Events & Operations Coordinator

12 Month Fixed Term Contract

The Sydney Cricket & Sports Ground Trust has the responsibility and privilege of managing two of Australia’s premier sporting venues. Highlighting the true glory of sport both past and present, the Sydney Cricket Ground and Allianz Stadium are an integral part of Sydney’s rich sporting and cultural life.

We have an excellent opportunity for an experienced and enthusiastic individual to cover a Maternity Leave contract. Commencing 1 December 2014, this role will provide administrative and operational assistance to the Trust’s Events & Operations Managers in the planning and delivery of events as well as operational and associated commercial activities at the Sydney Cricket Ground and Allianz Stadium.

Skills/Qualifications

• At least one year experience in the management of sport, events and/or venues • A high degree of familiarity with Ticketek and EBMS systems and programs is desirable • Strong computer literacy skills ideally including Microsoft Office Suite

• Ability to communicate clearly, actively listen to others and respond with respect

• Demonstrated achievement of results through efficient use of resources and a commitment to quality outcomes

• Ethical and professional standards, including adhering to the Trust Values and Vision

• A flexible approach to working hours as regular evening, weekend and public holiday work is required • Tertiary qualification in Sports Management and/or Administration will be highly regarded

1.

Purpose of the Role

To provide administrative and operational assistance to the Trust’s Event Managers in the planning and delivery of events, operational and associated commercial activities at the Sydney Cricket Ground and the Allianz Stadium.

2.

Key Accountabilities

Events

• Undertake a prominent role in the event planning process;

• Play an active role in the event management team on major event days;

• Take a lead role in event management for nominated events eg second tier events such as Sheffield Shield and Non-First Class Cricket;

• Liaison with hirers (Sporting Partners) for the operational coordination of events; • Oversee / manage any commercial film and photographic shoot requests; • Register, report and act upon venue presentation matters on a weekly basis

• Assist Senior Manager, Venue & Precinct Operations on all venue operational issues • Direct Events & Operations labourers to attend to relevant venue presentation matters on a

regular basis

• Update and maintain event day staff folders with relevant material. • Installation of accreditation boards and event day signage.

• Assist Event & Operations Managers in the compilation of event budgets and event expense statements for event settlement purposes with hirers;

• Administer the event calendar and operations calendar on a weekly basis and issue to relevant stakeholders and functional areas;

• Provide general administrative and event based assistance to the department’s General Manager, Senior Manager Venue and Precinct Operations and Event & Operations Managers and other Trust line management as required;

• Compilation of planning and other associated documentation supporting the delivery of events.

Other

 Participate in the day-to-day workings of the Events & Operations Department and positively contribute to departmental meetings and forums as required;

 Other duties as directed by the Department’s Management.

Qualifications/Experience

Experience

This position requires a thorough knowledge of practices preferably within an event and sport management environment.

 Experience in the management of sport, events and / or venues;  High degree of familiarity with Ticketek systems and programs  Proficient IT literacy – Microsoft programs.

Desirable

 Formal qualifications in Sports Management and / or Administration;  Previous exposure to EBMS software and ticketing systems.

9.

Workplace Health and Safety

All workers are required to follow the Sydney Cricket & Sports Ground Trust’s Work Health & Safety Policy and associated health and safety procedures as a condition of employment. As required by the NSW Work Health & Safety Act 2011 workers are required to:

• Take reasonable care of their own health and safety, and

• Take reasonable care that their own acts or omissions do not adversely affect the health and safety of any other person in the workplace and

• Comply with any reasonable instruction given by the Trust or its management which allows the Trust to comply with its legislative requirements.

Employees with management or control of a workplace may have duties under the act in addition to those stated above.

Furthermore all employees shall:

• Ensure they are physically and mentally fit for work and are free from the effects of alcohol and/or drugs at all times whilst present in the workplace

• Report all hazards, incidents and near misses to their supervisor as soon as practicable after being made aware of such

• Take reasonable steps to ensure your work area does not place yourself or others at risk of injury or illness.

10. Other Requirements

• Flexibility in work hours including weekends, public holidays and out of hours work. • Must attend staff training, workshops and meetings as and when required.
