress Grades: This option reports letter grades from assignments entered. ii. Posted Grades: This option reports grades

from the Posted Grades column. e. Select the Term.

f. Select Students: This field determines which

students to be reviewed for the Grades message. All students, except those who have dropped the course or are no longer enrolled in the school, are automatically selected. Dropped students appear in red text. If a student is selected but does not meet the grade selected above, that student will not receive a message.

g. Select Grades: This field determines which grades will trigger a message. h. Select Tasks: For In-Progress Grades, select the task the teacher uses

for assignments in the gradebook. For Posted Grades select the appropriate Progress Report or Report Card grading task.

i. Duplicate Message Filtering: When selected, Messenger will send multiple messages to the recipient for the same grade until the student is no longer receiving that grade. If not selected, repeat messages will not be sent.

j. Select the Delivery device:

i. Inbox: Sends a message to the inbox on the student/parent portal. ii. Email: Sends a message a message to the guardian’s email

address on record.

k. Sender’s Email: Delete the parentportal@dysart.org email address and enter the teacher’s email address.

2 | P a g e l. Message Subject: This field determines the text that will display in the

subject field of the email message. The default subject is Failing Grade. Please update this field if sending the message to students receiving something other than an F, in step g above.

m. Message Body. A default template is provided for sending the failing grades messages. Additional information may be added. It is very important that the fields inside the dotted boxes are not deleted or

modified. These fields are used to pull data for the message from within the Infinite Campus Gradebook. Please update the statement if sending the message to students receiving something other than an F, in step g above.

It is District Procedure to include a signature with the confidentiality statement. Also include your contact information as parents can respond to the ParentPortal@dysart.org. This email address is not monitored daily.

CONFIDENTIALITY NOTICE: This email message and any accompanying data are confidential and intended only for the individual(s) to which it is addressed. n. Browse and upload an email attachment. This option allows the teacher to add an attachment to the email. Upload PDF documents only.

o. Delivery Date: The day on which the message should be sent.

p. Send Emails at: Enter the time inbox and/or email messages will begin to be delivered.

q. To save template for future use, click Save at the top of the screen. r. Test: Allows the message to be sent to an email address for a test, prior

to sending it out to all guardians.

s. Preview/Send: A window will open with a preview message showing the Recipient Count, Process Inbox Count, Email Count, and Voice/Text Count.

3 | P a g e i. Cancel: Will cancel the message and return to the previous screen. ii. Send Message: Sends the message to all recipients.

iii. Review Recipients: Allows the user to review and unselect recipients of the message.

3. Missing Assignment Messenger sends messages for assignments marked as Missing to Messenger contacts based on the criteria selected. It is important to note the teacher must mark the student assignment with an M in order for a student to receive a Missing Assignment Notification.

a. Go to Instruction>Messenger>Missing Assignment Messenger. b. User/Group keep as User.

c. Template leave as <new> to create a new Message Template or select a saved template from the dropdown menu.

d. Select Assignments: Select the assignments to be included.

e. Select Students: This field determines which students should receive the Grades message. All students, except those who have dropped the course or are no longer enrolled in the school, are automatically selected. Dropped students appear in red text. If a student is selected but does not have an M marked for an assignment, that student will not receive a message.

4. Teacher Messenger: Teacher Messenger sends teacher related messages to messenger contacts or students based on the criteria selected.

a. Go to Instruction>Messenger>Teacher Messenger. b. User/Group keep as User.

c. Template leave as <new> to create a new Message Template or select a saved template from the dropdown menu.

d. Select Recipients: Guardians or Students. Student emails will be sent to Dysartstudent.org accounts.

e. Click on a person to add to list: If selecting Guardians, the student’s name displays above the guardian’s name in black. If selecting Students, only the student’s names display in the list.

f. Click on a person to remove from list: Click to remove person that should not receive the message.

g. Select the Delivery device:

i. Inbox: Sends a message to the inbox on the student/parent portal. ii. Email: Sends a message a message to the guardian’s email

address on record.

h. Sender’s Email: Delete the parentportal@dysart.org email address and enter the teacher’s email address.

j. Message Body. Enter comments in the Message Body using the WYSIWYG editor. This program does not copy text well from other

ii. Images may be added by using the Mountain icon. Images should be posted to either a school website or teacher website prior to being added to the Message Body.

5. Sent Message Report.

a. Go to Messenger>Sent Message Log.

b. Select the date range the message was sent in. c. Click Find Messages.

d. Click on the message.

e. Under Sent Message Report Options, select Print Sent Message Report. FAQ’s:

 How does Infinite Campus determine that an email will be sent to parents? o Guardians must have provided an email address to the front office and

the email address must be entered for the guardian in Infinite Campus. o Guardians have an option to opt out of receiving email from teachers

on the parent portal.

 I have an address for a parent that does not have one in Infinite Campus, how can I add that?

o The parent may add the email address under Contact Preferences within the Parent Portal.

o If the parent would like to receive messages from teachers, the parent will need to contact the DRT or Registrar in the front office to have the email address added to Infinite Campus.
